Glossary
A
Assignments panel
An InCopy and InDesign panel that lists InCopy story files within an InDesign file. If
a Workflow icon appears next to a story, the story is available to edit. If the Out of
Date alert icon appears, the story needs to be updated.
Available icon
An icon that appears next to stories in the Assignments panel and in the top-left
corner of a text frame. The icon denotes stories that are available to edit.

Check In (in InCopy/InDesign)
The process of saving your edits to the InCopy (.icml) files, located in the
Documentum Checkout folder on your Computer, via the Assignments panel in
InCopy/InDesign. The story text is also then no longer editable.
Check In Selection icon
An icon that appears at the bottom of the Assignments panel. Click the icon to check
in stories.
Check Out (in InCopy/InDesign)
The process of making InCopy story content available to edit within InCopy/
InDesign.
Check Out Selection icon
An icon that appears at the bottom of the Assignments panel. Click the icon to check
out stories.
Content
The text within an InCopy story file. Also referred to as story, stories, editable text.

Documentum Check In
The process of saving any changes to a file’s content (that you had previously
checked out) in Documentum and unlocking the object, making it available to others
in Documentum.
Documentum Check Out
The process of copying a document from Documentum to your local Checkout folder
and locking it in Documentum, preventing other users from editing it.
Documentum Checkout folder
A folder on your hard drive containing checked-out files from Documentum.

Editable Text
InCopy text that is checked out within InCopy/InDesign and available for editing.
Editing icon
Represented by a pencil icon, denotes a story is checked out and ready to edit.
I
Icons
Convey the status of linked content/text and can appear on text and graphics frames
in the Links panel, the Assignments panel, and in the story bar (InCopy only).
.icml
The extension appended to InCopy story files.

.indd
The extension appended to file names in InDesign.
Linked Files
External text or image files that contain content linked to the current opened file.
Links panel
A panel that lists stories/images linked to an InDesign file. If the Missing Content
icon appears next to a story, the link for that story is missing.
M
Missing Content icon
An icon that appears next to stories listed in the Links panel. The icon denotes stories
that are no longer linked to an InDesign file.
N
Notes
Editorial notes added adjacent to the text. The notes become available to others in a
workflow. You can add as many notes as you want in any location.
Notes Color
Notes are color-coded to identify the author of the note.
O
Out of Date icon
Denotes that an InCopy story file must be updated before checking out. Also referred
to as the Text Content Out of Date icon.

Relink
The process of locating and restablishing a missing link via the Links panel.

Relink icon
An icon that appears at the bottom of the links panel when a story name is
selected in the Links panel. Click the icon to relink a story to an InDesign file.
S
Story
1. Editable text files linked to an InDesign file, with an .icml file extension.
Also referred to as an InCopy story file.
2. Text contained in a text frame box of the application.
T
Text Content Up to Date icon
Denotes that an InCopy story file is up-to-date and ready to check out. Also
referred to as the Up to Date icon.
Text Flow
How the text is distributed throughout the document, taking into account column
and page breaks. The text in a frame can be independent of other frames, or it
can flow between connected frames.
Track Changes
A cumulative record of all the text changes made to text in a document. User
Names and Colors identify the author of tracked changes.
U
User Color
Color-coding used to identify users based on roles. The User Color visually
identifies the creator of any Tracked Changes or Notes.
User Name
A unique User Name is used to identify each user. User Names identify the
author of Tracked Changes.
