INTERNATIONAL COMPETETIONS
Introduction
Being a private school, KYS is not allowed to compete in competitions organized under the Ministry of
Education except for MSSNM/MSSM sports and games. To ensure that our students have enough
varied participation and competition in co-curricular activities, they are allowed to participate or
compete in activities organized by non-government bodies. However, this kind of competition would
incur cost.
The following are the categories of competitions organized by non-government bodies which our
students participate on a yearly basis.

The school pays for local co-curricular competitions – participation fee, student and teacher
allowances, transport and accommodation which are inclusive of fees collected. Expenses on
additional local participations organized by students themselves are not covered by the school.
All international competitions expenses are not inclusive of fees collected and are paid by parents or
sponsors except for the KYS-Vajiravudh Traditional Rugby Match in Bangkok which is paid by the
school. However, the school may pay the expenses of accompanying teachers.

INTERNATIONAL COMPETETIONS
Co-curriculum Policies and Procedures
1 Finance
All co-curricular activities where an approved budget is available and the amount is not
enough for the year, the committee can either raise funds or collect payment from the
students involved.
Procedure on Finance
a. Advisor must write in to get approval from the Principal to raise funds or collect payment
for an activity. A proposal on the activity have to be submitted together with the written
request.
b. All collection from the public or parents must be deposited into the school’s account. A
letter requesting for clearance to use the funds must be submitted to the Bursar. Other
methods of collection or payment, example parents paying directly to appointed agents,
will need approval from the Principal.
c. Advisor is responsible to ensure financial documents and audited financial accounts are
submitted by the treasurer for filing.
d. Advisor is responsible to hand in all excess monies to the school’s Account Department at
the end of each academic year. These monies will be brought forward to the next
academic year.
2 Co-curricular Activity Membership
All advisors and students must adhere to membership requirements for the co-curicular
activities in the school.
Procedures on Membership
a. Society membership is compulsory to all students. Societies organise inter-house union
night activities. There is a committee in each society. Every student must have a role in at
least one union night activity each year.
b. Every student is a member of a club. Each club must have at least 20 members.
c. Athletics, Swimming and Rugby are compulsory sports for boys. Athletics, Swimming and
Netball are compulsory sports for girls.
d. Athletics Club and Swimming Club memberships are compulsory to all students. Rugby
Club and Netball Club membership is compulsory to boys and girls respectively. There is a
committee in each sports club.
e. Participation in hobby-based activities is optional. Students can only join one hobby-based
activity. Students can be selected as school representatives in individual category or
captain, vice-captain and school representatives in team category.
f. Uniformed body membership is compulsory to all Lower Form students – boys are Boy
Scouts and girls are Girl Guides. Upper Form students can either continue with uniformed
body or dropped it and opt for ARP Silver/Gold awards.

g. All students must complete the ARP Bronze Award in Lower Form. Upper Form students
can either continue to do the ARP Silver/Gold awards or to drop ARP and opt to continue
with Uniformed Body activities.
h. Students can register in Martial Arts activities either as sports or Uniformed Body.
Membership in Martial Arts is optional. Students who do not join Martial Arts activities
must go for sports. Upper Form students who opt for ARP must join Martial Arts as
Uniformed Body. Students can register in Martial Arts as an additional sports activity.
3 Implementation of Co-curricular Activities
Advisors and organizing committees are responsible to implement co-curricular activities
following the guidelines given by both the Ministry of Education and the school.
Procedures on the implementation of co-curricular activities
a. Every co-curricular activity needs clearance from the management. It is the duty of the
advisor or manager and secretary to get clearance by completing a form provided by the
management.
b. A proposal on the activity is to be submitted together with a complete clearance form for
approval.
c. Club and society activities are implemented via a committee system.
d. Sports and games trainings are handled by external coaches and supervised by the sports
coordinator and warden on duty.
e. Staffs on duty are not allowed to make private arrangement in school activities.
f. Adhere to MOE co-curricular circulars.
g. Advisors are expected to guide students to participate in high value competitions or
tournaments.
4 Co-curricular Activities
There are compulsory and non-compulsory co-curricular activities for students.
Compulsory Activities
a. Societies- all students must join all societies.
b. Soft Skills Clubs – all students must join one club.
c. Sports Club – Athletics and Swimming for all students. Rugby for boys and Netball for girls.
d. Sports and Games- Athletics, Rugby and Swimming for boys and Athletics, Netball and
Swimming for girls.
e. Anugerah Remaja Perdana ARP – all lower form students and all upper form students who
opted out from Boy Scouts or Girl Guides.
f. Boy Scouts –All lower form boys and upper form boys who have opted out of ARP.
g. Girl Guides – All lower form girls and upper form girls who have opted out of ARP.

h. Martial Arts – All upper form students who opted to continue ARP and discontinue Boy
Scouts or Girl Guides.
i. Founders Co-curriculum Challenge – Long Distance Swimming for all students.

5 Participation in Co-curricular Activities
It is compulsory for every student to be active in co-curricular activities. Students must register
their co-curricular activities each year using a form provided by the school.
Procedure on the participation in co-curricular activities
a. Union night participation is limited to TWO per student per academic year.
b. Club activity participation is limited to ONE club activity per student per academic year.
c. Hobby-based activity is limited to ONE activity per student per academic year.
d. Students can be at most in TWO school teams in each academic year.
e. Students must achieve an academic GPA of at least 3.00 in key subjects (Lower Form) and
in elective subjects (Upper Form) to be eligible to participate in competitions or
tournaments that require overnight stays.
f. In cases where this GPA requirement is not met and participation of a certain student is
important for the success of a competition or tournament, advisors or managers must
request for approval to include the student.
g. The school is not obliged to provide facilities and resources for activities which students
apply to join on their own accord. Parents are responsible to take care of the needs and
apply for overnight leave if school days are involved during the competition.
6 Office Bearer, Constitution and Meeting
All clubs and societies must have a team of office bearers, constitution and hold meetings –
annual general meeting and business meetings.
Procedures on office bearer and meeting
a. A student can hold only one top position in either a club or a society. The same student is
allowed to be a captain or vice-captain of a school team.
b. Appoint an interim Chairman to dissolve the old committee and to appoint a new
committee, debate and approve new approvals.
c. Annual General Meeting must be held in June each year where annual report is presented
and proposals are debated.

d. Business meetings must be held to plan, coordinate, implement activities and to reflect
on the activities which have been carried out.

10 Discretionary Matters
Decision on discretionary matters or complexities is made by the Principal.
Procedures on discretionary matters or complexities
a. Where there is activity clash or more than one activity in a single session
When clash of activities or more than one activity in a single session occurs, students are
advised to decide based on the following situations to avoid disagreements.
(i) Choose the activity that is for a competition, tournament or an important
school event.
(ii) Go for the activity that the school pays for external experts to conduct
training.
(iii) Attend the activity made compulsory by the school.
(iv) Follow the practice on personalisation of education.
Unless approval is given by the Principal, no activity other than the ones scheduled by
the school should take place in any single session.
b. Competitions outside school during academic time
Students involved in competitions in the evening which is after 2.00 pm will go for the
competition after attending morning classes.
Students who finish competition by 10.00 am in the morning on a school day will come
back for afternoon classes.
c. Buying things for co-curricular activity
Students are not allowed to miss classes to go out to buy things for co-curricular
activities.
d. Activities that need parents to pay
Prior consent is needed from the Principal and parents for such activity to be carried out.
e. Extra Practice Time
Extra practice time, especially union night activities should not involve students who
already have prior scheduled work or practice.
