IIUM GUIDELINE FOR INTERNSHIP

1.0 INTRODUCTION

The document provides a guideline to the IIUM community pertaining to the
Internship for Students.

In line with the Sejahtera Academic Framework, one of the IIUM Educational Goal
is to nurture graduates who are balanced and harmonious (Insan Sejahtera) as
stipulated in the National Education Philosophy (Falsafah Pendidikan Kebangsaan),
crafted on value-based holistic and integrated Education for Sustainable
Development (Education 2030).

The main outcome of the Educational Goals is to nurture Insan Sejahtera, equipped
with useful knowledge and specialised skills, and committed to Islamic values and
practices imbued with integrity, Amanah, Iman, and Taqwa towards the realisation
of virtuous civilisation.

2.0 OBJECTIVES

As much as possible, we nurture the students with elements of KhAIR: Khalifah,
Amanah, Iqra’ and Rahmatan Lil A’lamin which are necessary towards the holistic
development of the Student.

In accordance with these elements, the objectives of the internship are:

a) To prepare a learning ground for Students in order to find their strength as
well as to grow their self-esteem.

b) To enhance Student's knowledge and skills with experiential learning
(learning to do) and life-wide learning experiences.

c) To facilitate Students in searching for opportunities that would be beneficial
for them after graduation.

3.0 LEARNING OUTCOMES

After completing the Internship, the Student will be able:

a) To enhance their competency skills in their specialization field;
b) To relate the experience in the place of Internship with the subjects taught in

the University;

c) To apply the theory and academic knowledge learned in the placement of
Internship;

d) To improve the interaction and communication skills efficiently; and
e) To obtain experience and knowledge which could be useful in selecting their

career path after graduation.

4.0 CREDIT HOURS

For certain programmes, Internship is a requirement for graduation and must be
given a specific amount of credit hours in accordance with the quality standard of
Malaysian Qualifications Framework (MQF). It is proposed that the credit hours
given be at least two (2) credit hours and not more than twelve (12) credit hours.

5.0 DEFINITIONS

a) Assessor
Any person who is appointed by the Centre of Studies (CoS) to evaluate the
Students’ performance during Internship.

b) Centre of Studies (“CoS”)
A place where the Student studies in the University such as the Kulliyyah, Centre,
Department, etc.

c) Duration
The period in which the Student undergoes the Internship.

d) Internship
Internship refers to the Student's placement for practical training under the
supervision of the organization to which they are attached, within or outside
Malaysia, for a specific duration, before being awarded a bachelor's degree.
Internship can also be known as clinical training, practicum, law attachment
programme, industrial training, practical training, or any other terms endorsed by
the University.

e) Student Placement

A place where the Student undergoes Internship such as a company, firm, school,
organization, government agency, non-governmental organization (“NGO”),
centre, institution or any other bodies approved by the CoS.

f) Student Placement Supervisor
A person who is appointed by the Student Placement to supervise and assess the
Student’s performance throughout the Internship duration.

g) Coordinator
A person who is appointed by the CoS to manage and coordinate Internship
activities at the CoS level.

h) Office of Industrial Links (“OIL”)
An office that assists CoS in managing IIUM Students’ attachment for Internship
and reporting to the relevant authorities.

i) Office of Deputy Rector (Academic and Internationalisation) (“ODRAI”)
An office that oversees the Internship activities of the University with the
assistance of OIL.

j) Student
A registered undergraduate Student of the University.

k) University
“University” means the International Islamic University Malaysia established by
the Yang di-Pertuan Agong under subsection 5A (2) of the Universities and
University Colleges Act 1971 [Act 30].

6.0 GUIDELINE ON INTERNSHIP

6.1 REQUIREMENTS

A Student who has met the requirements set by the CoS is eligible to undergo
Internship.

6.2 DURATION

a) The duration of the Internship is subject to the approved academic programme
based on the requirements stipulated by the programme standard and / or the
professional bodies.

b) In the event a Student does not fulfil the minimum requirement of duration at the
respective Student Placement with a valid reason, the Student shall obtain
approval from the Dean of the CoS and/or the Student Placement to shorten,
extend or defer the duration of the Internship.

6.3 MEDICAL COVERAGE

a) The Student is covered under the University’s appointed insurance/takaful
agency.

b) A Student who requires further clarification should liaise with the Welfare
Management Unit, Student Affairs and Development Division (“STADD”).

c) A Student who undergoes an Internship outside Malaysia shall consult STADD
for specific medical coverage.

d) CoS should identify whether the Student Placement requires additional
workplace insurance coverage, such as for the occupational safety and health
(“OSH”) of the Student.

6.4 RESPONSIBILITIES OF STUDENT

6.4.1 PRE-INTERNSHIP

a) The Student shall ensure that all requirements are fulfilled and the related
documents are completed.

b) If the Student is applying for an Internship outside Malaysia, he/she is responsible
to prepare for the necessary visa requirements. The Student is also advised to
report to the Malaysian Embassy of the country.

c) The Student shall fulfil the requirements of the CoS to register for an Internship.

d) The Student shall attend briefings on Internship matters organized by the CoS.

e) The Student shall obtain approval from the CoS on the selection of a place for an
Internship. Under certain circumstances, the CoS will obtain approval from the
place of Internship.

f) The Students shall not reject Internship offers without the approval of the CoS.

g) The Student is not allowed to do an Internship at the CoS where he/she studies.
Exceptions should be made for CoS that have industrial partners within the
campus, or under certain circumstances.

h) The Student is not allowed to do Internships in industries under the supervision
of his/her immediate family members.

i) All expenses related to the placement of the Internship are borne by the Student.
Under certain circumstances, if the Student chooses to stay in the Mahallah, the
Student must have made prior arrangement with the respective Mahallah Office.

j) The Student shall fill in and submit the Letter of Undertaking to the CoS prior to
commencement of the Internship.

k) Monetary allowance or stipend is subject to the discretion of the Student
Placement.

6.4.2 DURING THE INTERNSHIP

a) The Student shall report for duty at the Student Placement on the specified date
and time, and return the report for duty form to the CoS within the stipulated
time. Under certain circumstances, the CoS will prepare the evidence of report
duty for Internship.

b) The Student needs to abide by the Student Placement’s policies, procedures, rules
and regulations.

c) The Student is not allowed to share any of the information/facts with anyone
outside the office through oral conversation, in writing, electronically or by any
media of communication unless with prior approval of the Student Placement
Supervisor. Any information obtained whilst undergoing the Internship is
confidential.

d) The Student shall plan and discuss with the Student Placement Supervisor the
scope of training as required by the CoS.

e) The Student is required to fill in the logbook of activities/summary of cases as
required by the CoS, which is to be verified by the Student Placement Supervisor.

f) The maximum number of days of leave allowed during the Internship is subject
to the approval of the Student Placement Supervisor and Coordinator, excluding
medical leave. In the event the Student takes leave beyond the approved duration,
he/she should replace the days taken, subject to the discretion of the Student
Placement Supervisor and Coordinator. Under certain circumstances, the Student
shall replace any leaves abiding by the requirements of professional boards.

g) The Student needs to adhere to the University’s rules & regulations.

h) The Student should not commit to any contract of service or enter into any
contract with the organization to which the Student is attached during the period
of Internship. In the event that the Student is required to enter into a contract, the
matter should be brought before the CoS.

i) The Student should not register for any other courses during the duration of the
Internship unless approved by the CoS.

j) The Student should report and provide evidence to the CoS on any
misconduct/harassment/illegal activities experienced by the Student during the
Internship duration in the respective Student Placement.

k) The Student is responsible for his/her health, safety and security at all times.

l) In the event of an emergency, the Student should contact the Coordinator
immediately.

m) The Student shall not be allowed to withdraw/change the place of Internship
without approval from the CoS.

n) The Student should forward leave application document during Internship (if
any) to the CoS.

6.4.3 FAIL IN INTERNSHIP

The Student may be given a FAIL grade if:

a) He/she fails to meet the requirements set by the CoS.

b) He/she obtains an unsatisfactory report for the Internship from the Student
Placement Supervisor and Assessor from CoS, and / or fails to submit the
required documents without any valid reason within the stipulated time.

c) Any of the information provided in the documents is found to be
false/plagiarized, or if the Internship documents have been falsified in any
manner.

d) He/she does not complete the duration of the Internship without a valid reason.

6.4.4 DEFERMENT OF INTERNSHIP

a) A Student who needs to defer the Internship should obtain the written consent of
the Coordinator and submit an application to the Dean of CoS within the add/drop
period of the semester after the Internship begins, EXCEPT for approved medical
reasons and approved leave of absence.

b) A Student who represents IIUM in co-curricular activities or attends training
should be considered for deferment / I grade / IP grade and apply to the office in
charge of academic management in the CoS for approval.

6.4.5 POST INTERNSHIP

a) The Student shall submit the required documents to the CoS (such as logbook,
presentation, report, evaluation report by the Student Placement Supervisor, a
summary of cases, etc.) according to the stipulated deadline.

b) The Student needs to fulfil the criteria for Internship and to obtain at least
satisfactory evaluation marks, as set by the CoS.

6.5 RESPONSIBILITIES OF CENTRE OF STUDIES

The responsibilities of the CoS are as follows:

a) To ensure the Internship placement applied by the Students are relevant to the
programme, legal and ethically compliant.

b) To specify the necessary requirement according to each programme under the
CoS.

c) To decide on the criteria and marks for evaluation.

d) To notify the Student, Assessor and Student Placement Supervisor of the criteria
of evaluation.

e) To ensure the evaluation is based on the following:

● evaluation by the Assessor
● evaluation by the Student Placement Supervisor
● evaluation based on the logbook/summary of cases, report and/or

presentation.

f) To provide data and information related to the Internship upon request by OIL.

6.6 RESPONSIBILITIES OF ASSESSOR
The responsibilities of the Assessor are:
a) To plan a visit by the lecturers involved, if required, and liaise with the Industrial

Supervisor on the date of the visit.
b) To communicate with the Student Placement Supervisor on the Students'

performance during the visit either remotely or face-to-face if required.
c) To communicate with the Students regularly to check on the formative side of

the programme.
d) To evaluate the required documents by the CoS submitted by the Student (such

as logbook/summary of cases, presentation, report, evaluation report by the
Industrial Supervisor, etc.).

6.7 RESPONSIBILITIES OF STUDENT PLACEMENT
The responsibilities of the Student Placement are:
a) To appoint a Student Placement Supervisor who is well-experienced in the field

to mentor, monitor and assess each Student for the Internship evaluation.
b) To submit the required documents to the CoS within the stipulated time (such as

a report for duty form, evaluation report, completion of the Internship, etc.).
c) To report and provide evidence to the CoS on any misconduct/harassment/illegal

activities conducted by the Student.
d) To adhere to the regulations stipulated by the University and Ministry of Higher

Education with regards to the Internship Student.

6.8 RESPONSIBILITIES OF OIL
The responsibilities of OIL are:
a) To revise and update the guideline on Internship for implementation at the CoS.
b) To assist CoS with information about Internship placement for Students.

c) To conduct proper evaluation and monitoring procedures to ensure the success
and sustainability of collaborations for Internship.

d) To enhance strategic links between student placements and the University,
facilitate and strengthen the links formed.

7.0 GOVERNING LAWS
Students are governed by the following rules and regulations:
a) IIUM Student Disciplinary Rules
b) IIUM Dress Code
c) Student Academic Performance Evaluation Regulation (SAPER)
d) Policies/guidelines of CoS and Residential Services Department
e) Any relevant laws applicable during the period of Internship (to the respective

Student Placement and country).
