FAFSA 101 2. Enter Your Information: Login & Begin

1. Getting Started: Gather Your Information 1. Go to fafsa.gov

3. Sign & Submit: What's Next?

1. Sign your FAFSA online at fafsa.gov using your FSA ID
2. Press "Submit My FAFSA Now"
3. We will email you once we receive the results (about 4-7 days after you submit it)
4. You can view your aid status and submit any required forms in Genisys (General Information

System). Here's how.

> SPACMNT: FERPA Password
> Financial Aid Comments (RHACOMM): used by FA office to leave notes on a student's account
> Application Requirements (RRAAREQ): viewable by students in Genisys under Financial Aid, Eligibility,

and Financial Aid Requirements. Screen tracks the documents the student needs to submit to complete
their aid application. The status codes next to each requirement are important, as they tell you (and the
student, through Genisys) the standing of the item. The majority of the questions we get regarding this
section (Step 2 on the Steps to Aid chart for the student) relates to what the requirements are, and their
status. For common status codes, see below:

» R = Required
» S = Satisfied
» U = Under Review
» V = Under Review, VTAg/TAG
» E = Denied
» A = Approved
> Enrollment (ROAENRL): click on Schedule for breakdown of classes
> Billing (TSAAREV): if a student's account balance is different than their amount due it typically means they

have some type of payment arrangements in place. The amount due shows what the payment that actually
needs to be sent in is.

> Holds (SOAHOLD): presents financial/business office, advising, registrar, etc. holds that may prevent a

student from registering or being cleared for graduation. If a hold exists the student cannot progress toward
earning their degree until it is resolved.

> Financial Aid Summary (ROARMAN): Displays important info from a variety of other screens within a

student's record. It also has quick click options to pages you'll frequently need to access, such as the
"Tracking" button in the screenshot below that takes you to RRAAREQ (the financial aid tracking
requirements screen).

> Awards (RPAAWRD): Displays student's award package for the aid year you select. It's very important that

you makes sure you are selecting the correct aid year when accessing a student's info.

» First Block

Aid Year: Allows you to select/and displays the aid year you have chosen to look at.
IMPORTANT! Student ID: Allows you to select/and displays the student you have selected.

» Second Block

Award Schedule: Click on this to view the semester breakdown of the aid you see in the Award

Maintenance tab (the default view when you open RPAAWRD)

Fund: code tied to the scholarship. You can copy and paste this into RFRMGMT if you want to get

a full description of the award. Next to the fund code you will see a short description of it.

Status: shows whether the award is offered, accepted, declined, rejected, cancelled, estimated, or

in need of a cosigner (credit based federal loans only)

Offered: amount of the award that is available. Once a student accepts an award, the offered

amount is changed to match the accepted amount. Any remainder is moved to the "declined or

cancelled" section.

Accepted: Displays the portion of the award the student accepted.

Paid: displays the amount of funds that have paid for each accepted award. Differences between

an accepted award and the amount of the award that we have disbursed are typically due to one or
more of the following reasons:

The award has posted for one semester but not another-look in Award Schedule.

The award prorates based on enrollment. Check RFMGMT (copy and paste the fund code of

the award into the screen) and check ROAENRL to see how many credit hours the student has

There was a loan fee (if the award is a federal loan)

The award has a requirement that has not been met (there would be zero paid in the paid
section for the semesters in question). Check RRAAREQ

» Third Block

Resource: displays indirect financial resources a student has. For example, if a student has a
military bookstore credit you will see it here. Free $, credit, incentives, vouchers
Aid Period: Displays the students expected enrollment period. When a student receives an award it
is typically allotted into each semester (see Award Schedule)
Budget: the maximum amount of financial aid + resources a student can receive in the academic
year
EFC: a student's federal need calculation. The Pell Grant and other need-based awards use this to
determine eligibility.
Unmet need: the amount of a student's "need": (defined as budget-EFC any need-based awards)
that is left unmet. Need based awards will typically apply only up to this amount, not the total
budget.
Below is a screenshot of a RPAWRD record with fields you will often need to check highlighted, and a list of
these fields describing what they do.

FINANCIAL AID FAQ'S

> Do I have enough aid for the summer?
» The e-bill issued by the Business Office will show the total authorized aid amount for the term, as well as

the total balance due. If the aid exceeds the amount due the e-bill will show a negative balance (credit)
in which case the student has enough aid to cover. Without an e-bill, agents will need to reference
TSAAREV and compare the Account Balance field to the Authorized Aid Balance to perform this
calculation.

» Note, students with any SAP status other than satisfactory will not show authorized aid. Students with

unmet requirements or a financial aid hold will not show authorized aid. Anyone without enough aid to
cover the bill should be referred back to Student Financial Aid for a more in-depth review.

> If I drop a class, how will this affect my aid?
» Aid is provided to students with the understanding that they will successfully complete the courses they

were enrolled in when their aid was disbursed to their student account. There are multiple points of
potential impact when an aid recipient does not successfully finish a course so students who have
received a disbursement of financial aid already should always contact our office before dropping.

» If they ask before the semester starts and before federal aid has been paid out to them for the

semester then these talking points should be covered:
• If the student is on SAP their registration needs to match their academic plan
• If they received institutional aid already (disbursement for this starts 30 days out from the semester
start) the amount may change. Refer student to Genisys to review the terms and conditions of their aid.
School scholarships are typically adjusted within 24-48 hours after the enrollment status is changed
• If the enrollment change impacts their session enrollment (for example, they drop Session C and
remain only in Session D) then their aid arrival timeline may change. Refer them to www.regent.edu/
aidcalendar.
• Any aid eligibility estimates they have previously received were based on their original enrollment
plans and may be subject to change.
• If they ask after federal aid has been paid to their account for the term then the situation becomes
much more complicated and the student should be referred back to our office. We have summarized

> Have you received my FAFSA?
» Go to RRAAREQ and select the aid year in question. Always clarify the aid year with the student, we

receive FAFSA’s for at least two aid years for the majority of the year. In the requirements section look
for ISIR with a status set to “S”. This means we have received the FAFSA for that aid year.

> I did not use aid at this school, how do I get it removed from my record?
» Ideally the aid application should be complete (FAFSA and any subsequent paperwork requirements) at

least a month before courses start. Earlier is always better!

> How long before classes start should students full out GFAFSA/FA information?
» The FAFSA on the Web Worksheet
» Your most recent Federal Tax Returns and all W-2 forms (for the 2016-2017 year, you must use your

2015 tax returns)

*NOTE: You can complete the FAFSA using "estimated data." If you choose this option, you will
