1 Login

Shown here is the login screen, to login, enter your username and password.
In the event you have forgotten your password there is a “Forgotten Password” button that
will allow you to enter your username to get a password reset email. After following the
instructions, you should then be able to login as usual using the new password.

2 Dashboard

The Dashboard is the first place you’ll go to after logging in and acts as a home page and
summary screen displaying key information for you. Every red number on this view is
clickable and will bring up a relevant report. Below is a breakdown of what each part of this
screen shows

Today’s Orders Shows how many orders you have made
Outstanding Activity today, broken down into New, Used and
Completed Activity Both
Enquiries
Shows how many activities are due to be
Leads done today, listed by type. Also has a tab to
Used Stock view the activities for the following day
Outstanding Offers Shows completed activities for the day,
P/Ex Due In listed by type. Also has a tab to view the
Prospect Calls activities completed for the previous day
Sales Month to Date Shows the current number of live enquires
Order Analysis Month to Date assigned to you, broken down also into lost
sales, and enquires where contact is
overdue
Shows total number of unallocated, not
contacted and live leads
Shows the average age of stock, stock
which is over 60days old, 30days old, and
stock that is not yet priced
Shows the number of offers that have
currently been made, but the customer has
not yet ordered

Shows a list of vehicles from part exchange
due in
Shows how many prospect calls have been
made

Shows a brief breakdown of sales numbers
versus forecasted sales and total deliveries
Shows a brief breakdown of orders and
how many were financed, had paint options
and GAP applied.

3 Enquiries

This section of the guide will go through adding and updating enquires and will also explain
the customer summary screen

3.1 Add/Update Enquiry Page

The Add/Update Enquiry page can be found from the Hamburger Menu on the left-hand side
of the menu and is the magnifying glass icon.
The Add/Update Enquiry screen requires you to first search by at least one of the available
filters in order to see if there is a matching record already in the system. (clicking “Advanced
Search” will display additional filters which you can use)
Once you have searched the records, you may want to edit an existing record that has
shown up, you can click on a record to be taken to their customer summary screen.
If you wish to add a new enquiry click the Add Enquiry button at the bottom of the screen.
Note: The Add Enquiry button will only appear after you have done a search.

3.2 Adding a New Enquiry

Once you have clicked the Add Enquiry button, a pop-up will appear. Here you can fill in all
the details for the new customer. The mandatory fields in each section will be highlighted in
red, and until all these are filled it will not let you save the enquiry. Additionally, you MUST
include at least one method of contact (Phone number, Email or Address and postcode).
Make sure that you navigate through all the tabs on the left-hand side and fill out all the
mandatory fields. If you cannot save, then hover over the save button and a tooltip will
inform you why.
Once it has all been completed, the save button will turn blue. Click save to continue.

Once you have saved the customer, you will be taken to the customer summary screen for
the enquiry you just created.

3.3 Cannot Save?

If you cannot save the enquiry, please follow these steps:
Make sure all mandatory fields are completed.
Check that there is at least one method of contact entered (Phone number, Email or Address
and postcode).
Hover over the save button – A tooltip should appear which will inform you of any missing
information.
Note: On smaller screens you may have to use the scrollbar to see all the fields on the Add
Enquiry pop up.

3.4 Customer Summary

This section will break down all the different items and options within the Customer
Summary screens

3.4.1 Summary Tab

Customer

Here you can see the customer ID number, and their basic contact information. Clicking view
more will expand the box to show any other contact information for that customer. In the top
right is the edit info button. Clicking on this will bring up a screen to edit the contact details
for the customer, shown below.

Enquiry

Here you can see the basic info about the enquiry, what kind of enquiry it is and what the
customer is looking for. Clicking view more will expand the box to show extra information
including the source of the enquiry. Clicking the edit icon in the top right of the box will bring
up a screen to edit enquiry details, shown below.

Communication

Here it provides the options to either email (left) or send an SMS (right) to the customer. If a
mobile number hasn’t been provided for the customer, the SMS icon will be greyed out.
Contacts

This box will list all the previous contacts with the customer. If there is more than one page
of these, you can change page using the directional arrows in the bottom right. It will also
display the next planned contact, which can be edited by clicking the edit icon next to it. The
last contact can also be edited by clicking its edit icon.
A new contact can be added by clicking the add contact button in the top right, bringing up
the New Contact screen

Here you can select the contact type, with the options being; showroom, visit, appointment,
phone in, phone out, email, SMS, no contact and internal. Notes can then be filled out while
also selecting a next contact type and date which will be added to the diary.

A demo is added differently, due to the fact this requires different information. To add a
demo, click the add demo button next to the add contact button. This brings up the following
screen

Here the relevant information about the demo can be added, including any drivers and notes
about the vehicle driven.

Vehicles

This shows any vehicles that the customer is known to own, and vehicles that have been
bought from the dealer will also show up here after delivery. To add a new car to the
customer, click the plus icon in the top right of the box.

By filling in the reg number, you can search for the vehicle using the vehicle look up button
and it will fill in the car information for you. Alternatively, you can enter the information
manually without a registration number.

Offer & Order History

This is where offers made using the Dealbuilder will show up once built, and then further will
display whether it has been ordered or delivered. Clicking on an order number will take you
to the order information.

3.4.2 Wanted Tab

This tab allows you to search and view used stock against what the customer is looking for.
The fields by default are filled with what the customer is looking for.

You can then search for this against current used stock, the used due in list or the used
offered list.

Here the GDPR preferences can be edited, including contact and marketing preferences.

4 Dealbuilder

To build a deal, you first need to be on the customer summary page for the customer you
want to build a deal for. To start the Dealbuilder process, click on the button in the top right,
above the vehicles section.

4.1 Vehicle Selection

Here, you can select whether the car is new or used and you can also select an existing
offer to amend. From here on we will build a new vehicle, as selecting a used one will not
allow you to see all options.

After selecting a model, you can then additionally filter by fuel type, engine size and
transmission variants and the list on the right will narrow down the options based upon the
selected filters. Selecting a vehicle on the list will then allow you to continue.

Note: Going back to this tab after continuing will wipe any additional products selected later
in the process and will need to be added again.

4.2 Factory Options

In this tab you can add any options to the car that the customer would like, to add one to the
order select it from the list and it will turn blue with a tick appearing. Additionally, it will then
also appear listed on the right panel with all other options listed. You can view the different
pages of options by clicking the directional arrows at the bottom of the options list.

If you want to add an option that isn’t listed, there is the Add button on the Factory Options
box (shown above). By clicking on this, you will be shown a modal which will ask for the
name of the option, and the price.

Once you are happy with the selections, you can continue to the Dealer Accessories tab at
the top of the page.
Note: This tab will not be available when building a deal for a used vehicle.

4.3 Dealer Accessories

In this tab you can add any accessories that the customer would like (for example, floor
mats). This works like the previous section, and you can add unlisted accessories by using
the Add button.

4.4 Insurance Products

In this tab you can add any insurance products that the customer would like. This also works
like the previous sections, including adding unlisted products

4.5 Service Plans

In this tab you can add any service plans that the customer would like. This also works like
the previous sections, including adding unlisted products

4.6 Other Charges

In this tab you can add any miscellaneous charges. This also works like the previous
sections, including adding unlisted products

4.7 Part Exchange

Here you can add any part exchange vehicles that the customer may have. You can select
one from vehicles the customer is already known to own, or you can add another vehicle
manually.

4.8 Offer (Finance)

This screen and is where the customer ‘Offer’ can be displayed, and where we can start to
model a finance quote by using the finance calculator.
Note: the finance checkbox will be greyed out if you do not have an applicable finance
scheme set up to match the vehicles criteria. Please see section 7.5 of this guide for more
detailed information about finance schemes.
With the check box checked, you will see the view below.

The price of the vehicle and any reductions which have been made due to part exchange or
customer deposits will be shown here in the top half of the finance offer panel (above the
calculate button)

The system will default to a certain finance scheme depending on the vehicles criteria (see
section 7.5). In this case, the system has defaulted to a 12-month scheme at 6%. You can
change which scheme to use by selecting from the drop-down menu (if there are any
available).

let’s say that the customer has some cash that they can put into the deal to bring the
monthly payment down:

Type the cash amount that the customer has into the customer deposit box and click
‘Calculate’.

You can see that the monthly payment amount has reduced because the balance to be
financed has been reduced by £4000 (notice that the previous offer is saved in the column to
the left). If that is still over the customers’ budget, we have several other options;
Let’s assume that the customer cannot afford any more than £450 per month and a cash
deposit of no more than £4000. We can lock monthly budget and customer deposit by

clicking the pin icons, and leave the rate locked, then the only thing that can change is
payment period. Type £450 into monthly budget (leaving customer deposit as £4000) and
click ‘Calculate’:

You can see that the system has adjusted the payment period, enabling monthly payment
and cash to stay as the customer specified. You can continue to use the pins in this way to
goal seek on specific customer targets.
Note: Finance schemes will have maximum and minimum values on certain variables such
as payment period (see section 7.5 for more info). If values are marked as invalid this may
be the case.
If you need to go back to any of your previous calculations, you can use the arrows to
browse through previous calculations.

then press the load button (middle) to load that calculation back into the calculator.
The calculation which is saved in the live part of the calculator will be the calculation which
saves when the order is saved.

4.9 Finance Integrations

If you are using 3rd party finance integrations these should be set up as finance schemes
and selected as normal. Any restrictions, such as not being able to adjust the annual interest
rate, will automatically take place when you have selected the finance integration from the
drop-down list.

4.10 Summary

The final screen in Dealbuilder, this shows the entire contents of the deal, the final price and
the customer information. The deal can then be reviewed to make sure everything is correct,
and any notes added before then saving the deal.

After saving, you will be taken to the order summary screen, showing the details of the offer
you just built. Here there are options to go back and amend the offer, get offer documents,
create the order and go back to the customer enquiry.

The Offer Sheet button generates the same document that is the Offer Sheet under Other
Documents.
Once happy with the deal, clicking Create Order will bring up a modal asking for some final
information about the car and payment, and saving will then turn the offer into an order.
This will then allow you to generate some additional order documents, done in the same way
as the offer documents.

5 Dealbuilder +

5.1 Selecting Dealbuilder +

Dealbuilder + can be accessed from any of the tabs within Dealbuilder by clicking on the
“DB+” button. (see below)
When Dealbuilder+ is opened it will always appear in the main display panel on the right.
You can return to the summary view at any time by selecting the “Offer” tab next to the DB+
tab.

Each time a change is made to the deal, the Dealbuilder+ display will respond accordingly.

5.2 Using DB+

The left-hand side of the DB+ panel shows basic prices, default margins and any assumed
bonuses.

Clicking on the margins row will open a drop-down panel which shows any margins or
bonuses which are applied to this deal. Default margins will be automatically ticked,
signifying that they are enabled.

You can untick the check-box to exclude a margin from the deal

You can also click on the pencil icon to edit a margin the following

You can add a new margin by clicking on the add margin button
pup-up will appear where you can enter the details of your new margin.

The right-hand side summarises all the different areas of profit and totals separately the
Vehicle profit, the F and I profit and a Total Gross profit.
You can also click on the pencil icon to edit certain fields such as “finance income”
There will be a green arrow next to the totals if your last change has increased the
amount of profit being received. Hovering over this icon will show a tooltip with more detail.

Similarly there will be a red arrow if a change has reduced the amount of profit being
made.

If the deal includes a part exchange vehicle (See section 4.7) with an SIV that is less than
the part exchange allowance, the VAT Roll button will become available. Click this button to
transfer the over-allowance into the Profit Summary and secure the additional profit
displayed (£333.33).

6 Diary

This section will go over the diary page and its functions. You can toggle between the two
views described below by clicking on the appropriate view in the top right corner.

6.1 List View

In this view, all diary entries are shown in a list in in order of oldest first. Each item will have
a colour coded icon next to it in the list to indicate whether it is overdue (red), due today
(orange), due tomorrow (green) or if it has no icon, it is a future event.

6.2 Calendar View

In this view, all diary entries are shown on a calendar. Ones with a specific time are shown in
the column at the appropriate time, if no time was scheduled for the appointment, then they
will appear at the top under the date as a contact instead, where once clicked on, you will be
taken to a list showing all contacts for that date. Overdue items on this page are highlighted
in red, while in the top left the total number of overdue items is listed. Clicking on this takes
you to a list of all overdue contacts.

7 Reports

This section will go through the various reports available in the Reports Menu.

7.1 Lost Sale Log

Creates a list of reported lost sales within a time period, defaulting to the last month. Data
can be filtered further by dealer location and Sales Executive. The results can also be
dynamically filtered using the text box in the bottom left. The contents of the report can also
be exported to excel by clicking on the excel button in the bottom right.

7.2 Daily Activity Log

Creates a list of completed activities for a given day, defaulting to the current day. Data can
be filtered further by dealer location, Sales Executive and activity type. The results can also
be dynamically filtered using the text box in the bottom left. The contents of the report can
also be exported to excel by clicking on the excel button in the bottom right.

7.3 Enquiry Log

Creates a list of enquires from the last week. Data can be filtered further by dealer location,
Sales Executive and first contact type. Advanced settings allow you change the date range.
The results can also be dynamically filtered using the text box in the bottom left. The
contents of the report can also be exported to excel by clicking on the excel button in the
bottom right.

7.4 Demonstration Log

Creates a list of demos done in the last week. Data can be filtered further by dealer location,
Sales Executive, New/Used and the date range can also be changed. The results can also
be dynamically filtered using the text box in the bottom left. The contents of the report can
also be exported to excel by clicking on the excel button in the bottom right.

report can also be exported to excel by clicking on the excel button in the bottom right.

7.7 Outstanding Opportunities

Creates a list of potential opportunities, defaulting to the showing the last week. Data can be
filtered further by dealer location and Sales Executive. The results can also be dynamically
filtered using the text box in the bottom left. The contents of the report can also be exported
to excel by clicking on the excel button in the bottom right.

7.8 Used Vehicle Stock List

Creates a list of all the used stock within the dealer. Data can be filtered further by dealer
location, make, model, reg number and an upper price limit. The results can also be
dynamically filtered using the text box in the bottom left. The contents of the report can also
be exported to excel by clicking on the excel button in the bottom right.

7.9 Extended Sales Report

Creates a list of Sales Executives and their sales figures for a given period. Data can be
filtered further by dealer location, franchise, Sales Exec and date range. The results can also
be dynamically filtered using the text box in the bottom left. The contents of the report can
also be exported to excel by clicking on the excel button in the bottom right.

7.10 Sales Report

Creates a list of dealers and their sales data for a given period. Data can be filtered further
by dealer, data grouping and date range. The results can also be dynamically filtered using
the text box in the bottom left. The contents of the report can also be exported to excel by
clicking on the excel button in the bottom right.

7.11 Order List

list of current orders that haven’t yet been handed over to the customer. Data can be filtered
further by sales executive and date. The results can also be dynamically filtered using the
text box in the bottom left. The contents of the report can also be exported to excel by

7.12 Enquiry Funnel Report

List of enquiry information broken down by model (this can be changed via the Group By
dropdown). Data can be filtered further by date range and has the option to remove prospect
calls. The contents of the report can also be exported to excel by clicking on the excel button
in the bottom right.

7.13 Lost Sales Analysis

List of lost sales, and the reasons for them. Data can be filtered further by date range,
New/Used and dealer. The contents of the report can also be exported to excel by clicking
on the excel button in the bottom right.

7.14 Preparation Report

List of vehicles currently in preparation. Data can be filtered further by dealer and by
New/Used. The results can also be dynamically filtered using the text box in the bottom left.
The contents of the report can also be exported to excel by clicking on the excel button in
the bottom right.

7.15 Data Quality Report

List of sales executives and the enquires, and how much of their data is filled out on
enquiries. Data can be filtered further by dealer, first contact type, date, status and strength.
The contents of the report can also be exported to excel by clicking on the excel button in
the bottom right.

7.16 Part Exchange Search

List of part exchange vehicles. Data can be filtered by dealer, make and model. The results
can also be dynamically filtered using the text box in the bottom left. The contents of the
report can also be exported to excel by clicking on the excel button in the bottom right.

7.17 Used Wanted Report

List of vehicles wanted by customers, that can be filtered by make/model and an upper price
limit. The results can also be dynamically filtered using the text box in the bottom left. The
contents of the report can also be exported to excel by clicking on the excel button in the
bottom right.

7.18 SMS Text Message Report

List of sent text messages. These can be filtered by sales executive, recipient, mobile
number and a date range. The results can also be dynamically filtered using the text box in
the bottom left. The contents of the report can also be exported to excel by clicking on the
excel button in the bottom right.

8 Dealbooks

Dealbooks can be accessed from the reports page
When Dealbooks is opened you will be brought to the Dealbooks report.

8.1 Dealbooks Report

The Dealbooks report shows you an overview of profit information for orders within the
selected month.
There are several filters which can be applied to narrow down the list of entries.

The status column shows the status of that order and can be one of the following:
The profit confirmation has not been confirmed
The profit confirmation has been confirmed

The profit confirmation has been confirmed, the order status is “handover completed”
and the profit confirmation has been validated.

Pressing the magnifying glass icon under the “SE” column will bring up the Dealbuilder+
information for that order.

Hovering over any magnifying glasses in the pop-up will show more information.

Click cancel to close the pop-up.

If an order is confirmed or validated in Dealbooks then the number in the ‘Total Gross’
column for that order will be a clickthrough which shows a vehicle control sheet.

8.2 Profit Confirmation

Clicking on the status icon will open that orders Profit Confirmation page.

The page has 3 tabs, the first of which is the ‘Customer & Order Detail’ tab. Here you will
see information about the customer as well as the vehicle they have ordered.

Secondly is the ‘Finance Info’ tab, here you can enter details of the finance offer and any
notes about the deal.

Finally comes the ‘Profit Summary’ tab.
On the left, under ‘Dealbuilder’ you can see the profits which have been calculated in
Dealbuilder when stacking the deal.

In the middle row, ‘Actual’, you will enter the true profits from the order. If these are the same

as the calculation in Dealbuilder you can use the orange arrows to transfer the
Dealbuilder figures into the Actual fields.

If there are differences between the Dealbuilder figure and the true figures you can amend
the actual field before or after transferring the Dealbuilder figures.

The ‘+/-’ field will show the difference between the Dealbuilder and Actual fields.

Once the Actual figures have been completed, and the Profit Confirmation has been saved,
the status of the record will change to ‘Confirmed’

Once the order has then been delivered, the Customer & Order Detail panel will show the
“Validate” button, clicking on this will then change the status of the record to Validated.

You can un-validate the record by clicking Un-validate (which appears in place of the
Validate button)

9 Leads

This section will look at assigning and allocating Dealerweb React leads.
NOTE: You must have Dealerweb React to use the leads functionality.

9.1 Unallocated Leads

Leads which are received by Showroom 2 from Dealerweb React can be found in the
unassigned leads list.
This can be accessed from the dashboard by clicking through the Unallocated leads heading
on the Leads panel. See the red number below.

Or by going to the reports menu and selecting the Unassigned Leads report.
The Unassigned Leads list is shown below.

The report shows general information about each lead such as creation time, customer
name, contact details and model of interest.

Clicking on the React button will bring you to that specific lead within Dealerweb
React on a new tab.

9.2 Assigning a lead

To assign a lead to a sales executive you must create the lead into an enquiry and assign a
sales executive to that enquiry.
To do this, click on the lead in the report, this will bring up the ‘Convert to Enquiry’ pop-up

At the top of the page you can assign sales executive with the drop-down box.

Once you have chosen a sales executive, you can then fill out all of the required enquiry
information within the tabs on the left-hand side of the pop-up.

If you cannot save, hover over the warning tooltip. This will detail which

fields are still required before you can save the lead as an enquiry.

9.3 Assigned Leads

Once a lead is assigned it will be moved to the ‘Assigned Leads’ list, as well as be available
when searching for an enquiry using the Add/Update enquiry page. Note how the Leads

panel has now changed.

The not contacted status is now telling us that there is one lead assigned, however no
contact has yet been made with this lead.
And the Live status is telling us that there is one lead which is now assigned and classed as
a live enquiry.
The ‘Assigned Leads’ list can be accessed from the leads panel on the dashboard by
clicking the ‘Live’ heading, or on the reports menu page.

The assigned leads page will show you a list of all Live assigned leads. Clicking on a one of
the leads will bring you to the ‘Customer Enquiry’ page for that customer.
Once a lead is assigned in SR2, it will be archived in Dealerweb React so that it cannot be
responded to.

9.4 Leads Responded to in React

If a lead is responded to in react then in the Unassigned Leads list, the React button will be
greyed out and you will not be able to click through to see the lead in Dealerweb React.

You will still be able to assign the lead in the same way as before.
Once you have assigned the lead and go to the customer summary, you will see the
response which has been sent from react, as well as which react user sent the response.

10 Management Tools

This section will go over the settings available to some members of staff. The settings menu
may not appear to everyone, since not everyone will have the necessary permissions to view
or edit them.

10.1 Enquiry Attributes

This section covers managing the ways different leads can be categorised and sourced.
Clicking on either of these options will bring you to view showing you all current set up
options, with the ability to add new ones if needed. Already set up options can also be edited
by clicking on the pencil icon, which will also allow you to disable them in case you don’t
want to use that method anymore.
Also, here you can manage the reasons for lost sales, and models of interest, both of which
are done in the same way as leads explained above.

10.2 Value Added Products

This section covers additional products that can be added to a deal, accessories, insurance
and service plans. These are all managed in the same way as describes for Enquiry
Attributes above.

10.3 Users

Here you can add and manage members of staff. Existing members of staff will be listed
along with some information about them. They can be edited by clicking on the pencil icon.
New staff can be added by clicking the plus icon in the top right.

10.4 Dealer Configuration

Here any templates can be managed. Adding and editing works as described above.
Templates use a handlebar system to get the required relevant data onto the document; by
putting a keyword in double curly brackets when the document is generated it will fill the data
with information from the customer enquiry. A current list of handlebars is below.
