POSITION DESCRIPTION
Shire of Gnowangerup
Organisational context
The Shire of Gnowangerup is situated in the Great Southern region of Western
Australia approximately three and half hours south of Perth. It has a land area of
5000sq kilometres and approximately 2000 kilometres of roads. There are three main
townships in the Shire, Borden and Ongerup and Gnowangerup.
It has around 100,000 hectares of farmland and supports a highly efficient livestock
and cropping industry of wheat, lupins barley, canola, clover seeds, peas, oats and fava
beans. The area is noted Australia wide for its merino sheep.
The Shire has a range of education facilities including kindergartens, GP practice,
District Hospital, Pharmacy, pre-school and primary schools, the Gnowangerup District
High School and Woodthorpe Secondary School and sporting complexes are located in
Gnowangerup, Ongerup and Borden townships.

Administrative Assistant to the Executive Manager Infrastructure
Position Description
1. Position Establishment
Position Title: Administrative Assistant to the Executive Director
Infrastructure
Business Area: Shire Office
Classification:
Date Approved/ Reviewed: September 2013 Award, Western
Hours of work 15 hours per fortnight
Award: Local Government Officers
Australia
2. Position Objective
The position will:
Provide high quality support services and project management assistance .
Assist in the preparation of grants, subsidies and related reports for submission
Be responsible for the tracking and monitoring of project related activities
Provide general administrative assistance as required
3. Key Responsibility areas
Ensuring assistance is of a high standard and delivered in a timely manner
Having the capacity to work autonomously in the management of the competing
priorities.
Provide high level written and communication skills
Provide a diary management service to the Executive Manager
Prepare reports and documents for submission
Ensure that finalised documents are filed in the Records Management System
4. Corporate responsibilities
Ensure that all policies, procedures and work practices are implemented in accordance
with the relevant legislation, standards and Codes of Practice
Ensure that the Council’s all corporate documents and correspondence are stored and
managed in the Council’s records keeping system
5. Organisational relationships
Reports to: Executive Manager Infrastructure
Manages: Nil

External relationships: General public, government departments and other Councils
Internal relationships: All Shire staff and Councillors
6. Accountability and Extent of authority
Responsible for completion of documentation as required
Ensure confidentiality of the information in submission and commercial in confidence
matters.
7. Judgement and decision making
Skill in problem solving, and being able to be proactive and innovative in the resolution of
issues
Able to interpret and implement the requirement of the Executive Manager
Highly developed administrative skills and demonstrated ability to meet deadlines
8. Specialist knowledge
Demonstrated knowledge of the role of local government and the political and social
environment
Knowledge of infrastructure activities and environment in local government
High level computer skills and ability to utilise systems for data management.
9. Other skill requirements
Interpersonal skills and the ability to maintain effective relationships with Council, community
management and staff.
Ability to write and research complex reports
Essential Selection Criteria
Knowledge of the local government environment.
Demonstrated ability to provide a high level of administrative and secretarial skills in a range
of complex situations.
Demonstrated proficiency in oral and written communication, interpersonal skills and
negotiating skills.
Demonstrated ability to manage competing and complex demands
Highly developed computer skills including the preparation of presentations and publications.
Demonstrated ability to work within a multidisciplinary team environment.
