EVENT SCANNER - INTRODUCTION

Event Scanner is the easiest way to manage entry to venue and
arena events. Scan passes to provide immediate validation and
confirmation of ticket holders.
Let’s get started.

1. EVENT SCANNER – LOGGING IN
A valid user Passcode will be required to login, use the keypad to enter the pin. The username
is displayed to confirm logging in successfully.
The username is recorded onto the Scans database in the User column. The user will then be
taken to the Menu Screen.

Any user Passcodes that are not included on the Usernames database will result in a Not
Authorised warning screen. This will then return to the Login screen.

1.1. MENU SCREEN
The Menu Screen includes the following options to choose from.
Scan Tickets: Start the Event Scanner application to begin to scan
tickets.
Log Out: Logs out the current user and returns to the login screen.
About: Shows current version and contact information of the
application.

2. EVENT SCANNER – SCANNING LOCATION
The user is must first scan the location of where they are stationed. Locations must feature 1D
barcodes for scanning, these details must be contained in the Locations database.
The location name will be displayed after a successful scan, location data is recorded on the
Scans database (see 5. Databases).

Any scanned location barcodes not on the Locations database will result in an Invalid
Location warning screen. This will then return to the Scan Location screen.

3. EVENT SCANNER – SCANNING
Now you are ready to scan. When scanning is achieved the application will search the Tickets
database to confirm if the barcode is valid. Ticket information is shown on screen after a
successful scan which includes Event Name, Name, Barcode Number, Entry Type, Area, Row
and Seat.
To track the user activity scanned ticket details (location, user, device serial number, event
name, barcode, ticket holder name, scan date/time stamp) are logged on the Scans database
(see 5. Databases). The application will then return to the Scanning screen.

Event Scanner will also identify if a ticket was previously scanned to prevent any misuse. Any
scanned ticket barcode already found on the Scans database is flagged and will result in a
Ticket in Use warning screen. The ticket owner, barcode and previously scan date/time is
shown on screen.

Any scanned ticket not on the Tickets database will result in Invalid Ticket warning. This will
then return to the scanning screen.

4. EVENT SCANNER – LOGGING OUT
From the Ready for Scanning screen press Fn1 for the Menu Screen. Then select option 2 to
Log Out and return to the log in screen.

5. DATABASES

Event Scanner application requires four databases to function - Usernames, Locations, Tickets
and Scans. Data is exported into CSV format which can be amended to include your own
users and ticket information with Excel, then imported back to the OPH-**** handheld (Please
refer to section: 6. Opticon Syncing Software).
Featured Databases
Usernames: All users who have access to login the Event Scanner application are featured on
this database. Entering the login passcode will look to this database to see if the user is
authorised.

Tickets: This database features all ticket information which includes Event Date, Ticket Holder
Name, Barcode, Event Name, Admission, Price, Area, Row, Seat. Every ticket scan looks to
the database to confirm if the barcode number is valid.
Some columns on this database do not require any information, it will depend on the event. For
example, one event may take place in an arena where seating detail is needed. An exhibition in
an open area will not need any seating information.
It is recommended to populate the Event Date, Ticket Holder Name, Barcode and Event Name
columns as a minimum.
Both examples can be seen in the screenshot below.

Locations: All Location details are featured on this database which also includes the barcode
and area name. When scanning a barcoded location, it will look to the database to see if the
location is valid.
Scans: All valid scanned ticket barcodes are recorded to include, Location, User, Device Serial
Number, Event Name, Barcode, Ticket Holder Name, Scan date/time Stamp and Ticket in Use
(if any duplicated ticket scans are flagged the barcode and scan date is logged here).

6. OPTICON SYNCING- INSTALLATION
The OPH-**** mobile terminal requires Opticon Syncing software to download databases into an
CSV or XLS file. Opticon Syncing can also upload amended databases back to the mobile
device.
Download and install Opticon Sync App software on a PC running Microsoft Windows 7 with an
Internet connection.
Depending on your browser, you may have to select Keep from a popup message:

You may only see this popup: select More Info, then Run Anyway

When the installation has finished, a shortcut will be created on the Desktop. There is also a
tray icon that will appear on the bottom right of the taskbar.

6.1. OPTICON SYNCING - CONFIGURATION SETTINGS
Right-click the tray icon and click Settings to access configuration options.

Directory Options
TO PC Directory: This is where database files from the mobile terminal will be uploaded. (If the
file name matches a database name on the scanner, and the retrieving databases list is blank or
contains the database name)
FROM PC Directory: Any database files placed in this folder will be sent to the mobile terminal.
(If the file name matches a database name on the scanner, and the sending databases list is
blank or contains the database name)
