The ATS eFactoryPro Journey

A Computer Maintenance Management System
(CMMS) is a key tool for any professional factory maintenance organization. The CMMS is a software package containing
When we began providing factory services at the Caterpillar Danville, KY facility mid-2003, they used an Access data base home grown system for their CMMS, which had an equipment status monitor input feature. Mark Stratton, the facility manager, challenged ATS to develop an equipment status monitor for our eFactoryPro system and we rolled that out in 2004.
In 2008, ATS conducted a study and concluded
it was time to invest in the development of a new generation of eFactoryPro. eFactoryPro 2.0 was developed, based around the SAP PM module, and it began to be rolled out to our factory maintenance sites in 2009. That is the system we are currently using.
In 2014, ATS conducted another study and concluded it was time again to invest in the development of another generation of eFactoryPro. The business case for this investment was based on the need for more functionally, improved scalability to meet growth projections, the desire
to sell to our enterprise customers, the desire to interface with other ATS and customer systems, the desire to manage factory maintenance, IPS, eFactory services, and materials management with one platform, gaining access to current software technology, and at a significantly lower cost per year as compared to staying with our current system over the next 10 years. The eFactoryPro 3.0 platform is being developed now and will begin rolling out in 2016.

In 1985, when ATS was founded, Caterpillar was using an IBM mainframe CMMS system called ERS that used “green screen” terminals. The first system ATS implemented was FIELDWATCH, which was a central dispatch and parts inventory system sold
by Astea International. In 1995 we implemented Astea’s new product named Dispatch 1. When
we started to deliver on-site factory maintenance services in the 2002 and 2003 time frame we used standalone versions of DataStream’s MP2. We experimented with D7i, the internet version of DataStream’s CMMS product, but abandoned that effort in favor of a CMMS ATS created in house that was built upon the Astea’s Dispatch 1 code. We named that system eFactoryPro. (Now known as eFactoryPro 1.0)

We have spent a lot of time focusing on process, data integrity and the newest cloud based technologies as we prepared the next release of eFP. From dynamic scheduling, to parts management, we engaged you the business, and provided a streamlined and tailored environment to get work done. The technician portal in the new release is updated and a new mobile app will release at the same time to provide capabilities that align with your work and the device. These new capabilities will enable you to understand the next working steps while providing you a mechanism to get work done faster to ensure maximum uptime and availability in your customer’s environment.

The Importance of Training

When the company entered the planning phase of eFactory Pro 3.0 (eFP 3.0) training and site adoption were ranked as two of the key measurements of success. High quality training and site adoption will ensure that the newest capabilities will produce the most positive impact to our business and the highest level of success for our employees. Therefore you will be hearing increased communication relating to site champions
and on-site training initiatives. We have redesigned the look, feel and capabilities of the eFP 3.0 release training from those of past releases and are looking
forward to the interaction and learning that
will take place.
Adult Learning Principles also dictate that learning must be immediately applicable to employment, separate “need to know vs. need to reference”, and allow the learner to give feedback and prove mastery. The Cornerstone Learning Management System is being structured to “push” all eFP 3.0 content by role, making access to eLearning and instructional materials convenient for everyone. “Ask an Expert” and “Best Practice Sharing” sites will be created to leverage the value of social learning. is time to practice in a “safe” learning environment (with both exploratory and structured “real life” scenarios). Learning must build from the general business process overview, to how the system functions (both conceptually and navigationally) and lead to the actual steps of
the specific task being performed. It’s important that learners understand the reasons behind the process and the system function, so that we can continue to drive standardization throughout the company and we all need to know the WIFM (What’s in it for ME)!

ATS listens to employees! Feedback from the sites was instrumental in the original design and development of not only the software but also of training materials.
It is essential to understand from initial conception throughout the rollout (Live) process that things like bugs, error
messages, screen look, and some functionality may need tweaking. That’s what this entire process encompasses and is, once again, essential to an overall successful implementation. This will ultimately allow for a more productive and efficient work product and environment for all to benefit. In the spirit of continuous improvement, training will be refined throughout the rollout of the pilot sites, as feedback and evaluations are received.

Information Technology Driving Growth

The eFactoryPro 3.0 project creates the opportunity
to drive significant improvements for our IT systems. The primary deliverable is an improved Computerized Maintenance Management System (CMMS) supporting service delivery to our customers. We also reviewed our overall systems environment, factored in the unique demands of this new application, and considered numerous future requirements to support ATS growth. The main objectives in our final design were capability, flexibility, and efficiency.
There are many new capabilities in eFactoryPro 3.0.
We have the ability to streamline user interfaces based on role. We have the ability to securely interface and exchange data with other systems. There is a new mobile application with an offline mode for areas of a plant without wireless network connectivity. We have also modernized our reporting capabilities leveraging a new ATS data warehouse. This will simplify reporting while also dramatically increasing the ability to analyze data.
Flexibility is an objective based on the reality that each customer is unique. Although process standardization is a key aspect of eFactoryPro 3.0 we know that attributes of these processes may need to be tailored to meet specific customer requirements. System functions can be modified based on Business Rules.
A Business Rule allows us to take a different action within a process based on the customer, location, equipment, status, time, or a variety of other factors or a combination of factors.
Efficiency is about providing the right solutions at a cost that makes sense for our business. Technology moves quickly and the options we have today are dramatically different than even just a few years ago. eFactoryPro 3.0 has provided IT with the opportunity to make a shift to technologies that are both more capable and less expensive. Leveraging these technologies will allow us to provide better solutions at a lower cost.
Our theme this year is “ATS means growth.” The IT Department is responsible for providing the right tools and capabilities to support that growth at the right
cost. This project represents a substantial effort by everyone involved. It has required the full support of the Executive Team, endless patience and generosity from our business partners, and the dedication of the entire
IT Department. Speaking for IT, I want to thank everyone for their support and hard work. We look forward to this next step for eFactoryPro and to a new era for IT systems at ATS!

What is a site champion exactly?
Every new solution needs an internal champion to rally support. Typically, the site champion also facilitates the initial implementation process—including support and training of the onsite team. Strong site champions possess leadership skills, are good communicators and are not adverse to change. To say it simply, site champions are the cheerleaders of the new initiative and provide direction and positive influence to their onsite teams!

Power BI for Office 365 is a cloud-based service that works with Excel to provide a complete self- service business intelligence (BI) solution. With both Excel and Power BI for Office 365, we will be able to capture our work & results easier than ever before; and in real time!
Well that’s a great technical description; how does that benefit me and my site?
Metrics and measurements are one of the key tenants of our culture that aid us in driving continuous improvement both internally and within our customers operating environments.
In the past, the business has waited patiently to answer questions that arise from the data gathered at customer sites. IT centric metrics and reporting solutions traditionally have provided longer than expected turnarounds for new metrics and changes. Selecting a solution that scales with our growth, provides flexibility to business teams, and increases productivity of company resources were essential in choosing our next generation of Business Intelligence.

September brings us closer to the initial release of eFactoryPro 3.0. However, before we pilot the initial release of software we must perform what is referred to as User Acceptance Testing (UAT).
We are excited to have volunteers from over 20 FMS sites to test the new CMMS! In early October, a play area called the “Sandbox” will be available for the pilots to “play” in the system. The first pilot end user training will occur one to two weeks prior to cutover. Cutovers for all sites will occur on the first day of the month.
