Scope: Supply and Engineering of IT and Extra Low Voltage Products

Striving to be always at the edge, in this relentless business sector, Syssense had to lay down sound
foundations before setting its organization in an ever –improving quality drive.

Marketing & Business Development
Working with Consultants, Contractors and Clients offering quotations and preparing specifications as
well as offering budget quotes when required.

To coordinate with the management and other department in all respects collecting market information
and future planning.

Upon Project Allocation
-To check that Syssense’s offer/proposal meet the clients’ requirements in all aspects.
-To ensure that the agreed technical submittals/scope of works remain within our capacity.

Project Process
Once the order is accepted, the Project Manager shall make a technical submittal in accordance with the
consultant’s requirements and specifications.

On receipt of any comment or design changes, the submittal shall be changed in line with the specifications
and in line with the project costing.

Design Engineering
Under the supervision and direction of Technical Manager, plan the tasks and their related human and
material resources as per contractual date of delivery.

Material Control
To choose materials required and/or requested by/from the clients and the list of approved suppliers
(Quality, Health, Safety and Environmental performance), the right materials complying with the
specifications and applicable quality standards.

Purchasing
To place the corresponding order, thoroughly reviewed and approved by Technical Manager. The
responsibility of Project Manager to check materials in compliance with the specified requirements.

QUALITY PLAN

Delivery
Delivery notes or Invoices are prepared and material is sent to the site. All documentation recorded and
filed up.

Incoming Goods Inspection
The responsibility of Project Manager to check materials in compliance with the specified requirements.

Execution
Under the supervision of the Project Manager, the project engineer will liaise with the Contractor and
Consultant through drawings or on-site coordination indicating the correct installation of the components,
where required, and adopting the correct procedures for installation.

After installation of all materials and checking by the Project Engineers the commissioning will start and
the complete system will be put into correct operation.

Site Hand-over / Maintenance period
To hand over a comprehensive quality documentation with a view to provide essential instruction for site
operation/ preventive maintenance/ troubleshooting.

Follow up for a Maintenance Contract after handing over the project, if required.

Project’s Documents Control
To record, file, update, withdraw and supersede the project-related documents, when necessary, as per
their relevance and importance with regard to quality requirements.
To make information easy to retrieve, using IT (diskettes, hard-disks) or paper support, where applicable.

METHOD STATEMENT
OF PERFORMANCE

1. Standards & Regulations

We shall ensure that the ELV Works comply with current standards and statutory
obligations, including statutory legislation and codes of practice, national standards
and relevant international standards.

2. Materials & Products

a. Provide only new materials and products.
b. Shall ensure that materials and products are provided in accordance with the
appropriate Standards or Code of Practice.
c. Shall ensure that the quality and performance materials and products are
appropriately certified.
d. Shall ensure appropriate certification and independent testing has been carried
out on any alternative materials or products proposed.
e. Shall ensure materials and products used are suitable for the service conditions.
f. Shall ensure materials and products delivered to site bear the manufacturer’s name,
brand name and any other data required to verify their performance and
specification complies with the requirements of the ICT Specifications.
g. Shall follow manufacturer’s instructions on the use of materials and products.
h. Shall select materials & products with regard to standardization and availability of
spare parts and for ease of maintenance and at the start of the lifecycle of a particular
product.

3. Workmanship

a. Ensure that the ELV Works are carried out in accordance with appropriate
Standards and Codes of Practice.
b. Employ only trained operatives who are skilled and responsible craftsmen, fully
experienced in their respective trades and who have gained a certificate of
competency appropriate for the work being carried out.

4. Protection

a. Take all necessary steps to safeguard the works during construction to ensure that
damage or deterioration has not occurred.
b. Provide suitable packaging for the protection of the ELV Works during delivery,
storage and where exposed to risk of damage on site.

c. Obtain licenses, permissions, copyright waivers and rights of use on behalf of the
Client.

Guarantees and Warranty Period
d. Ensure that manufacturer’s guarantees and warranties are valid up to the end
of the Defects Liability Period (12 months minimum), following the issuing of the
Taking over Certificate of the Completed Works.

Spare parts
e. Ensure spare parts as per the client requirement.

5. INSTALLATION

General
a. The installation is carried out by fully trained personnel who are familiar with the
systems and equipment and with the required installation techniques.

Safety and Security
b. Ensure that all activities related to the ELV Works are carried out with the
utmost consideration to Health and Safety.

Staff
c. Installation Work shall be performed by trained and appropriately experienced
and certified personnel in a professional tradesmen’s manner adhering to the
requirements of codes and industry standards, whilst conforming to best practice.

Equipment labeling
d. Provide a labeling scheme based on approved international standards or as per
the approval by the client’s representative.
e. Label equipment hardware according to the approved labeling schemes.

6. INSPECTION, TESTING, COMMISSIONING

General
a. Responsible for installation, termination, testing and commissioning of the
systems mentioned in the scope of work.
b. Inspect, test, commission and performance test the ELV Works on site, to
demonstrate compliance with this specification.

c. Provide trained and experienced staff with the relevant skills and competence
for the inspection, testing, commissioning, performance testing and witnessing
required.
d. provide any instruments or other equipment for the Employer representative to
review the accuracy, quality and performance
e. maintain records and certificates of inspections, testing, commissioning and
performance testing undertaken demonstrating compliance with the
specifications
Commissioning & Testing
f. Deliver a fully functional system that shall meet all the specified requirements of
the performance specifications.
g. Provide full Test & Commissioning Plan.
h. Provide all necessary tools & equipment to perform the commissioning and
testing.

Test Documentation
i. The results of the tests shall be documented using test sheets. The test sheets shall
be prepared in an appropriate format.
j. The final format of the proposed sheets shall be submitted to the client
representative for approval.
k. All test documentation shall be maintained in electronic format and as hard
copy.

7. HANDOVER

a. Provide familiarization & training of client Staff.
b. Provide the handover information prior to Practical Completion.
c. Provide training on all aspects of the proposed solution.
d. Spares & Consumables
e. Provide spares and consumables as recommended by the manufacturer of the
installed equipment.

8. CLEANLINESS

General
a. Ensure that the ELV scope of Works is handed over in a clean, as new state.
b. Allow for progressively cleaning and for maintaining the operational area in a
tidy, safe condition

HEALTH & SAFETY

HEALTH & SAFETY POLICY STATEMENT

1.1 The personal health and safety of each employee of Syssense is of primary importance. The
policy of this Company will be to maintain a safe and healthy working environment at all
times, and to comply with the local safety requirements. The prevention of occupationally
induced injuries and illnesses will be treated as a priority by management and employees
and will be given precedence in all operational matters. The Company will not knowingly
allow unsafe conditions to exist, or permit employees to participate in unsafe activities.

1.2 The Senior Contracts Manager will be the Company’s designated Health & Safety Manager
and will be responsible for implementing and maintaining the Company’s safety program.

1.3 The purpose of the Health & Safety Policy is to provide methods for the evaluation and
maintenance of a safe working environment and to outline procedures for handling injuries
and subsequent reporting requirements.

1.4 This Health & Safety Policy applies to all employees and departments of Syssense IT
Infrastructure.
