3 About Haileybury Haileybury Almaty opened in 2008, in association with Haileybury in the United Kingdom. This not-for-profit educational project was inspired by a philanthropic group of Kazakhstani businessmen. Haileybury Almaty offers a broad, holistic liberal education in the best traditions of British independent schooling. Haileybury Almaty is an academically selective institution and currently accepts 20% to 40% of applicants from entrance exams. We expect and support our pupils to achieve excellent examination results at IGCSE and A Levels, which enable them to apply to and enter the best universities. University Counselling and advice service: “World’s TOP universities” supports pupils throughout the applications process and helps Haileybury Almaty graduates to secure admissions to top universities worldwide, including prestigious institutions like Harvard, MIT, Yale University, Columbia University, Brown University, Oxford, Cambridge, Berkeley, Imperial College London and others to study a wide range of courses. Various extracurricular activities and projects help pupils to stand out among other applicants and receive full and partial scholarships for their academic excellence. Our goal is for our young adults to leave Haileybury fully equipped with the life skills and the academic credentials necessary for them to flourish in a competitive global employment market. Haileybury Almaty Mission Statement, Aims & Goals Mission Statement To provide our community with a high quality educational experience which enables our pupils to fulfil their potential academically, physically, culturally and socially within a global and future context. School Aims 1. To develop pupils who are resilient, resourceful, organised, courageous, inquisitive and reflective in all that they do. 2. To encourage these learning traits through a curriculum which covers a broad and balanced range of subjects, extra-curricular activities, visits and special events and is regularly evaluated and updated. 3. 4 Our Goals Haileybury Almaty has an ambitious vision that aims to establish the highest educational goals in Kazakhstan. Our staff are valued as the key drivers of improvement. The implementation of these goals is the shared responsibility of all staff members, with the Board of Governors, Senior Leadership and Middle Leadership teams of Haileybury Almaty Senior School and Junior Schools taking the primary responsibility for leading and monitoring the process. The Strategic Plan for Haileybury Almaty sets out seven areas to achieve our Mission and Vision statements. 5 School Structure and Code of Conduct • The School Governors’ Board members are: Ian Hunt (Chair of The Board), Paul Hunt, Kalamkas Zhumasheva, Gail Ganny, Martin Collier, Peter Foster, Adrian Drewett, Sue Taylor, Catrin Mills, Nurzhas Makishev and Yerlan Ospanov. • The School Leadership Team are: The Headmaster (Simon Mills), Deputy Head Whole School (Radha Pandya), Deputy Head Senior School Academic (Andrea Angus), Deputy Head Senior School Pastoral (Darshak Pandya), Head of Junior School (Matthew Hunt-Brown), Deputy Head of Junior School (Flora Graham). • The Administrative team are: The Bursar, A Chief Operating Officer, Human Resources Team, ISAMS Manager, Examination Coordinator, IT Team, Accounts Department, Admissions Team, PR and Marketing Team. Medical Team, Lawyer, Procurement & Logistic Manager, Receptionist and Personal Assistant to SLT team. • The Maintenance staff, Kitchen staff and Security teams work closely with the Teaching staff. The Receptionists are the key points of contact in the reception areas located at the Main Entrance. Code of Conduct Employees at Haileybury Almaty are required to: • Protect and safeguard children. Everyone who works at Haileybury Almaty is required to be familiar with the school’s Safeguarding policy and procedures. The Designated Senior Lead will provide regular update training and all staff must attend these sessions. All staff must read and follow the Guidelines for Working with Young People. All staff must speak up if they become aware of inappropriate behaviour towards children. • Adhere to the Mission and Values of the School. The mission and values of the school inform all staff as to how we work and are essential to both our reputation and ensuring effectiveness of the operation of the school. Our pupils will learn best from the staff in the school when we seek to live out our mission and values in how we treat each other and them. • Uphold professional standards in all aspects of School life. The professional standards of teachers are clearly defined in the UK Teacher Standards. Additionally, all staff are expected to follow and adhere to the working policies, procedures and guidelines of the school, as updated from time to time, and which are accessible on the school intranet.


6 All staff are to maintain a suitable appearance at work, further guidance can be found in the Staff Dress Code. • Show respect towards each other regardless of gender, age, working positions, religion & beliefs, nationalities etc. The school has zero tolerance towards bullying, harassment and discrimination. Should any staff member feel they have been subject to unacceptable or disrespectful behaviour, you should consult your line manager, senior leader or HR manager. All staff should be familiar with the Conduct and Grievance policy. • Ensure Haileybury Almaty is a healthy, safe and secure environment. We all have a duty of care for the children who attend our school and the staff who work here. All staff must be familiar with and adhere to the Health and Safety policies and practices of the school. Teaching staff have a particular responsibility to ensure that pupils are supervised at all times, especially during timetabled lessons. All Health and Safety concerns should be reported to the Deputy Bursar and Health and Safety Officer. • Manage information with confidentiality. Staff may have access to sensitive and or private information pertaining to other staff, pupils and their families, and material that is commercial in confidence to Haileybury Almaty and Haileybury group of schools. All information pertaining to staff, pupils, families and the Haileybury Schools is regarded as private and confidential and is subject to privacy and data protection laws. Staff should treat information with care and attention and it must never be shared without the direct authorisation of the Head Mistress. • Uphold the good name and reputation of Haileybury Almaty. The Haileybury group of schools has a particularly impressive reputation and all staff must endeavour to maintain and enhance it in all they say and do. Staff must never make statements or involve themselves in activity that will damage the reputation of the school. Staff will never speak about the school to members of the press without the express permission of the Head Mistress. Teachers need to be aware that their conduct out of school may impact on the reputation of the school. • Protect and preserve the assets and resources of the school. The school assets and resources are solely provided for the education of our pupils. The school is committed to sound financial and resource management and it is the responsibility of all staff to ensure the resources and facilities of the school are protected and preserved. Staff must familiarise themselves with the Procurement policies and procedures and adhere to them at all times. School assets, funds and resources should


7 never be used for personal or private matters or interests. Staff and their families may make use of the sporting equipment and facilities, outside of school use and hours, as made available by the PE and Sports department, but all care and respect must be shown for the equipment and facilities. General Professional Standards • Official working hours from Monday to Friday are 8:00 am – 5:00 pm. for Senior School, Whole School and Administrative team members. • Official working hours from Monday to Friday are 7:30 am – 4:30 pm. for Junior School team members. • Staff should swipe in/out at security. • In case of illness or other circumstances when you are unable to come to work you must contact Line Manager before 7:00 am and create a ticket (absence leave) through the Help Desk. • If an employee is absent from work for more than three days due to illness all staff should get a certificate from a Medical Centre or private practitioner and hand this to the HR manager when returning to school. • All staff are expected: – to get to know with the contents and meaning of the Code of Conduct and policies of the school, which are available online and located in Google Drive by this link; – exercise good manners and respect towards people, rules, institutions, and the environment; – be polite with colleagues and other members of the school at all times; – to respect confidential information given in the course of the work; – read and respect the email etiquette policy and check e-mail regularly; – to avoid doing anything which would make the public doubt your motives or your integrity as a school employee or would bring the school into disrepute.


8 Dress Code Haileybury Almaty prides itself on the professional environment it creates in the workplace, at the same time maintaining respect for individual expression and inclusivity. One of the school's key tools in achieving that professional environment is its dress code, which is in place for everyone. • The preffered dress code is "business attire". Clothing should be neat, clean and presentable at all times. • Unacceptable clothing includes tank tops, shorts, jeans, flip flops and athletic wear (except for PE staff). • Certain days (school breaks, INSET days, holidays and weekends) will sometimes be declared as dress down days, and on those days casual clothing is allowed. However, please remember that we still want to project a professional look. We expect all colleagues to use good judgement when deciding whether the clothes they wear to work are appropriate. Safeguarding Policy Haileybury Almaty is committed to safeguarding and promoting the welfare of children and young people, and expects all staff and those connected to the school to share this Commitment. This policy applies to staff, volunteers, and contractors who work with pupils on school premises or away from the school on an activity, visit or other educational pursuit. This policy therefore complements and supports a range of other policies (e.g. those relating to Complaints, Behaviour, Trips, Health and Safety).


9 The school will consider safeguarding aspects when undertaking development or planning of any kind. The school’s safeguarding arrangements are inspected according to the standards of recognised accrediting bodies, e.g. Kazakh Department for Education, COBIS, FOBISIA. The school’s core safeguarding principles are: • the school’s responsibility to safeguard and promote the welfare of children is of paramount importance; • safeguarding children is everyone’s responsibility. Everyone who comes into contact with children and families has a role to play in keeping children safe; • listening to children and to all members of the community (local and national) is fundamental to safeguarding, and is in the best interests of each child; • Haileybury Almaty is committed to a ‘speak up’ culture and believes in the notion that if you see something or sense something then you should say something – no concern is considered too small. If concerns are raised early then help can be provided at an early stage; • early indication that a child may need help is critical and a crucial part of our ‘speakup’ culture; • all staff must have the attitude that ‘it could happen here’ with regard to safeguarding; • safer children make more successful learners; • representatives of the whole school community, both local and expat staff, will be involved in safeguarding policy development and review; • safeguarding and related policies will be reviewed annually unless an incident or new legislation (Kazakh or British) or guidance suggests the need for an interim review. Health & Safety Haileybury Almaty Health and Safety Policy outlines the tools and conditions for maintaining a secure environment during educational and work processes. It aims to eliminate health risks arising from school activities, ensuring the well-being of students, staff and visitors. Haileybury Almaty reaffirms its commitment to overseeing occupational safety and health, ensuring students’ daily needs are met. As an integral part of the school curriculum, we educate children about health and safety to foster skills, knowledge and understanding for a positive, successful and healthy life.


10 Every member of the Haileybury Almaty community plays a crucial role in achieving our health and safety goals and commitments. Policy Implementation Procedure The Headmaster holds the responsibility for executing health and safety measures at the school. Operational matters follow this hierarchy: Headmaster Head of the Premises and Health and Safety Department Heads of Departments and Managers Staff Students All school staff share the responsibility to collaborate with their colleagues in fostering a healthy and safe workplace. They are also obliged to exercise reasonable care for themselves, their colleagues, the environment, and adhere to the Policy based on the assessments related to school activities. Health and Safety Training Safety education for students is integrated into the school curriculum and is administered by teachers. Personnel training on safety issues follows established requirements and is conducted by specialists from the Premises and H&S Department. New employees, on their first day of work, undergo an orientation programme detailing actions in the event of an incident, safety and health protocols, responsibilities for adhering to school procedures, reporting safety issues, risk assessment, and more. Within the framework of training activities, students and staff regularly participate in practical sessions covering: • Actions in the event of a fire. • Procedures during an earthquake. • Measures to take in the event of an intruder. Briefings held throughout the year encompass various topics related to the school's activities. School staff will only be expected to follow procedures after receiving proper information about them. Communication of Health and Safety Issues If a school staff member identifies any potential safety hazard to themselves or others, it is their responsibility to


11 mitigate the risk by eliminating the threat, provided that doing so does not expose them to a greater risk. Should a school employee encounter a health or safety issue beyond their capacity to minimise, they must promptly report the risk to their manager, the head of the department, or the Premises and H&S Department by completing the High Potential Risk Report. The incident reporting form is accessible online through the electronic application system at https:\helpdesk. haileyburyalmaty.kz. The completed form serves as the basis for subsequent actions. On a weekly basis, the SLT Committee, department heads and specialists from the Premises and H&S Department review occupational safety and health issues in the organisation of the educational process. Behaviour Policy Introduction Haileybury Almaty (HAL) believes that the highest standards of behaviour are crucial to ensuring that all pupils achieve their academic potential. As part of the School’s commitment towards ‘Unlocking the Potential of Each Child’, success is encouraged through the positive reinforcement of good behaviour, through praise so that all its pupils can grow and flourish in a community which will allow them to achieve success and develop their selfconfidence. HAL provides a comprehensive pastoral support system for all pupils through which good behaviour is taught and exemplified. It is the School’s responsibility to promote confidence, self-esteem and resilience through challenge, encouragement, recognition, incentives and rewards that are appropriate to each individual pupil. Expectations are set out in the Pupil’s Code of Conduct. It is important that all teachers and pupils are aware of the expectations and all teachers maintain high standards of behaviour. Behaviour Management Teachers should seek to create positive professional relationships with individual pupils and classes. Good lesson planning should, where necessary, include planning for behaviour management. The certainty of a sanction is more effective in changing young people’s behaviour than the severity. Class teachers must ensure that when a consequence has been issued, a sanction is instituted and a restorative conversation takes place. Where disruptive behaviour, even at a low level, is repeated, teachers are encouraged to contact parents and where possible meet with them, supported where appropriate. Rewards Pupils respond best to recognition, appreciation and encouragement and, with this in mind, there is a strong emphasis on praise, encouragement and reward at HAL.


12 Staff are encouraged to give praise where it is due both in academic and co-curricular situations. It is important to clearly reinforce what this good behaviour is. In addition, other mechanisms exist for the recognition of positive achievement, as follows: • Recognition for individual, team or House achievements. • Announcement of particularly prominent individual or team successes during School or House Assemblies. This will include the award of cups, trophies and prizes as appropriate. • The award of Certificates of achievement, progress, attitude to learning e.g. in Music or in the Maths Challenge. • The award of Prizes on Speech Day as a result of achievement, progress, attitude to learning and involvement in the activities of the school. Consequences Whilst HAL aims to promote the positive in each individual pupil, the School also recognises the need for consequences where behaviour falls below expected standards for the School. As such, the School maintains high standards of behaviour for pupils in the Junior School and Senior School as follows. When addressing issues of poor behaviour, staff at HAL are encouraged to take action according to each individual pupil(s) involved based on the following principles: • Positive Correction: the basic premise that teachers and schools should adopt a non-confrontational approach to discipline, based on positive teacherpupil relationships, respect for the dignity and rights of individuals, choices about consequences of behaviour and encouragement for pupil selfdiscipline. • Prevention: planning for good behaviour; teaching routines and the rules. • Consequences: have a clear structure that pupils understand and use to inform the choices they make. • Fresh Start: consequences from previous lessons should not be brought to a new lesson (subject to appropriate sanctions having been satisfactorily served) so that pupils start each lesson with a clean slate. Absence Protocol All types of absences should be submitted and approved in our internal system Helpdesk before taking time off.


13 Properly documenting absences helps us maintain efficient operations and ensures adequate coverage in your absence. While we encourage pre approval for planned absences, we understand that unexpected situations can arise. In case of emergencies that require immediate absence, please notify your line manager as soon as possible. A retrospective ticket on the Helpdesk may be required. Sick leave. A sick leave up to ten (10) working days per academic year due to illness is paid in full to any staff member. Any further sick leave beyond 10 working days is paid with a statutory sick pay in accordance with the KZ Law. A medical certificate is required if a sick leave is more than 2 consecutive days. Parent Communicaton Policy The School wishes to maintain an environment where parents will feel fully informed and will be comfortable in contacting appropriate people at the School when the need arises. Communication takes many forms including face-to-face contact, telephone contact, email and other electronic communication and letters. Whatever the form, the manner of the communication should be respectful. Staff have a right to feel safe in carrying out their professional duties and should reasonably expect to be supported by school leaders should they find themselves threatened or intimidated, or treated with a lack of respect, in their dealings with the School community. Procedure Most appropriate means of Communication. In general, the most personal form of communication is preferable, but not always practical. All of the communication types listed above will sometimes need to be used, but when an issue is considered to be of a serious nature to a school family, phone and/or faceto-face contact is the preferable and most effective means of communication. Matters considered important, but of lesser urgency, such as homework completion, enquiries about the best person to speak to, concerns about required uniform, canteen availability and so forth are often more appropriately made either by email. We understand that while personal contact is always preferable, it is not always possible. All communication with staff, no matter how emotional the issue, should always avoid personal attacks, emotional rather than factual assertions and unsubstantiated allegations (based on rumour and hearsay). These are unhelpful in identifying and resolving issues to the satisfaction of all parties. Who to tell and when to speak to someone else If you have a concern with your son/daughter’s performance in a particular subject or class or are unhappy with a teacher’s response or approach to your


14 child’s learning, it is always preferable if you speak directly to the relevant teacher about your concerns (at a mutually agreeable time). Speaking directly to the person with whom the responsibility lies is the most efficient and effective means of resolving any concerns. It also extends the respect due to the staff member as a professional in our school community and ensures that simple misunderstandings or misinterpretations are not unnecessarily escalated to a crisis level, which is distressing for all involved. The list below represents the preferred order of contact for most issues, except the very serious. If you have spoken to a classroom teacher about a concern and feel that the matter is unresolved, and you cannot speak to them again, you should feel free to contact the next person in the chain of responsibility. • Class or Subject Teacher. • House Tutor or Class Teacher. • Head of House. • Deputy Head Pastoral or Deputy Head Academic. • Deputy Head. • Head of Junior School or Headmaster. Digital Policy Staff Haileybury Almaty recognises the central and important role of ICT to support pupils in their learning. All teachers at Haileybury Almaty are teachers of ICT and Computing and to support them in their work, staff are offered professional development opportunities and technical support where necessary. The Head of IT oversees and works directly on the School Information System, iSAMS. The IT Services team also assists in the provision of staff training in the ICT area in conjunction with the Head of Digital Learning who oversees and progresses digital teaching and learning across the school. The experience of the Head of IT Services and the IT Services team has ensured that the technical aspects of the School’s systems have already progressed beyond a standard school installation. The ICT Curriculum is integrated into departmental schemes and in academic lessons. Computing is taught as a stand alone subject. Training As part of the new staff induction program and existing staff CPD, before the school term begins all staff are given training on how to use the ICT systems in school. This includes the use of hardware such as Promethean panels, desktop computers, Chromebooks and laptops as well as the Google fundamentals such as Google Drive,


15 Docs, Slides and Google Classroom as part of the Google Workspace for Education (WFE) Platform. Whistleblowing Policy Haileybury Almaty is dedicated to providing the utmost care for its pupils and staff. We aim to ensure that all members of the school community feel safe in the knowledge that they can voice any concerns in confidence and that they will be taken seriously and dealt with appropriately. This policy and procedure has been adopted by the School to enable members of staff to raise concerns internally and in a confidential fashion about fraud, malpractice, health and safety, criminal offences, miscarriage of justice, and failure to comply with legal obligations, inappropriate behaviour or unethical conduct. This policy refers to the Whole School and EYFS. Haileybury Almaty’s policy on whistle-blowing is intended to demonstrate that the School: • Has a culture of safety for raising concerns, valuing staff and of reflective practice. • Will not tolerate malpractice. • Respects the confidentiality of employees raising concerns and will provide procedures to maintain confidentiality so far as is consistent with progressing the issues effectively. • Will provide the opportunity to raise concerns outside of the normal line management structure where this is appropriate. • Will invoke the School’s disciplinary policy and procedure in the case of false, malicious, vexatious or frivolous allegations. • Will provide a clear and simple procedure for raising concerns, which is accessible to all employees. Staff who are concerned about the conduct of a colleague towards a pupil are undoubtedly placed in a difficult position. They may worry that they have misunderstood the situation and they will wonder whether a report could jeopardise their colleague’s career. All staff must remember that the welfare of the child is paramount. This policy enables staff to raise concerns or allegations in confidence and for a sensitive enquiry to take place. Haileybury Almaty takes responsibility for ensuring that all staff are aware of whistleblowing policy and procedures, and made to feel comfortable that they can voice their concerns no matter what the circumstances.


16 Definition of ‘whistleblowing’ Whistleblowing inside the workplace is defined as the reporting by workers or ex-workers of wrongdoing, such as fraud, malpractice, mismanagement, breach of health and safety law, or any other illegal or unethical act either on the part of management, the governing body or fellow employees. Workers may include volunteers, contractors and outside agencies or others. Please find full version of The Whistleblowing Policy by the following link. Complaints from Parents Policy Haileybury Almaty considers parents to be partners in the education and development of the pupils, and firmly believes that communication is essential to the success of this partnership. The School is committed to keeping parents fully informed of both general and specific matters relating to their children. In return, the School asks that parents share their thoughts and views as early as possible to allow the School to address any concerns before they become problems. With regard to dealing with concerns and complaints, the School believes that: • the needs of the pupils come first; • all parties have the right to express a view; • all views should be heard and valued; • concerns should be raised and addressed with courtesy and consideration; • confidentiality and communication are key. Raising a concern or complaint will not reflect adversely on a pupil or his or her opportunities at the School. Raising a Concern/Informal Complaint If parents have any concerns about their children, they should speak to a member of staff in school. In the first instance this will usually be the Class Teacher, Form Tutor or Subject Teacher, according to the nature of the concern. Depending upon the gravity of the issue, or where parents are not satisfied with the initial response, they may then wish to speak to a more senior member of staff, such as the Head of Faculty or Head of House. After this they could speak to the Deputy Head of Junior School, Deputy Head Academic or Deputy Head Pastoral. Following this they could speak with the Deputy Head or Head of Junior School. In particularly grave cases, or where parents are dissatisfied with the response of a senior member of staff, they may then wish to arrange an appointment with the Head. The earlier routes of complaint should always be investigated first before escalation. The table below provides guidance.

18 Whilst the School recognises that the source of a concern may be emotive and stressful, the School does not tolerate threatening or abusive behaviour towards staff. The School will handle concerns with courtesy and consideration, and asks that they be raised and managed in the same way. Haileybury Almaty considers parents to be partners in the education and development of the pupils, and firmly believes that communication is essential to the success of this partnership. The School is committed to keeping parents fully informed of both general and specific matters relating to their children. In return, the School asks that parents share their thoughts and views as early as possible to allow the School to address any concerns before they become problems. Staff disciplinary and grievance policy Haileybury Almaty is committed to the safety, protection and wellbeing of all members of the school community, and to fairness and consistency in the way that disciplinary matters and staff grievances are handled. Our policy on discipline, conduct and grievances contribute to achieving this. It will be used alongside the school’s policies on child protection and safeguarding, allegations of abuse against staff, whistleblowing, and teacher appraisal and capability. The policy applies to all staff, including the Headmaster. The school expects staff to be professional and hardworking. It does not expect to have to discipline them for misconduct but disciplinary sanctions have to be in place should the need arise, if informal action has not been effective or is inappropriate.
