This guide outlines the general guidelines, policies and procedures of Student Internship Program (SIP). More specific on-the-job training requirements will be outlined in the course provided by the On-the-Job Training Coordinators and Training and Development Department. Required internship duration: o Between 150 to 900 hours II. Training Officers will extend interview invitations via email to the shortlisted students. o Interviews are primarily conducted in person, requiring physical presence at the hotel. i. Selected students will be interviewed by Training Officers on scheduled dates and time. o Camp John Hay Leisure Inc (The Manor at Camp John Hay, The Forest Lodge at Camp John Hay, CAP Convention and Cultural Center) requires face to face interview or virtual interview as arranged prior by the Training Officer and School/Internship Coordinator. o Interviews are to be scheduled from Mondays to Fridays, 8:00 AM – 5:00 PM except on Public Holidays. II. Students are required to wear either their corporate attire or school uniform during the interview. III. It is mandatory for students to confirm their attendance one day prior to their scheduled interview. IV. For in-person interviews, students should enter through the Employees Entrance to obtain a Security Pass. o Personal items, including mobile phones, will need to be surrendered before the interview. You will receive a numbered card for reclaiming these items after your interview is complete. V. During the interview, students will be assessed based on a point system, evaluating the following criteria: o Appearance: Professional attire and meticulous grooming. o Bearing: Demonstrating confidence and a strong presence. o Expression: Clear articulation of ideas and thoughts. o Job Knowledge: In-depth understanding of the role and necessary training. o Motivation: Evident interest and enthusiasm to work with the hotel. o Personality: Exhibiting a charming and agreeable demeanor. General Guidelines: 6.1 Interns are to be assigned tasks under the guidance of a senior employee. 6.2 All task assignments must be official and students must receive proper training and guidance. 6.3 Mobile phones and personal belongings are not allowed within the offices and public areas at all times. 6.4 The checking and monitoring of student interns will fall under the responsibility of the Department Head. 6.5 Any concerns, issues or suggestions related to the work performance of student interns should be communicated directly to Training Officers. This enables prompt coaching and the addressing of specific areas needing improvement. B. Work Schedule and Leave Application 6.1 Interns are entitled to one day off each week. 6.2 The standard duration of intern’s shift is 9 hours, which includes the time allocated for a meal break. 6.3 The standard internship duty hours are from 6:00 AM to 7:00 PM. 6.4 Hour deductions are calculated as outlined below: i. For the 7:00 AM – 4:00 PM Shift: 1. Arrival between 7:01 and 7:30 AM results in a 30-minute deduction. 2. Arrival between 7:31 and 8:00 AM results in a one-hour deduction. ii. ii. For the 8:00 AM – 5:00 PM Shift: 1. Arrival between 8:01 and 8:30 AM results in a 30-minute deduction. 2. Arrival between 8:31 and 9:00 AM results in a one-hour deduction. **Please note, these deductions do not exempt the student intern from attendance monitoring; refer to section 6.5 for further details. 6.5 The Student Intern Handbook is nearing its final approval phase by the Management. Under this section, 2.1 specifies the consequences for unexcused lateness more than three times within a calendar month, classified as Type B offenses: i. 1st Offense: Written Warning ii. 2nd Offense: Demerit of up to 16 hours and a Notification sent to the School Coordinator regarding the violation iii. 3rd Offense: 32-hour demerit and Notification to the School Coordinator about the violation iv. 4th Offense: Termination from the Student Internship Program (SIP) and a formal endorsement back to the School Coordinator. 6.6 Interns desiring to work from 7:00 PM to 11:00 PM must provide a parental waiver, duly recognized by the School Coordinator and their parents/guardians. 6.7 Double hours are applicable only on Regular/Special Holidays or for designated special assignments, and upon the Director of Training & Development's authorization. i. The Training Officer is required to provide a signature on the Daily Time Record (DTR) to authorize double hours, but only for special assignments. 6.8 Interns are entitled for 1 meal break with the supervising department ensuring adherence: i. A main meal break of 30 minutes (lunch/dinner). ii. When interns take breaks, they are required to properly sign out and then back in at the Employees Entrance, which must be acknowledged by the Security Personnel. This procedure is in place to ensure adherence to the designated break duration and prevent any instances of exceeding the allotted time. iii. Template forms will be forwarded to assigned departments on the day of deployment. 6.9 The Department Head is entrusted with the approval of leave requests and the management of schedules. i. Student Intern Leave Form Application 1. Vacation Leave applications must be submitted at least 2 days in advance. 2. Academic Leave, required by the school and endorsed by the academic advisor, should be requested at least 1 day in advance, accompanied by the relevant endorsement or request letter. 3. Sick Leave, due to health concerns, requires a Fit To Work Slip from the Medical Clinic upon the intern's return, with specific documentation based on the duration of the leave and Medical Certificate for leaves incurred, 2 days and above.

This student intern, acting as the representative, will confirm and recount the hours listed, utilizing a printed document for accuracy. ii. In the event of any discrepancies, the student intern is responsible for communicating these to their Training Officer, who will then review and address any corrections or clarifications needed. iii. To prevent congestion at the HR Office, only the designated student intern may act on behalf of their peers in matters concerning duty hours. iv. Modifications to the official record in the SIP DTR can only be executed by the Training Officer. v. Any unauthorized modification, falsification or tampering with the biometric data or the printed Daily Time Record (DTR) sheet will be considered a violation under Section 2.10 of the Student Intern Handbook, classified as a Type G Offense. 1. 1st Offense: Immediate termination from the Student Internship Program (SIP) and official notification to the School Coordinator. C. Training and Development: 6.1 Before deployment, student interns undergo General Orientation, Occupational Health and Safety, and are reminded of the following: i. Standard Greetings, including the Mabuhay Gesture ii. Grooming and Personal Appearance iii. Security Protocols and Office Etiquettes iv. Hotel Tour on both properties (The Manor and The Forest Lodge) v. Reporting and Work Attendance 6.2 Attendance at essential training sessions, integral to the program's curriculum, is encouraged and facilitated. 6.3 The Department Head is responsible for the continuous learning of the student interns, ensuring that they are informed of the updated events, facilities and promos that are ongoing in the hotel. 6.4 Scheduled visits from the School Adviser will be coordinated by the Training Officer with the Department Head to allow checking and meet/greet at the hotel property assigned. 6.5 The Training & Development Department reserves the right to reassign interns as deemed necessary for operational requirements or internal discussions between the Training Officer and the Department Head.

Disciplinary Actions: 6.1 Interns subject to disciplinary actions must be referred to the Training & Development Department, ensuring the intern has a minimum of 24 hours to provide an explanation. The appropriate form is available in the Training Room, with the School Adviser being informed of the proceedings. 6.2 Any internal investigations carried out by the Security Department concerning a student intern must involve the presence of the Training Officer or HR Personnel. The officers are responsible for conducting a briefing before and a debriefing after the investigation to maintain the psychological well-being of the intern. Additionally, they are tasked with notifying the School Adviser about the situation. 6.3 All violations of the student interns are reflected in their Certificate of Completion on the lower left of the certificate. E. Departmental Transfers: 6.1 Interns wishing to transfer departments must notify their current Department Head. Upon recommendation and/or approval, the transfer will be coordinated with the receiving department, under the supervision of the Training Officer. This guideline aims to ensure a structured and supportive environment for our student interns, aligning their practical experience with educational objectives and operational standards. For those needing access to specific documents, the following forms are centrally located and securely kept in the Training Room at The Manor, ensuring the privacy and confidentiality of each form: (1) Parent’s Waiver and Quit Claim Form (2) Leave Application Form (3) Letter of Explanation (4) Transfer Request Form (5) Letter of Request for Documentation including Memorandum of Understanding.
