Agreement definition:
A SaveMoneyCutCarbon Service Agreement to continue maintaining the Propelair product base across the Moto estate. The
SMCC product and install warranty for all Propelair units expired on March 31st 2021. This agreement supersedes the
previous agreement. A team of dedicated in – house SaveMoneyCutCarbon engineers will carry out reactive maintenance
across the 26 Propelair locations at Moto services in England, representing 970 toilets.

A standard site visit procedure comprising 1) Actioning the Moto work order 2) Performing flush tests on all site units to
ensure operation is at 100%, with proactive maintenance works carried out where necessary to achieve this.
5 days a week cover during normal working hours 08:30 – 17:30. Emergency cover applied to weekends and bank
• holidays with the exception of Christmas Day and Easter Sunday. (Cover provided by Moto Regional Contractor Network).

Section 3: Author Narrative

Three months have now been completed on the nine month agreement.
This month, works orders received were up from May by 6. This is likely a reflection of the increased footfall at sites as restrictions relax and we head
into the summer holiday season. In contrast, the number of toilets logged as offline decreased by 6, which indicates that the work orders received in
June contained less toilets requiring repair. The number of sites visited within the month increased from 10 in May to 14 in June.
As with the previous months, flush tests of all units were carried out when the engineer attended site to either carry out a work order or a proactive
visit. 1466 flushes were completed in June.
Whilst attending Moto work orders and carrying out flush tests, SMCC technicians identified additional toilets requiring maintenance. These toilets
were not included on the original work order. This month, SMCC technicians identified 17 additional toilets across the 10 sites requiring repair. These
toilets were repaired at the point of discovery, as the work is already covered under the service agreement.
Chieveley, Toddington, Exeter, Reading, Knutsford, Lancaster and Birch are still prioritised for weekly proactive visits as a preventative measure.
This month the Southern Technician Martyn Baldry achieved 9 proactive site visits, which is a significant increase from the two completed in May.
In early June, David Hughes (technician for the North), left the employ of SaveMoneyCutCarbon, which caused short term disruption and resulted in
delays to attendance in the Northern region. As an interim measure, SMCC approved contractor Alex Haywood was brought back into service and
extra support has been provided by the Propelair technical team. We are now pleased to announce that a new technician has been recruited. David
Ball will join SMCC as a Propelair Technical Team Leader, as well as assume responsibility for service of the Midlands and North. In addition, a third
technician has been recruited and is provisionally slated to start on August 1st.
David joins SMCC with a wealth of experience in water systems, drainage and mechanical, having previously worked in the water treatment industry
for 10 years, prior to that, working as a drainage technician, maintenance manager and production supervisor. As part of David’s induction, he will be
visiting sites across the country and introducing himself to Moto Regional Maintenance Engineers and Site Managers.

Section 3: Author Narrative Cont.

QR Code Stickers
Since March 2021 SMCC have trialled this system across Moto sites. The purpose of the system is to provide each toilet with a unique asset code and
enable site staff and personnel to report issues at the point of discovery to SMCC.
The system so far has been successful in terms of creating an asset database and logging fix data electronically.
The external reporting function has not worked as effectively as hoped, due to limitations with the software. In addition, requests are being sent via
Fiix but not followed up with the corresponding Access Maintain work order. This has created difficulties in managing and reconciling information.
There have been instances whereby stickers have been removed from cubicles by third parties, resulting in the need for SMCC personnel to be
deployed back to site with new stickers.
Taking the above into account, SMCC have opted to discontinue the use of QR code stickers in cubicles, however the Fiix asset management software
will continue to operate in the background. Instead, stickers will now be located in the service voids, mounted onto the toilet cisterns. This way, each
toilet will retain its unique identified code for data management purposes. The location is not public facing and will ensure that stickers remain in
situ, without disruption.
Moto personnel will only need to submit a work order on Access Maintain. You will not be required to state the toilet numbers or venture into the
service void (unless you are an RME), instead, please provide a reasonable description of the area of work. E.g ladies 2nd from the left.
SaveMoneyCutCarbon technicians will continue to log all work carried out on toilets on the Fiix system, ensuring that there is a digital record of all
work carried out.
In July and August Martyn and David will visit all sites and affix QR codes to each toilet’s cistern.
Please DO NOT remove QR stickers from cubicles. SMCC personnel will do this when the corresponding cistern stickers have been installed.
