1.0 INTRODUCTION

Record can be defined as to write anything down or preserve it in such a way that
permanent evidence of it remains. The term "record" can also refer to a piece of writing or
a document that serves as a permanent record of anything. Records have been identified
as a strategic resource for delivering successful services and ensuring public
accountability. Systematic records control is a fast and accurate way of compiling,
documenting, and evaluating data from business units and processes. Information from
records will aid in organization and the avoidance of mistakes that could harm the firm,
such as investing too much, spending too little, setting prices too high or too cheap, and
paying too much or too little in taxes. Record business is a business information developed
in the course of conducting business that involves the transaction between two or more
parties in the form of electronic and paper records that are preserved for evidence and
future references. Next, records management is a branch of general administrative
management concerned with achieving economy and efficiency in the creation,
maintenance, use, and disposal of an organization's records over the course of its entire
life cycle. Records management is defined by ISO 15489 as the field of management
responsible for the control of record creation, receipt, maintenance, use, and disposition,
including processes for capturing and maintaining evidence of and information about
business activities and transactions in the form of records. Business management records
is to improve efficiency and economy while also preserving company records as proof for
the agency in accordance with regulatory standards. To ensure that the organization's
recordkeeping system is of high quality, it must be improved on a regular basis.

This report assignment is proposed to elaborate in more depth about the nature of
record such as authenticity, authoritative, unique and static. To identify this, internet
banking should be chosen where as a whole Maybank2u is the main topic to be discussed.
Numerous scholars have explained internet banking in various ways, resulting in a variety
of definitions. Partially, internet banking provides a variety of services through which bank
customers can seek information and conduct the majority of their financial operations using
their smart devices and laptops (Suriya, Mahalakshmi & Karthik, 2012). Internet banking
is regarded as one of the most crucial aspects of electronic commerce. It has been
increasing and developing across several company dimensions all around the world. To
introduce one by one, the definition of authenticity, authoritative, unique and static will be
described and summarized as a summary so that it can be understood more easily. For
an introduction to internet banking, it is a banking method in which transactions are carried

out electronically over the internet. Maybank2u is a Malayan Banking Berhad that are
Malaysian universal bank, with key operating "home markets" of Malaysia, Singapore, and
Indonesia. Maybank was founded in 1960 by Malaysian business magnate Khoo Teck
Puat, and after 52 years of operations, the firm has undeniably demonstrated its dedication
to excellence and innovation in becoming Malaysia's regional finance leader. It was
founded on May 31, 1960, at Mayson House, and was the first to use a credit plan in 1964.
Maybank debit cards were initially introduced in 2008, and Maybank visa debit is the first
dual-purpose bank card that can be used domestically and internationally at millions of
merchants who accept Visa cards. Maybank debit cards, on the other hand, were the first
to give reward points for debit card purchases.

2.0 OBJECTIVES
The objective of this assignment is to ensure that we understand the characteristics of

online banking records. This work is intended to increase knowledge of the nature of
records which is always emphasized in records management. The authenticity is the quality
of being real or true, worthy of acceptance or belief as conforming to or based on fact. Next,
to identify more deeply about the existence of this nature of record. In addition, to
investigate the banking organization which is Maybank in terms of its systems, facilities
and needs required by consumers. Authoritative is able to be trusted as being accurate or
true. Important of authoritative is being clarity. Unique is being the only existing one of its
type or, more generally, unusual, or special in some way. Static is staying in one place
without moving, or not changing for a long time. Static importance in records management
is that data does not change over time.

3.0 DEFINITION

A definition is a statement of the meaning of a term. it shows the detail about that topic
more precisely and in depth. People's perception of e-banking is that it is easy to conduct
banking transactions. it is because, nowadays everything is just done at your fingertips.
There are four natures of records this online banking which is authenticity, authoritative,
unique and static. This fourth also has its own meaning where it is more detailed and more
accurate.

3.1 Authenticity

The authenticity is the quality of being real or true, worthy of acceptance or
belief as conforming to or based on fact. Authenticity is an attribution which is
nothing more, nothing less. Attributions about authenticity are usually made by
individuals in reference to other entities of all kinds of persons, places, products,
things, experiences, organizations and son on. On the surface, it might seem that
a consensus exists about its meaning, there is indeed widespread agreement the
authenticity refers to that which is “real” or “genuine” or “true”. Authenticity is
defined as the trustworthiness of records as records, as opposed to dependability,
which is defined as the trustworthiness of a record as a statement of fact and is the
sole responsibility of the record author, not the preserver. Authenticity as
consistency between an entity internal values and its external expressions.
Authenticity also can be conformity of an entity to the norms of its social category
and connection between an entity and a person, place, or time as claimed. A record
is authentic if it can be verified that it is now exactly as it was when first transmitted
or set aside for retention. It also to ensure the authenticity of records, organizations
should implement and document policies and procedures which control the
creation, receipt, transmission, maintenance and disposition of records to ensure
that records creators are authorized and identified and that records are protected
against unauthorized edition, deletion, alteration, use and control.

The authenticity of the record is derived from record-keeping system in which
it was created or received, maintained and used. A record is authentic if it can be
verified that it is now exactly as it was when first transmitted or set aside for
retention. For example, a letter received in an office may be date-stamped,
registered and placed on a file. the file containing the letter is tracked throughout
its use and stored when not in use in records office. As a result, an authentic record

is one that can be proven to be what it purports to be, to have been created or sent
by the person purported to has created or sent it; and to have been created or sent
at the time purported. It also to ensure the authenticity of records, organizations
should implement and document policies and procedures which control the
creation, receipt, transmission, maintenance and disposition of records to ensure
that records creators are authorized and identified and that records are protected
against unauthorized edition, deletion, alteration, use and control.

In conclude, authenticity is a notion that underpins a number of key
management concerns. It may appear that there is agreement on its definition but
the fact, there is universal agreement that authenticity relates to what is “real” or
“true”. Authenticity is defined as the alignment of an entity’s inherent values with
its external manifestations. Authenticity may also refer to an entity’s conformance
to the standards of its social category, as well as a stated relationship between an
entity and a person, place, or time. If it can be proven that a record is precisely as
it was when it was initially sent or set aside for retention, it is legitimate.
Organizations should also implement and document policies and procedures that
control the creation, receipt, transmission, maintenance, and disposition of records
to ensure that records creators are authorized and identified and that records are
protected against unauthorized edition, deletion, alteration, use and control in order
to ensure the authenticity of records. The record's legitimacy is determined by the
record-keeping system which it was made, maintained, and used. If it can be
proven that a record is precisely as it was when it was initially sent or set aside for
retention, it is legitimate. As a consequence, a genuine record may be
demonstrated to be exactly what it claims to be, to have been generated or
transmitted by the person who claims to have created or sent it, and to have been
created or sent at the time claimed.

3.2 Authoritative

Authoritative are that is reliable, true and accurate. Records are having
authority. Records serve as 'official' documentation of the activity or transaction
they record. It must be trustworthy and reliable. The generation of a record is
related to its trustworthiness. One key technique to ensure the veracity of records
is to keep them safe. Authoritative provide 'official' documentation of the activity or
transaction they are documenting. Signatures, letterheads, seals, and office
stamps must be reliable and trustworthy as indicators of the official nature of

records. It will be a continual record-keeping system. Authoritative documents
serve a variety of essential functions, including providing legal proof, meeting
legislative requirements, and accurately representing historical events. Because
digital technologies make it easier and faster to generate information, consumers
must be able to distinguish official records from imitators or fake information more
than ever. As technology advances, new procedures are required to ensure that
digital records continue to fulfill these critical responsibilities. The techniques must
demonstrate that digital records are both genuine and trustworthy. Every internet
banking creator is responsible for generating digital records that can be trusted and
verified. A record that the creator considers to be its official record, and which is
usually subject to procedural constraints not required for other copies. One of the
components of a records retention schedule is the identification of authoritative
records, which corresponds to the designation of an office of primary responsibility.
Authoritative provides many advantages in an organization. Authoritative can also
be associated with action by an organization in dealing with any situations such as
providing information, comfort, or physical assistance (Sun, 2007; Sun and Payne,
2004). Authoritative explain about how the accuracy of a source or record can be
trusted and authentic. To ensure that its validity is there, it can be identifying the
strengths and weaknesses and assessing the organization ability. The legitimacy
of record can be checked through its own website or the link address provided by
the government or the owner. If a transaction's authoritative record is in paper
format, human processes, controls, and measures must be in place to efficiently
capture and manage the record, such as establishing filing procedures for making
or using the record and providing suitable and secure filing equipment.

In conclude, if a transaction's authoritative record is generated in electronic
format, automated processes must be in place to electronically file the record in a
secure and suitable storage location. The whole collection of records for business
processes may be in both paper and digital format in many cases. As a result, a
record manager can utilize business system analysis to chart the relationship
between an organization's mission, administrative structure, functions, processes,
and transactions, as well as the records that are generated over time. So,
authoritative the authenticity of a record that proves that it is true and accurate.

3.3 Unique

Unique is perhaps the most famous example of an absolute term one that,
according to classical grammarians, should not be compared or modified by a
degree adverb such as very, somewhat, or quite. As a result, most grammarians
consider that saying something is very unique or more unique than something else
is improper, while expressions like virtually unique and almost unique are likely
allowed because unique is not modified by a degree adverb in these
circumstances. Unique means a set of data elements marked on items that is
globally unique and unambiguous. Unique, which means "just one" or "without
equivalent," describes an absolute state: a scenario that is unique in British law.
As a result, it cannot be qualified in this context; anything is either unique or not
unique. However, unique is frequently used in the sense of remarkable or
outstanding, especially in advertising, and in this sense, it can be combined with
qualifying words like rather, quite, and so on. Unique records are no duplicate
records. To maximize efficiency, database coordinators strive to maintain distinct
records. The term includes a concatenated unique item identifier or a Department
of Defense (DoD) recognized unique identification equivalent. Other than that, it
also means a set of data elements permanently marked on an item that is globally
unique and unambiguous and never changes, in order to provide traceability of the
item throughout its total life cycle. Unique also can be relates to a system of
marking items delivered to DoD with unique item identifiers that have machine
readable data elements to distinguish an item from all other like and unlike items.
For items that are serialized within the enterprise identifier, the unique item
identifier shall include the data elements of the enterprise identifier and a unique
serial number. For items that are serialized within the part, lot, or batch number
within the enterprise identifier, the unique item identifier shall include the data
elements of the enterprise identifier on the other side, archivists have generally
described the records in their care as unique. While this description seems
straightforward and absolute, it has in fact been used to denote several different
attributes of archives. In conclude, unique means the only one uniqueness of the
type of thing. Unique record is doing not have same type of records.

3.4 Static

Static are that is in a state that never changes or edited. In terms of systems,
records and usage, internet banking is the same everywhere. The document is
regarded done once the process of creation and drafting is completed. It must be
fixed and not be susceptible to change. Records are static in form that they provide
evidence of a particular action in time. A document will go through a development
and change phase while being created as a record such as minutes of a meeting
will be prepared in draft form and reviewed by committee members before being
approved. Once the drafting process is complete and the document is declared
complete, it can be termed a record. The record must now be fixed and not
susceptible to alteration in order to give evidence. When a record is altered or
corrupted in any way, it no longer serves as proof of the transaction it was created
to document. If someone changes a meeting's minutes after they've been
authorized, the minutes are no longer considered accurate records of the meeting.
However, drafts, such as draft minutes, may be termed ‘records,' because they
might be deemed finished documents at a specific level of development, such as
draft minutes. If it has a change, it only shows a little and will not give any effect to
other systems. A fixed-data record, such as a paper document or an electronic
image, is referred to as a "static record." Information that does not change after it
has been recorded is referred to as static data. A static record format, such as
paper or electronic records, is one in which the user has little or no interaction with
the content of the record. It is a set of predetermined information. Chromatography
records, for example, cannot be reprocessed or seen in greater detail once they
have been printed or converted to a static electronic format.

In conclude, static of record is original and will not move if no changes are
implemented. The static position of the record does not give any severe impact
because it does not change from time to time. Static showed a draft position that
does not move and will not show any drastic changes. So, if a record is changed,
then it is not something static. Static in terms of the system in the way to make a
transaction which is, consumers will always need to login account first and enter
the password and username to identify that it can be opened. This system is the
same from then to now because it is always static to make it easier for users to
access transactions without system changes.

4.0 DISCUSSION

Discussion is about talking or writing about anything, especially in attempting to solve
a problem or answer a question. In this discussion, it will show about the detail of this
nature of records along with examples. Maybank provides convenience to users to access
any document regarding their needs. Maybank has the most branches nationwide
compared to other banks. it is friendly user of internet banking or mobile banking. Maybank
is Malaysia's most valuable bank brand, the fourth most valuable bank brand in the Asian
region, and the 70th most valuable bank brand in the world.

4.1 Authenticity

The authenticity associated with Maybank2u online banking is like the Maybank
logo found in online banking. It can show that the online banking was real and
users are confident to use the online banking. Logo is also a form of communication
in visual form and indirectly this will give certainty and confidence to customers.
Logo from the Maybank2u also can upgrade the look or maintain the brand memory
business to society. The logo of the Maybank2u online banking can increase the
confidence of more users to use online banking services. The logo can also ensure
that that online banking is from Maybank through the logo and it is trustworthy. With
the logo as well, users feel safer to use the Maybank2u services. The users always
prefer to use the online banking instead of using automated teller machine (ATM)
because it more easier and user friendly.

Next, the authoritative of the electronic aspect is secure about how the
authorization of it. The Maybank Group is committed to maintaining the security,
safety, and confidentiality of all transactions conducted through online financial
services. Maybank uses privacy protection control systems to ensure that the
highest security and confidentiality standards are met. For example, the secure
that consumers need to have such as username and password, information
protection, data confidentiality and so on. For every online banking, there must be
security so that the account is not easily hacked by irresponsible parties. For
instance, to have this security, users need to fill in names between 6 to 16
characters and contain words that are difficult for other peoples to access. For
example, before making a cash withdrawal, consumers need to enter the PIN at
the ATM or username and the TAC code number on the mobile phone for online
banking. A s a whole, consumers need to be more careful in doing online banking

and always take the necessary precautions and be on the lookout for suspicious
e-mails or phone calls requesting personal account information from users. User
must never give anyone the Internet Banking or ATM PIN or account information.

Other than that, authenticity also can be related with online banking receipt.
When users do transaction from an online banking, bank will give the proof of
transaction that the user made. A receipt serves as evidence of a financial
transaction between the user and the business. Compare with the printed out on a
strip of paper when using ATM, online banking receipt can be found after making
a transaction or in the transaction’s history. Digital receipts are easier to access
than paper receipts. Because online receipts are stored in a Maybank2u system
and can be retrieved with a single click. Online receipt on Maybank2u can reduce
time consuming because user do not need to spend hours sifting through papers
to find the receipt they looking for. With an online receipt, all the information is
clearly visible, and you can share it with multiple people without having to make
copies. The users can access the receipt and send to other people online. Online
banking receipts are quick, simple, and secure, so there no fear of them getting
lost or stolen. Many users prefer online receipt because it is easier to manage and
store their receipts. Online banking receipts could be a safer alternative to paper
receipt. There is a greater risk of disclosing user information such as user account
number when using hardcopy receipts. If a receipt falls into the wrong hands, there
is a chance of dealing with fraud. Users can additionally lock this area of their
system with a strong internet password to prevent unauthorized people from
accessing their saved electronic receipts. A s a whole, logo, receipt and password
are proof of the authenticity of Maybank2u. This is because, consumers will believe
more in the original of this internet banking. However, the use of Maybank2u will
increase with the nature of this record from time to time.

4.2 Authoritative

It is show about the able to be trusted as being accurate, true or reliable.
Maybank's internet banking is highly trusted by everyone. This is because, it has
wholly-owned Bumiputera enterprises, companies and institutions registered under
the Companies Act 1965, the Co-operative Societies Act 1993 or the Societies Act
1966. Maybank is very popular in Malaysia, Indonesia, Singapore or other
countries, so it is having been adopted by all parties because Maybank's internet
banking provides Pay a Bill which is as a depositor can use an electronic bill
payment service to transmit money from his or her online account to a creditor or
merchant, such as a public utility or a department store. So, there's no need to wait
in a huge line for the consumer’s transactions. Authoritative of Maybank is more to
software of security provided to prevent user accounts being hacked. Maybank2u
has provided several applications for consumers so that they can keep their bank
records. For example, the software provided is Secure2u. It is a safer and more
convenient way to authorize Maybank2u web, M2U MY app and MAE app
transactions using Secure Verification and Secure TAC. It is a new feature that is
available on the Maybank2u MY App and MAE app, which can be downloaded
from Google Play Store, Apple App Store and Huawei App Gallery (Maybank2u
MY app only). Consumers must first register for Secure2u before using this type of
transaction authorization. to get permission from the owner to make a transaction,
they need to "Approve" or "Reject" the transaction within 30 seconds. If consumers
choose Secure TAC as a mode of authorization, they can obtain the 6-digit number
by tapping on ‘Secure2u’ button on the Maybank App and release enter the 6-digit
number generated to approve the transactions. As a whole, before making a cash
withdrawal, consumers need to enter the PIN at the ATM or username and the TAC
code number on the mobile phone for online banking. As a whole, this application
has many features and functions to maintain the welfare and safety of consumers.
Online banking is safer than ATMs because consumers have to hold money in their
hands and it will be riskier. So, this application is very convenient and prevents bad
things from happening to consumers.

Next, authoritative in terms of the website of Maybank. Consumers will make
the website as their handle and reference. Maybank websites such as Maybank2u
give consumers the confidence to browse transactions through internet networks.
Consumers can get the Maybank2u website on Google, social media or other
trusted places. For example, the can search the correct Maybank website that is
www.maybank2u.com.my. The website will never ask for consumer's TAC number

as well, as this will only happen in the mobile app (either MAE or M2U MY). This
website also requires a username to log in and also a security phrase to ensure
that we requested the login. A s a whole, this website is very useful for consumers
who do not have any application. This website is also accurate and true established
by the Maybank company to its consumers to give them high trust.

4.3 Unique

The unique that was provided in Maybank2u are face ID, touch ID, quick touch
and quick balance. Face ID and voice ID are biometric authentication capabilities
included in the new Maybank app that let you to connect into your Maybank2u
account using your facial points and voice pattern. These login methods could only
be used to view your account details, a password is still required to perform any
transactions. Face ID and voice ID are as safe as Quick Touch. Users’ unique facial
points and voice pattern are encrypted and safeguarded by a key that is securely
saved on user device. The information never leaves user device and is never saved
in the cloud, on servers, or anywhere. Voice ID can be used to access account
information, but a password is still required to complete a transaction. Face ID and
Voice ID offer quicker access to account information than typing a long password.
Both of these capabilities will help users who are unable to use Quick Touch such
as fingerprints that are difficult to read or devices that do not have fingerprint
scanning. Face ID and Voice ID will enable users to access their accounts and
check their balance via the Maybank app, with any further transactions Quick touch
that allows users to access Maybank2u via their fingerprint.

Next, Quick Touch is a type of fingerprint biometric authentication that takes
advantage of user’s device's fingerprint scanning capabilities to give them faster
access to their Maybank accounts. If user have a device that can scan fingerprints,
the app will prompt user for Quick Touch activation. Users must first register your
fingerprint on your mobile device. After user have enabled Quick Touch, the app
will verify user identity using the registered fingerprint before granting access to
user online banking. Your accounts can be accessed with any fingerprints
registered in your device once it has been registered with Quick Touch. It is not
recommended that you install any third-party fingerprints on your device. This
makes Maybank the first bank in Malaysia to offer three biometric login features on
a financial mobile application. This bank aims to progressively increase the
capabilities of the new biometrics to allow users to authorize transaction in the
future. Next, quick balance is unique because it a service that allows the users to
check the saving/current account, Credit/Charge Cards Balances and Fixed
Deposit Accounts safely with 6-digit PIN even you are on the go and without having
to login to Maybank2u.

it has services such as Quick Touch, Face ID, Voice ID and so on.

4.4 Static

A static position in an organization is very important. Maybank2u's statics are
often discussed in several aspects to find out how Maybank2u's position will be in
the future. Some systems, they are permanent and will not change. For instance,
for Maybank2u investment accounts, consumers' account numbers will be static
and unchanged. For example, regardless of whether the account is an Investment
Account or an Islamic Deposit, the consumer's account number will not change on
the Effective Date. Further, all existing account operations will remain unchanged
on the Effective Date. Static can also be associated with an online transaction that
has never changed. For example, every cash withdrawal or transaction using the
same method such as the user must detect the image security, enter the password,
username and click log in to ensure the username is correct. Next, the consumer
needs to enter the account number, recipient name, fund transfer transaction,
transfer mode either instant transfer or interbank GIRO, enter the amount of money
and recipient’s reference. After that, click on request TAC number, TAC number
will appear on the phone number that has been registered on m2u Maybank. If
consumers use the Maybank2u application, they must login to Maybank2u first and
click on "Transfer to other account". Users need to select the account number and
click on "New Transfer" and select Maybank. After that, enter the recipient's
account number and click continue then enter the amount of money you want to
send. When done, click proceed and enter "recipient reference" for reference.
Finally, click "Confirm and transfer" and after that click "Approve". Therefore, this
system is always static from then until now. Consumers can choose whether they
want to make transactions using ATMs, online banking or applications that have
been provided.

As a whole, with the static system, consumers will be easier to use these
services. consumers will be more loyal to use Maybank2u because they will feel
that it is part of their convenience.

5.0 CONCLUSION
In conclusion, Maybank2U is the best online banking in Malaysia. It also recorded a

large number of users in online banking services. Online banking is increasingly becoming
the choice of consumers to conduct transactions because it is easy, secure, time saving
and user friendly. The characteristic nature of records found in online banking is
authenticity, authoritative, unique and static. Authenticity is more to originality while
authoritative is related to validity. The record's legitimacy is determined by the record-
keeping system in which it was made, received, preserved, and used. Authenticity related
to Maybank2u is like the bank logo found in online banking, receipts after making a
transaction or username and password that need to be entered before entering online
banking. This shows maybank2u has the characteristic feature of authenticity.
Authoritative is related to the system found in online banking, that is, it is authentic in all
aspects of information and data. Unique characteristic including face ID, voice ID, quick
balance, quick touch, EzyInvest and Maybank Gold Investment Account (MGIA), this is all
uniquely related because it is a specialty found in online banking. unique shows that the
advantages of internet banking are so accepted by the public. Uniqueness is very
important before setting up an organization. this is because, this can attract consumers to
use this Maybank. Unique, on the other hand, includes the uniqueness of the services
available in online banking itself while static means a system of transactions that has not
changed. Static is more of a transaction system that does not change and this proves that
Maybank online banking is static, which is in accordance with static characteristics. For
example, static in terms of how to make a transaction, rules and conditions required. As a
whole, internet banking is a transaction facility which is the transaction speed is relatively
faster than the use of ATMs or over the counter banking. The system can also be accessed
24 hours as long as it has an internet connection. Consumers will also be able to save
their time and cost which is the cost of transport to the ATM or a lot of time required to
walk to the ATM. Therefore, it saves our energy as well.
