1.1)COMPANY TYPE OF DEPARTMENTALIZATION AND ADVANTAGES

1.1.1. FUNCTIONAL DEPARTMENTALIZATION

This division plans long term and short term business strategies which lead to the
development of the organization. This division undertakes the responsibility of all the
educational activities associated with PETRONAS. It involves the scholarships provided by
University Technology PETRONAS and the education programs provided to the community.

The Finance division provides the company with its accounting and financial reporting
backbone of the company. Its role is to identify financial sources to finance the operations of
the company and to locate profitable areas where the business can invest their money to get
higher returns.

The most important function of the human resource department is recruitment, selection and
training of employees among others. PETRONAS selects the best and brightest of employees

Organizational structure is the internal formal framework of a business that shows the way in
which management is linked together and how authority is transmitted. (Stimpson, 2006)
PETRONAS adopts the functional organization structure. It enables specialization and allows
its employees to focus on their respective areas. There are cross functional bonds between
the respective divisions and departments. It is the bond and process of specialization that has
led to the success of the organization.
Teamwork is encouraged. All the departments work together to achieve the company’s goals
and targets. This has proved to be rewarding for the organization as a whole and the
employees, customers, suppliers and the community.( https://www.ukessays.com/ )

1.1.2 PRODUCT DEPARTMENTALIZATION

PETRONAS is a leading integrated chemicals producer in Malaysia and among the largest in
Southeast Asia. We manufacture, market and sell a diverse range of chemical products,
including olefins, polymers, fertilisers, methanol and other basic chemicals and derivative
products. ( https://www.petronas.com/,2021 )

PETRONAS through its subsidiaries operate and co-invest substantially in petroleum
arrangement contracts, in partnership with other operators and investors among global super-
majors, independent oil companies and other national oil companies from around the world.

The development of the upstream industry provided the basis for the development of
Malaysia’s oil and gas industry, with an integrated value chain which has created opportunities
for over 3,000 smaller contractors alongside numerous global players to invest in the upstream
and downstream sectors of the industry. This ultimately provides high-value employment
opportunities and skills transfer to Malaysians, which in turn has transformed the economic
landscape of the country for the better. ( https://www.petronas.com/ ,2021)

1.1.3. CUSTOMER DEPARTMENTALIZATION

PETRONAS understands that customer satisfaction is critical to sustaining their market
leadership. For PETRONAS, information technology (IT) services are key to providing
excellent customer service. For example online payment using apps.

From processing credit cards to ensuring stocking orders can be made in convenience stores.
Any degradation can impact customer experience and customers might choose to take their
business elsewhere as a result.

In addition to customers visiting petrol stations and convenience stores, many are joined in a
customer loyalty program. In supporting this program, PETRONAS runs a call center for loyalty
members, and the IT team is tasked with ensuring call centre technologies are available and
performing well to provide high quality service.

So that, they can improved customer experience when contacting the loyalty rewards call
center by solving problems performance issues with the CRM application

PETRONAS will easily simplify problem resolution with hybrid cloud vendors and reduced
finger-pointing.Finger-pointing is eliminated between the network, server, and applications
groups with detailed smart data to pinpoint the root cause and provide the necessary evidence.

Customer interactions at petrol stations and convenience stores have been improved, where
previous issues could take 1 to 2 hours to detect and solve. This has been no wasting time
and takes place without anyone needing to report a problem. In the loyalty rewards call centre,
intermittent delays are no longer an issue, as the GeniusONE solution proactively detects and
allows it to correct problems that were nearly impossible to track down previously. Customer
service are now able to consistently access customer accounts to redeem reward points and
answer questions about the specific customer’s account. (https://www.studocu.com/ )

1.1.4.GEOGRAPHIC DEPARTMENTALIZATION

Company build up structure

Located by the shores of Sabah’s West Coast, adjacent to the Sabah Oil and Gas Terminal,
KPP is a gas-fired power plant which was developed as part of the Power Up Sabah initiative
under the Malaysian Economic Transformation Plan. The power plant commenced full
operation in November 2014, utilising natural gas from offshore Sabah.

In 2010, PGB was entrusted with the responsibility of building the nation’s first LNG
Regasification Terminal in Sungai Udang, Melaka (RGTSU). The company’s list of
commendable achievements expanded as the facility commenced its operations in May 2013.

While aspiring to maintain strong operational performance, PGB is also on the lookout for
opportunities to grow. This ambition is being realised as the company is currently pushing the
potential of its current assets. Then, diversifying their offerings towards providing integrated
solutions to existing and new customers.
With a proven track record of providing safe and reliable service to customers, the company’s
first three decades have proven to be instrumental in building resilience. A testament of this is
the scores of awards that the company had won both locally. The increasingly volatile
landscape of the industry does little to discourage PGB from constantly challenging itself in
growing bigger and better. https://www.petronas.com/ flow-issue-2-2018

1.1.5.PROCESS DEPARTMENTALIZATION

Oil making process

Our gas processing plants process upstream natural gas from offshore Peninsular Malaysia
for consumption of customers in the power generation sector as well as various industries
such as petrochemicals.
These operations are conducted at six plants that are divided into two complexes in the state
of Terengganu namely Gas Processing Kertih (GPK) and Gas Processing Santong (GPS).
Our plants have the capability to process and produce sales gas, ethane, propane and butane.
To ensure customer satisfaction, we aspire to continuously provide maximum service reliability
through operational excellence. In 2018, Gas Processing achieved its best performance in five
years, with 100% product delivery reliability for sales gas, propane and butane.
Under our Gas Transportation business, we run the 2,623km Peninsular Gas Utilisation (PGU)
gas pipeline network which sends gas for the consumption of power plants and other industry
customers across Peninsular Malaysia.
Gas Transportation is operated by our Gas Transmission and Regasification (GTR) Division
from our main Control Centre in Segamat, Johor. In addition to gas transportation, we also
transport small volumes of sales gas via our gas distribution system in Miri and Bintulu,
Sarawak.

11

The New Energy Policy, PGB is opening up all facilities available capacity of our regasification
terminal and pipelines to be utilised by qualified third parties. This is a step taken by the
company to promote importation of liquefied natural gas and the growth of the national gas
industry subsequently contributing to the Energy Commission's efforts to secure and manage
energy supplies for Malaysia's growing domestic demand and economic
growth.https://www.petronas.com/ flow-issue-2-2018

are required to undergo rigorous testing for COVID19 and serve a quarantine of at
least seven to ten days until the results of the tests are known.

● In order for small and medium-sized enterprises (SMEs) to stay in business, we have

introduced easements, rental exemptions, and deferrals for our retail business.

2.1. JOB POSITIONS NEEDED AND JOB DESCRIPTION

When the pandemic strikes, PETRONAS has been focusing more on virtual as there
is a barrier to meet people face-to-face nowadays. Thus, the company needs to recruit more
employees in the online marketing department to enhance and improve the company’s brand
amidst the situation. The jobs that we are recruiting are Web Marketing Manager. With this
job, they have to be responsible for developing and implementing the companies’ web-based
marketing strategy to promote the company’s brand, attract visitors and potential leads, and
generate sales. (www.shrm.org, 2021) Your duties as a Web Marketing Manager are planning
and implementing web-based marketing strategies and campaigns through the company’s
website. PETRONAS has its own official website but we need to keep improving as technology
is the main thing nowadays. Other than that, it requires you to evolve and expand the
company's web appearance through social media, email, web advertising, and other online
sources which can promote PETRONAS through these platforms. You also have to maintain
and follow current knowledge of trends and developments in online marketing so that
PETRONAS will be able to be a top-tier company.

Next, PETRONAS needs virtual reality developers. Virtual reality (VR) products are
still in their beginning but are growing in popularity. Therefore, PETRONAS is integrating VR
into its digital marketing campaigns. This is a high-tech job that needs people with a solid
background in technology and creative arts. As technology grows, PETRONAS wants to
improve the presence of the company by creating a VR for users, workers, and clients to be
able to use it in the future. With this current situation, we might not be able to go back to
normal, so with VR, we can see the actual situation in real-time, how PETRONAS's office
looks like, and other things too. VR developers should be able to identify the risks and
opportunities during development, maintain software system documentation, and run tests
and code reviews so that users can use it smoothly anytime in the future.

Lastly, we are recruiting a bot developer to help the company to run online marketing
faster and easier. What do you expect to do? BOT developers send commands through an
online HTTPS interface to the BOT which receives and acts accordingly. To set commands,
they must use the right interface and the right commands. BOT developers also create chat
groups with one or more BOTs which makes commands easier and faster. These interfaces
create a communication channel between people which makes PETRONAS business online
marketing easier. It will set commands that make our marketing experience automated in a
way that we do not need human involvement as much. The BOT Developers also protect our
business from the malicious BOTs that could lead to the generation of malware or virus on our
devices. (https://chiefinternetmarketer.com, 2021)

2.3. JOB RECRUITMENT PROCESS
PETRONAS’s recruitment method for new employees is via the Internet for obvious

reasons. This is to spread the word of recruiting new employees faster. We also advertised
and posted the job requirement under online marketing on online websites such as Jobstreet
and LinkedIn.The websites will be linked to the official website of PETRONAS. PETRONAS
too has its own official website where the applicants can see further and detailed information
about the job as an online marketer specifically. Applicants can straight away apply for the
online marketing job they want after reading the job description and qualification through the
form on the website. Online marketing jobs such as web marketing manager, bot developer
and virtual reality developer are the jobs that we are hiring. The applicants need to fill in the
Application form and curriculum vitae (CV). With this method, the applicant's personal data
such as the advertised position, contact number, name and address are collected in a
standard method to make it easier for the Human Resources Manager(HRM). Applicants also
must attach a two-minute video to express themselves in the best way. This will be able to
help the company to see a sneak peek of the applicant. (www.testgorilla.com, 2021)

After applying for the job, the applicants will undergo screening and be shortlisted by
the shortlisting panel member. The objective of shortlisting is to identify those candidates who
best meet the selection criteria for the post before the formal interview. Selection for the
shortlist is made by evaluating the applications in relation to desirable criteria listed in the
personal description. (www.kent.ac.uk, 2019)

Qualified applicants who have been shortlisted will be given a two weeks notice
through their email for a selection test. The purpose of candidate testing is to measure the
differences in their abilities and skills to select the right person for what kind of position or work
this person should do as an online marketer. This will be done via Google Form and time will
be allocated for an hour to answer 6 questions. This test is actually an ability test and
personality test to get to know the candidate. The test should be answered based on their
knowledge, abilities and experiences as we will prepare case problems for the applicant. This
process is effective to avoid getting the wrong person holding a job that is not suitable for
them. From the test, we can also see the candidate's training level and skills which may not
be displayed in the questionnaire.

The next process is holding an interview for the successful candidate in the previous
test. The interview will be held virtually too. It will be done through the Zoom Meetings platform.
There will be three interviewers who will be interviewing each one of the candidates
individually. The interview might be held for two to three days depending on the number of
candidates. Throughout the interview, interviewees should be able to hold a verbal
conversation and leave a great impression on the interviewers.

23

Lastly, the company will select the final candidates and offer the job to the new
employees through email. When they accept the offer, the new employees will be introduced
to the others and show them insights into how working in the PETRONAS. We will be giving
them a video that will explain everything about the job they are being offered, culture in the
company, and etiquette as an employee. By using this process, we can ensure that the
recruitment and selection process is fair and transparent. When all these methods are used,
it will help us to recruit great employees for PETRONAS and improve our marketing through
online platforms.

3. Tips for working from home

Working from home has become
widespread since the outbreak of the
pandemic COVID-19 in Malaysia.
This has meant a serious shift for
employees and organizations. These
changes have probably resulted in
many adjustments for you, your
family, and the people you work
closely with, although some found it
as a positive experience many others
have struggled to adjust to the new
environment and work patterns. As
lockdown measures are relaxed
homeworking is predicted to continue
making it the ‘new normal’ for several.
We know these times are unique and there's tons of stress and fear over COVID-19 so
managing performance from home under these conditions may be a bit different but these tips
may guide you to find some new ways of maintaining productivity while still allowing time for
the Netflix family and other ways to assist you. (https://www.flexjobs.com, 2021)

1) Freshen up!

Smelling good and feeling clean from the time you get up within the morning until night is
simpler said than done, to remain fresh start your day by cleansing your body many of us take
a shower every morning. If you reside in a temperate place and your skin is dry, every other
day could be best regardless of what always aims to wash often enough that you simply smell
good and feel clean. Being clean doesn't necessarily mean using the harshest cleanser
possible. Choose a body wash or soap that's gentle for everyday use.

After showering, those who have body odor get to wear deodorant to stop body odor from
becoming too strong during the day. If you tend to sweat a lot you may want to use a mixture
of deodorant and antiperspirant. Using all-natural deodorant sticks or rocks is trendy but it
wears off after a couple of hours. The only exception was homemade coconut oil deodorant
cream which quickly absorbs into the skin and keeps you dry and fresh.

25

One also got to wear breathable clothes to remain fresh. Wearing clothes made of synthetic
fabrics would not allow your skin to breathe. The synthetic fabric was known for being itchy
and uncomfortable because it wasn’t made out of natural breathable fibers like cotton or wool.
Make sure to wear more cotton and other natural fibers to remain fresh. Don’t forget to layer
your clothes according to the weather. (https://www.wikihow.com, 2021)

2) Work regular hours from 9 am to 6 am

Distinguish work and personal time, it's helpful to differentiate work time from personal time
so that you know the difference between once you are “at work” or once you are “at home”
this is not a simple thing to do but it is not impossibly done if you stick with a schedule which
is doable and personalized. It is also important to place boundaries on your work hours to stop
the compulsion around the clock.

When you are within the comfort of your home it's easy to think it’s okay to see emails at
odd hours. Fixing strange and fragmented hours is problematic for a number of reasons
including that doing uncompensated work may contribute to resentment and burnout. Working
all the time can also take an equally unnecessary toll on one’s family.

3) Stay connected with co-workers

Communication and compassion are key to making sure that homeworking goes smoothly
for employees and employers. Communication: while your employer will expect you to be
productive when homeworking, you'll have distractions and demands reception that differ from
your previous work routine. You need to negotiate your schedule together with your employer
and let coworkers know once you are on duty. (https://www.halfhalftravel.com, 2021)

4) Create a schedule

The boundaries between work and personal time can become very blurred when
homeworking. Establishing a routine can help Include a proper lunch hour and regular breaks
away from your workstation. Emails are often a source of stress so schedule time to prioritize
and respond. Setting an automatic email reply outlining your availability may help manage
people’s expectations.

If you are feeling that your workload has increased significantly since you started
homeworking and you're unable to satisfy your personal needs and responsibilities, contact
your line manager to discuss the matter.

26

5) Prepare healthy snacks to stay energized

If you’ve been performing at home, you know the slow creep to the kitchen too well. We
love snacks but some can leave us with a stronger desire to nap than to knock out that next
deadline. Try these energy-boosting snacks instead like bananas and spread smoothies or
some sunflower seeds. Whenever you are feeling tired, you'll have to drink water, water is
needed as the cure in many scenarios. Pack the maximum amount of energy-boosting snacks
to induce you thru till afternoon. (https://www.readyseteat.com, 2020)

6) Take a break

Learn about what works and what doesn’t. Make adjustments as required, find out how
you'll be both productive, and look out for yourself at an equivalent time. This may be one of
the largest personal and professional challenges you'll undertake. Respect that you simply
may have to be more flexible with your time and efforts than usual. (This is yet one more
reason to be in more frequent contact together with your supervisor to let them update and
assist you to adjust your schedule as needs arise). Identify what’s important. what’s urgent
and what’s neither then explore the best way to manage those items together.
(https://www.fitnessfirst.com.my, 2021)

7) Keep a dedicated workspace

Time isn't our only consideration, differentiating workspaces from living spaces also can be
important when working remotely once you “go work” you ought to be ready to “leave” your
comfort zone and enter a brand new productive space where you'll accomplish work tasks and
have online meetings with minimal disruption and once you are finished the day you'll be able
to decompress faraway from work. Although you do not need to reconstruct your office
altogether, it is often helpful for providing a way of normalcy to mold your new workspace into
something like your office space. Setting yourself up for achievement sometimes means
recreating the environment in which you're the foremost successful.

8) Do a 5-minute body stretching exercise

Schedule regular breaks maybe after every 1 hour. Take time away from screens and move
around your house. This helps to prevent eye strain and musculoskeletal problems. Physical
inactivity can have serious consequences for health so employees need to minimize sitting
time and take regular breaks and schedule exercise sessions. Try standing or walking around
during calls or online meetings.

27

Conclusion
Even though working from home may cause a lot of stress and hardship, many employees

did well coping with the new working environment which is work virtually. Some organizations
even had to proceed with downsizing due to this pandemic and many of them became
unemployed. It is really sad to witness how helpless we are against covid-19. However, many
organizations managed to find ways to not let their employees down and they would help
them. It is okay as long as we are willing to do the tasks given to achieve our goals. Just never
lose hope in this pandemic.
