DELL TECHNOLOGIES COMPANY

10/6/21 Principles of Management –
MGT1013

3

Task 1: Business Operation

Dell Company is a computer company that operates in many countries, and it is one of the
MNC (Multinational Companies). One of the elements of organizational structure is
departmentalization. Departmentalization refers to the organization's formal system, which
comprises various departments and managerial positions and their interrelationships.
Departmentalization is the division of activities and people into departments, which allows the
organization to grow indefinitely, at least in theory. Dell Company itself has its peculiar
department in the organization, which is the functional department.
The functional department is defined as where the employees are classified based on their
work type. For instance, the applicable department in Dell Company is finance and marketing.
Besides, each of these sections brings a plethora of advantages to the company. Dell
Technologies' Chief Financial Officer is Tom Sweet (CFO). He is in charge of the entire finance
function at Dell, including accounting, financial planning and analysis, tax, treasury, investor
relations, global business operations, Dell Financial Services, Dell Technologies Capital, and
Boomi (https://www.delltechnologies.com/en-us/index.htm , 2020).

Figure 1

The thing that has to work in this department is finance or money. To determine the success
of Dell Company in the works is based on how they managed the finance section, and in
addition to that, finance plays the most crucial role in the company itself. Dell Company must
ensure that the finance section is always operational, regardless of unforeseeable events,
such as the COVID-19 pandemic sweeping the globe today
(https://uniquewritersbay.com/, 2017). As a multinational corporation with operations in
multiple countries, this is the most challenging issue that must be addressed. Regardless, the
finance department is more important than the other departments because these are the
essential roles in the company.

4

Next, Dell Company also has a marketing section. Allison Dew is Dell Technologies' Chief
Marketing Officer. Based on Dell Technologies (2021), Allison is responsible for Dell
Technologies' global marketing organization, strategy, and everything, from brand and
creatives to product marketing, communications, and digital to channel and field marketing.
In this role, Allison is directly responsible. She believes in fusing creative excellence with data-
driven decision-making to improve business outcomes and customer relevance.

Figure 2

Dell Company has grown at a rapid pace since its inception in 1984. Developing business
marketing will thus assist Dell Company in retaining existing customers and attracting new
ones for its innovative products. On the other hand, there might be different ways the
marketing section promotes their company during this pandemic COVID-19.
Based on Digital Transformation Ignited by Pandemic (2020), Allison Dew said that they
recently collaborated with the independent research firm Vanson Bourne to track businesses'
digital transformation progress. They are currently witnessing a significant acceleration. In
this challenging year, 8 in 10 organizations accelerated some aspect of their digital
transformation, propelled by the current environment to move faster.
Nearly 80 percent of organizations say the pandemic has caused them to reinvent their
business model. According to the study, organizations accelerated transformational changes
such as expanding work-from-home/remote work capabilities, strengthening cybersecurity
defenses, and providing new digital experiences to customers and team members.

5

Figure 3

Dell Technologies is a forerunner in the digital technologies of the future. They supply the
architecture, tools, and procedures that permit companies to create current data pipelines
that reduce the time between data manufacturing and innovation throughout private and
public clouds (https://www.delltechnologies.com/en-us/index.htm , 2020).

That is everything about the functional department in this corporation, which forms the
company's organizational structure exceptionally well. Recently, because of the pandemic, the
government has modified some of the rules and regulations that govern corporate operations
due to COVID-19. This discussion will discuss how this company functions, how they assist
their staff in adapting to the new norm, and how they make organizational decisions.

Even amid a pandemic, this company performs admirably. Their services and sales teams,
supply chain, and partners are all working together to satisfy the business-critical technological
demands of their clients. Through order lead times, they are mitigating the impact on the
business and supply chain operations.

During the order process, consumers, partners, and salespeople can see up-to-date

information. All Dell Technologies products are made following worldwide health and safety

policies and undergo rigorous screening before distribution

(https://corporate.delltechnologies.com/en-us/, 2020).

6

The Tech Support teams continue to support the customers' requirements internationally,
allowing over 13,000 agents to work from home while maintaining service standards and
exceeding 90% customer satisfaction. The Dell Technologies team has also been assisting
customers who are directly battling the infection by accelerating services and assistance at a
critical juncture.

Figure 4

Despite this, the firm remains operational throughout a pandemic by allowing remote work.
For example, they supply laptops with accompanying components like docks, displays,
headphones, and software, all of which are intended to operate together and have built-in
security. Furthermore, they swiftly put up additional virtual desktops using our HCI and cloud
technologies. It takes more than just the proper technology to create a thriving remote
working environment in today's world. They also put in a lot of effort to ensure that everyone
is in good shape.

Figure 5

7

Dell has defined a worldwide work-from-home policy for team members who can do so. As a
significant global business, subordinates who are obliged to be at a facility or location can
come to the facilities as needed and are subject to stringent health and safety requirements.
The remaining 90% of the global staff works from home. They are regularly re-examining the
issue and revising organizational policies as new information becomes available. Employees
whose job benefits the most on-site will return first, followed by those who can ultimately be
productive remotely (https://corporate.delltechnologies.com/en-us/ , 2020).

Life turns to work from home for some people. As with any business, health and safety come
first, followed by serving the requirements of the team members, customers, and the larger
community. Furthermore, they thoroughly clean their locations many times each day, washing
down commonly used surfaces and sanitizing popular areas with alcohol-based treatments.

They have also increased the number of hand sanitizer stations around the facilities, and the
subordinates are following healthy behaviors, including using personal protection equipment
(PPE) when needed (https://corporate.delltechnologies.com/en-us/, 2020). Employees who
are sick or unwell should stay at home. Anyone whose sensation is not good should remain
at home. This is evidence of the firm's meticulous efforts to guarantee that everyone is in
excellent health and that the company is in a healthy state.

The ways this company operates
nowadays show the sign that it will still
use even though the pandemic will
abolish in the future, such as virtual
meets where the employees do meet
by video conferencing, email,
websites, and so forth.

Moving to virtual platforms has
improved the potential of many
organizations to interact, source
people, and broaden reach faster and
more efficiently. I will provide here
some of the things they do add-ons
after the pandemic happened.

Figure 6

Dell saw that the most efficient approach to working together and healing is working together
(https://www.delltechnologies.com/en-us/index.htm , 2021). In other words, "getting higher

together" is in all parties' interest. They help one other attain personal objectives through the
exchange of values so that within a joint mission, they may reach results quicker. Speed was
always a business necessity, moreover, following the epidemic. Many teams have shifted to
an agile sprint approach for project management, enabling them to work in crisis mode more
successfully.

8

Despite early warning signals, several organizations have been captured flat-footed by
COVID19. Weeks before the epidemic struck the West, Chinese subsidiaries were shut down.
Many firms have been able to implement contingencies from these early observations. We live
in a world economy, after all. At country boundaries, Viruses don't stop, nor do the
consequences of our business actions. Fortunately, more entrepreneurs are thinking across
the world and focusing on.
In summary, Dell Company works hard and effectively manages its organizations even if some
laws and regulations have changed in operation following the government
(https://www.dell.com/en-us , 2020). They are working exceptionally effectively to guarantee
that the firm functions appropriately and that a safe corporation may also perform at this
moment without taking into account COVID-19.

Figure 7

The Dell Company's situation is to make sure everything is clean and healthy.

9

TASK 2: HUMAN RESOURCE MANAGEMENT (SOP ILLUSTRATION)

As a manager, we must abide by the SOP that the government set during the covid-19
pandemic. The company has to limit the number of employees by 50%, whether the employee
is registered or the current number. The question near here, what about the number of other
employees? Other employees can still work, but they will work at home. To be fair to their
employees, managers need to prepare a duty schedule where employees will take turns
working at home and the company. What about their working hours? Their working hours will
follow the company's SOP. For example, if the hours start at 9 a.m. and end at 5 p.m.
according to Dell's company SOP, the working hours throughout this pandemic are also the
same. But it is also subject to local authorities. For example, the party limits the active period
starting from 9 p.m. and ending at 3 p.m., so the company must comply. Suppose the
company wants to hold a meeting. In that case, the company needs to use technological
facilities to communicate with their employees. During this pandemic, it is not allowed to hold
face-to-face meetings to prevent the spread of this epidemic.

Next, a manager needs to hold a briefing and ways to prevent this epidemic from spreading
to all their employees on the SOPs set by the government. Among the contents that need to
be in the briefing is the distance set by the government, the rules while working, the number
of employees, and so on. Every company needs to provide a body temperature screening tool
and QR code MYSEJAHTERA. In addition, the company needs to offer swab kits to all
employees. Swab kits can be used once a week to ensure their employees are not exposed to
the disease and prevent the company from closing down. The company must also ensure that
the temperature of each employee does not exceed 37.5 ° Celsius and does not have any
symptoms such as fever, cough, and so on.

Further, the manager needs to limit the number of employees in space—for example, a prayer
room or pantry. The manager needs to put up a notice "Only two employees are allowed at a
time" to prevent the employees from gathering and reduce the risk among the employees.
Then, the manager needs to ensure that every space in the company needs to be sanitized
before and after work so that the germs found in the company die. In addition to that,
managers also need to provide a letter of permission to their employees to come to the office
if there are restrictions, and the letter can only be used from house to the workplace or vice
versa so that his employees do not take the opportunity to cross districts or states outside of
working hours.

As the manager, we also have to provide posters to our employees to make sure they are
always alert and concerned about the new norms in the workplace, to prevent the spread of
this pandemic until it can affect the economy and finances of our company.

10

11

TASK 2: HUMAN RESOURCES MANAGEMENT (SELECTION PROCESS)

The quality of its employees determines a company's efficiency and output. The present
corporate climate has increased the need for employees to be more innovative and productive.
Organizations' human resource departments constantly create new strategies to improve
operational efficiency and create a pleasant work culture that motivates employees to boost
productivity and performance. Human resource strategies and processes set specific goals
and targets for departments and the workforce.
Dell Technology is committed to providing equal employment opportunities and a work
environment free of discrimination and harassment for all employees.
Dell bases its recruiting choices on company needs, job requirements, and individual qualities,
not on race, color, religion or creed, national, socioeconomic, or ethnic background, or sexual
orientation (including pregnancy, age, physical, mental, or sensory disability, HIV status,
sexual orientation, gender identity and expression, marital, civil union, or domestic partnership
status, or other factors).

Figure 8

Jenn Saavedra is the Chief Human Resources Officer of Dell Technologies. She is the Global
Human Resources and Facilities function's leader, and she is in charge of increasing the
company's performance and growth via the culture and people. Because of Dell's dedication
to the people strategy and culture code, Dell Technologies is a successful organization and a
wonderful place to work (https://www.delltechnologies.com/en-us/index.htm, 2020).
As a result of the pandemic, the company has opted to concentrate on internet marketing.
There is a demand for more employees that are qualified in internet marketing. The work
position and job analysis may need to be evaluated and re-plotted. The rules also describe
how Dell assists the team members and makes their workplace welcoming and safe. Dell's
laws also regulate the materials used in their products and how the suppliers who support its
operations are held to the highest ethical and environmental standards.

12

Figure 9

Because the firm cannot conduct face-to-face interviews, a new or alternative selection
procedure may be required. A job description is a written statement telling what a job holder
does, how they do it, and why. It generally depicts job content, work atmosphere, and working
circumstances. The job specification specifies the minimal requirements that a person must
have to execute a particular job properly. It focuses on the individual and identifies the
knowledge, abilities, and attitudes required to perform well (Stephen P. Robbins, 2017).

Since the pandemic happened, some processes can be used, such as the internet, company
website, and professional recruiting organizations. There may be certain benefits to each of
the sources of recruitments.

For example, the internet, the advantage of the internet is that it may receive rapid input from
many individuals. Still, it may also generate a large number of unqualified applicants. Following
that, the company's corporate website's edge has a wide distribution and may be targeted to
specific groups. Last but not least, professional recruitment companies have the benefit of
identifying individuals who have a strong understanding of industry issues. Still, the drawback
is that they may have little devotion to the specific business. Regardless, the flaws are the
same as the internet source (Stephen P. Robbins, 2017).

Figure 10

13

Figure 11

As a Human Resource Manager, company websites are the best method to acquire new
employees. Although company websites may have wide distribution, they are only targeted to
some specific group. Due to the pandemic period, we may want someone who has a solid
grasp of the business and can function successfully in the workplace or at home. Although
these subordinates may be unqualified candidates and tend to accept errors, we will use some
methods, such as e-learning, to ensure that they can work well in the workplace or at home.

I will explain detailed on how the process of the selection and recruitment of the company.
The Human Resources department's primary role is recruitment. It is a procedure that includes
identifying, recruiting, screening, shortlisting, interviewing, choosing, employing, and
onboarding workers (https://www.jobsoid.com/, 2021).

Figure 12

14

Indeed all of us are working digitally, and there may be some issues later on. To begin, the
Human Resources department must identify particular organizational needs, such as someone
prominent in IT knowledge. They may need to jot down specific skills that candidates must
have to apply for the employment opportunity. Following that, when the organizations receive
some of the applications, we may need to look at each one and begin shortlisting the
applicants.

There are some practical ways of interviewing to select the best applicants to work at the
company. We can start the interview, which is the most crucial thing in the recruitment
process. There may be some modifications to the interview procedure, and we may need to
use digital tools to complete the interview. In order to ensure that we choose the best
applicants, we will require them to answer some psychometric tests too.

First, because the interview will be conducted online, we will need to put the candidate at rest
and make them feel at ease. Next, we may begin the dialogue by asking open-ended questions
such as "Can you tell me about yourself?" Furthermore, we may require them to teach them
something important about the firm, provide them with circumstances, and ask them how
they will deal with difficulties if such things occur. We need to ask some questions about the
company and their skills, and after 12 minutes, the interview session should be ended.
(https://www.thehartford.com/ , 2021).

That is how the interview sessions will be conducted electronically, and after that, they will
do specific psychometric tests given by the businesses. We must select the most significant
candidates while avoiding accept and reject errors in the company at its best. It is just as
essential to keep good employees as hiring them in the first place (Stephen P. Robbins, 2017).

Figure 13

15

We need to perform some orientation or training techniques to ensure that they get as much
information in the organization as possible after the organization's choice and the successful
candidates receive the acceptance letter regarding their recruitment in the firm. Since the
epidemic, the training techniques must have been confined to technology-based training
approaches. We can offer specific training on a weekly basis, such as e-learning, mobile
learning via corporate websites, and videoconferencing (Stephen P. Robbins, 2017).
By working on this training, there may be some circumstances that we may avoid such as
staff turnover. Better employee performance generally results in less demand for monitoring
and higher worker production. On the other hand, this training can increase the employees'
productivity and motivation to work well (https://managementhelp.org/ , 1995). Even though
some of them are still new in the company, it may ease them to adapt in the company
although in this pandemic era.

16

TASK 3: TIPS FOR WORKING FROM HOME

Our bodies' reaction to pressure is called

stress. Stress can be caused by a variety of

conditions or occurrences in one's life. It is

frequently triggered when we

are confronted with something

new, unexpected, threatens our self-sense,

or when we feel powerless in a

circumstance (www.mentalhealth.org.uk,

2021).

Due to the Covid-19 pandemic, employees

are confronted with something new and

unexpected which they need to start

working from home. They need to change

their routine from going to the office to do

their work task to stay at home and do their Figure 14
work task at their place. Some employees

are not accustomed to doing their work

elsewhere other than their workplace. So, they need to adapt to a new norm.

In its most recent survey on the pandemic's impact on the country's workforce, market
research firm Ipsos found that 65 percent of Malaysians claim to work from home, compared
to 52 percent of the global average. According to the survey noted that Malaysians had the
highest level of anxiety among the 28 countries tested. It also indicated that 63 percent of
Malaysian workers find it challenging to strike a work-life balance. Ipsos Malaysia manager
director Arun Menon said the changes are more likely to affect female employees than males'
colleagues (www.thestar.com.my, 2021).

Figure 15

17

As employees who need to work from home, staying productive and balancing work and life
is challenging. It is because there are many distractions, especially those who are already
married and have children. Due to their commitment, which they need to take care of their
children, cleaning the house, and others, they will struggle to stay focused on doing their work
tasks. They might feel stress and exhausting whenever they do their work. But, doing work
tasks will be smooth if they know the better ways to stay productive and balancing their work
tasks and family obligations. Employees who work from home can use various strategies or
tips to stay productive and maintain a work-life balance.

The most important thing that employees Figure 16
should do to prepare to work from home
is making a specific workplace at their
home. The spot should be comfortable
and suitable for doing their work tasks.
The purpose of having a particular
workplace at home is to make them feel
like they are in a real office. Having one
specific workplace can help employees to
have a deeper focus on doing their work.
Avoid working in the bedroom if at all
possible. It is because body and mind
have set that a bedroom is a space for rest
and sleep. They might feel sleepy or lazy
to start their work because of the area. In
short, it will make the employees feel hard
to stay productive in doing something in a
day (www.forbes.com, 2020).

Secondly, employees should determine

or decide on their priorities. Stephen

Covey had said, "The key is not to

prioritize what's on your schedule but

to schedule your priorities."

(www.goskills.com, 2021). They need

to make a list of what they should do

first, what they need to do, prioritize

necessary tasks over those that are

not, and others. The most important

tasks should be prioritized. For

instance, employees should complete

everything for their children first, like

preparing breakfast for them, getting

themselves ready, and others. It is to

make sure the children are not Figure 17
disturbing their parents when they

start doing their work tasks. To sum up, priorities can play an essential role in our lives. It can

help employees to stay organized and provides our daily routines a little more fluidity.

18

Besides that, do not be too hard on Figure 18
yourself. Do not force yourself to do the
work tasks when you feel tired or
demotivated. It can affect your quality of
work. If you feel demotivated when doing
the homework, you should take a break.
Allow yourself to rest for five minutes
without feeling guilty because of the work
tasks. You can take a step outside to get
some fresh air or spend time with others
who may be in the house. Take this time
for you to get away from your desk. As
Ginny Mineo said, "Breaks, like making and
eating lunch, can recharge you to do better
work. Do not assume you need to be
working 100 percent of the time while you
are home to be more productive."
(blog.hubspot.com, 2021)

Furthermore, to attain a healthy work-life
balance, employees must maintain a
healthy lifestyle. Having poor physical and
mental health will disrupt the work-life
balance. If employees have good physical
and mental health, they will stay energetic
and have a stress-free mind in doing their
work. For example, they can start their day
by doing yoga. It can give them more
energy and brighter moods to begin their
day. It also can improve the quality of their
work tasks. A healthy lifestyle can also help
employees cope with stress more
effectively (blog.vantagecircle.com, 2021).

Figure 19

To sum it up, time management is crucial in

daily life, likewise when achieving a work-

life balance. Having good time

management skills can help employees

keep focus and stay productive in doing

their job. However, most people overlook

this stage, and at the end of the day, they

are overwhelmed by work and have no time

for themselves. In the meantime,

the employees may

procrastinate less. Procrastination is very

dangerous to employees or anyone else

because it can negatively impact decreased

job performance. In conclusion, employees

should be wise to manage time in their daily

life. Figure 20
