To ensure smooth operations and maintain a high level of safety and security, comprehensive documentation and well-defined procedures are essential. Port documentation encompasses a wide range of records, permits, and licenses required for the various activities performed within a port. Procedures in a port refer to the standardized processes and protocols that govern different aspects of port operations. These procedures cover a broad spectrum of activities, such as vessel and cargo handling, port entry and exit formalities, customs inspections, security protocols, and emergency response plans. RESPONSIBILITIES When cargo or freight arrives at the port of entry, it is the responsibility of the shipper or a designated agent to inform the importer of its arrival, usually the local agent of the carrier. However, proper notification does not always happen. Therefore, it is important to find out the scheduled arrival date of your import and follow-up. Prepare paper works as early as possible.

The bill of lading has three main functions which is evdence of a contract of carriage, receipt of goods and document of legal title to goods
AIRWAY BILL An Air Waybill (AWB) is a contract between an air carrier and a shipper that outlines the terms and conditions of carriage for goods being shipped by air. The AWB also serves as a receipt for the goods being shipped and a document of title. Some of the key functions of AWB include providing detailed information about the shipment, the volume or weight of the shipment, the number of packages in the shipment, Contact information among all parties, acting as a receipt for the goods being shipped, and serving as a contract between the shipper and the airline. AWB also typically includes a list of any special instructions for handling the shipment.
PACKING LIST A packing list is a shipping document that lists the details of the packaging agreed upon by the buyer and seller. It's usually made by the sender and includes the following information The packing list provides insights into how the shipment is packaged, facilitating proper handling and transportation planning from the point of origin to the final destination.
COMMERCIAL INVOICE The commercial invoice is one of the most important documents in international trade and ocean freight shipping. It is a legal document issued by the seller (exporter) to the buyer (importer) in an international transaction and serves as a contract and a proof of sale between the buyer and seller. It is a legal requirement to fill out a commercial invoice accurately. Failure to do so may result in lengthy hold-ups and shipping delay costs.

Customs Form No. 3 (K3) is an application or permit to transport goods within Malaysia, including from Peninsular Malaysia to East Malaysia or vice versa. Customs Form No. 2 (K2), the Export Declaration Form, is an official document required to export goods from Malaysia. Customs form number 8 in Malaysia is an application or permit to remove or tranship goods. It is also known as an application/permi t to move or transit duty unpaid goods. Customs Form No. 9 is a Malaysian form that gives a requisition or permit to release dutiable goods from customs control.

An arrival notice, also known as an arrival notification is a letter that notifies the recipient of the projected arrival date of a shipment, sent by the shipping company, agent, or ocean freight forwarder. DOCUMENTATION FOR BERTH Notice arrival A cargo manifest is a written list of every item of cargo that has been loaded aboard a ship or aeroplane for transit. For the shipping or transportation firm, customs officials, and other pertinent parties, it acts as a crucial record. Cargo manifest
Container storage and movement plans are developed by the port's operational resource planning department, which considers factors such as container size and type, terminal layout, equipment availability, and traffic patterns. SHIP WORKING In order to address real-world issues with effective cargo processing, vessel turnaround, and prudent use of port facilities, the department plans short-term by assigning the port's resources and services. Along with managing funds, the department also oversees the loading and unloading of equipment and port facilities and controls cargo operations.

Direct delivery services have been arranged for in advance by the importer or their designated representative with the port authority or logistics service providers. DIRECT DELIVERY OCCUR WHEN 01 The importer has complied with all applicable regulations and submitted all required paperwork for customs, including customs 02 declarations, duties, and taxes. 03 The shipment has effectively completed the customs clearing process, which may involve document verification, inspections, and compliance with import/export laws.

DOCUMENTATION FOR RECEIPT AND DELIVERY DELIVERY ORDER A document issued by a carrier or forwarder authorizing a third party, whom appointed as their subcontractor, to deliver or release a consignment to a nominated party of the cargo. ELECTRONIC DELIVERY ORDER An Electronic Delivery Order (E-DO) is a document that authorizes the party that surrenders the original Bill of Lading to take delivery of the goods. It's a warrant for the delivery of goods or cargo in electronic form. CONTAINER PACKING LIST A container packing list is a document that lists the contents of each package, including the package's weight, measurements, and a detailed list of the goods inside
DOCUMENTATION FOR RECEIPT AND DELIVERY CONTAINER DAMAGE REPORT A container damage report is a survey that can help protect against damage claims and determine if the container met the requested criteria. The report can also include the type of damage, pictures, and other details. INWARD AND OUTWARD Inward and outward operations refer to the responsibility of shipping agents responsible for shipment and cargo at ports worldwide on behalf of the shipping company.
DOCUMENTATION FOR RECEIPT AND DELIVERY REQUEST OF TRANSPORT Document required and issued by the AM requesting the Customer or its agents to submit particulars and details of the Goods to be delivered. CONTAINER MOVEMENT ORDER Document that indicates where an empty container should be returned to. The responsibility of the carrier either begins (in the case of Port of Load) or ends (in the case of Port of Discharge) at the Container Yard. EQUIPMENT INTERCHANGE RECEIPT Document required when transferring a cargo container from one Vessel to another, or to a shipping terminal. The receipt includes the apparent exterior status of the Container.
