Information Regarding
Departure & Arrival Ceremonies and Journey Mail

Dear Parents

Firstly, I would like to take this opportunity to thank all who have attended the various functions and
meetings. Thank you for your support and for engaging in the process of preparing for the 2018
Journey. The Journey is a team effort and would not be a success without your help. Here follows
the last few arrangements before we hit the road.

Departure and Arrival Ceremonies:
The departure ceremonies for the respective groups will officially start at 08h00, each day. This will
be preceded by the groups coming together at the Pavilion at 06h30, and the parents being
hosted for tea or coffee with Bruce Collins in the Auditorium at 07h00.

Arrival ceremonies will start at 10h00. Groups will arrive at school shortly before this time, but parents
must please refrain from meeting the boys before the ceremony has been concluded. More
information will be sent out in this regard during the Journey.

Journey Mail:
A team has been appointed to manage the mail that will be received and sent between the
Journey boys and parents. This will, as you know, be the only contact you will have with your son
for the 23 days, therefore please note the following:

WHERE TO MAIL LETTERS GOING OUT TO BOYS:
There will be 2 points set up where mail can be posted.
 Reception during office hours
 Security gate after hours

WHERE TO COLLECT MAIL: Security gate

REGARDING THE SENDING OF LETTERS:
1. There will be a clearly marked box at the security gate to drop letters off after hours. During

office hours, letters should be dropped at Reception.
2. Letters can be written every day from Day 1. Letters will only be delivered to each group after

each group has been on the Journey for 7 days. Please take note that for letters to be delivered
to the boys, they must be delivered by the following dates:

Drop 1(Day 7): Groups 1, 2 and 3 4 September
Drop 1 (Day 7): Groups 4, 5 and 6 7 September
Drop 2 (Solo): Groups 1, 2 and 3 11 September
Drop 2 (Solo): Groups 4, 5 and 6 14 September
Drop 3 (Finish): Groups 1, 2 and 3 17 September
Drop 3 (Finish): Groups 4, 5 and 6 20 September

3. Please mark every letter as follows:

Name of receiver
Group (1-6)
Day of Journey letter was written
And on the back page
Name of sender
Email of sender

4. Please do not try to smuggle any treats through mail. Letters will be opened and teachers will
confiscate items.

ON RECEIVING LETTERS:
1. Mail will be sorted daily for the duration of the Journey.
2. Please remind the boys to mark their letters as follows:

Name of sender
Group (1-6)
Day of Journey letter was written
Name OF RECEIVER
House and Form (if to a St Alban’s boy)
Contact details of RECEIVER
Collect or scanned (email address if the letter is to be scanned)

3. Letters can be collected at any time from the security guard at the gate.
4. The letters will be kept in separate folders for each group. Please sign at sender's name on

receipt of letter from security.
5. You will be notified via SMS when mail has arrived.

FOR THE NON-PRETORIA RESIDING PARENTS:
1. If you stay outside Pretoria or too far to use the physical mail system, you may e-mail your letter

to the following address: [email protected]
2. The letter will be printed, stapled, addressed and sent to your son.
3. Please mark the e-mail as follows:

Name
group (1-6)
day of Journey that letter was written

4. If letters from boys can’t be collected, your son’s letter will be scanned and e-mailed to you.
Please remind the boys to mark their letters clearly with:

Name of receiver
group
day of Journey, that letter was written
Email address of receiver

5. Please only use this service if it is absolutely necessary. The boys must provide the correct Email
address on the letter (especially for letters not addressed to their parents).

6. Scanned letters from the boys can be collected from the postal team at the group arrival
ceremonies.

GENERAL MATTERS:
You are encouraged to write as many letters as you choose to your son or other boys. However,
Quality over Quantity is the key. Please encourage family and friends to do so as well. This is an
essential way for the boys to learn how to express themselves. They depend a lot on this means of
contact. It is also a very special highlight of the day if mail is delivered to a group. Therefore please

ensure that there will always be a letter for your son. (Bear in mind that the boys are going to be
tired and may not always have time to write a daily letter).
Finally:
1. Remember that there will not be mail every day for every group.
2. Be patient during the days that we do not receive mail from a specific group.
3. Please note that NO news on individuals will be available.
4. Please do NOT try to contact the staff leaders during the Journey.
5. If you have any queries, please write to the allocated Journey e-mail address. Queries will be

handled by the postal staff as the other staff members and I will not be available at all times.
