What's happening?
• Over the next 6 months you will start to see some changes in the way
you interact with HR.
• Across EDF Energy we will be introducing
simpler, more efficient processes,
improving our use of technology and
introducing more effective ways of
working.
• This is part of the transformation of our
HR function, bringing us in line with the
most modern, streamlined businesses in
the UK.
• This will change some of your current ways
of working so it is important that you understand
how this will affect you and your team and what you
will need to do differently.

How will this affect you and your team?
• The first change will be the introduction of myHR which over time
will replace Employee Self-Service (ESS) and Manager Self-Service
(MSS).
• myHR is a much more modern, user-friendly way to manage all your
HR needs:
- It’s all online – no more paper forms
- Everything will be much quicker, easier and more intuitive
- You’ll have instant access to your personal information
- Everything will be in one place with simplified processes
- You can customise the home screen to suit your own preferences
- You can even access it from your smart phone or other mobile
device if you want to (that’s entirely up to you)

When is it happening?
• MyHR will be introduced in three phases, starting in mid-January 2017.
• We will gradually stop using Employee Self Service and start using myHR instead.
For a short period
this means you will
need to use both
systems - myHR for
some activities and
ESS for others. But
don’t worry - we’ll
give you lots of
guidance about
which system to use
and this will only be
for a short time.

What does it mean for me?
Employees

Personal Information
You can update your own personal information on the
system.
You can add a photo to your profile.
The Employee Change Form will be online - much quicker
and easier.
You can use the calendar to see who in your team is in or
out of the office.
If you change your name you can now do this via the
system
Remember that you are responsible for the accuracy of
your personal data – HR will no longer have access to do
this for you.
Please note that in future your line manager will have
access to your address details.

Pay
Payslips will be online only – they will no longer be
sent to your home address.
Pay will be paid into a single bank account (you will
no longer be able to have more than one)
Your line manager will be able to see your salary
details in order to make pay decisions and discuss
performance with you.

Leave
Booking and viewing leave history is much quicker and
simpler – you can get to it in just 2 clicks!
You can see the remaining balance of leave available to
you
You can request carry over of up to 37 hours
You will be able to request specific time off (eg special
leave) and pre-retirement leave
Your line manager can request annual leave on your
behalf if required
All annual leave will be in hours
In line with company policy you will no longer be able
to borrow holiday from next year (carry under)

Overtime and TOIL
Overtime will be much quicker with electronic
forms that are easy to use and held all in one place.
You can request, bank and cash TOIL via the
system.
The flexible working request is on line and the
process is much more streamlined

Sickness absence
You will be able to open your own sickness
record online

Recruitment
Job Centre will be accessed via My HR rather than
Pulse
You can apply online for vacant positions within MyHR
and many of the fields will be automatically populated
with your information
You can check where your application is in the
recruitment process at any time
Starting salaries for all jobs will be advertised and
transparent

What does it mean for me?
Leaders

myHR – an overview
No more paper forms – for example, Employee Change
Forms and Temporary Worker Engagement Forms will
now be done online and the process will be much quicker
and simpler
You’ll be able to see the availability of all your direct
reports in the team calendar
Lots of fields will pre-populate with the data already held
on the system – no need to retype or duplicate effort
You’ll have instant access to a comprehensive range of
accurate, up-to-date HR data
HR will have read-only access so will no longer be able to
edit or correct forms for you. The responsibility lies with
you.

Employees’ Personal Data
You will be able to see your direct reports’ salary
data in order to make pay decisions and have
informed discussions to drive performance
You will have access to your direct reports’ address
details.

Leave
Employees will be able to request specific time off (for
example special leave) via the system.
Employees will be able to request carry over via the
system, making the process more transparent
You can request annual leave on an employee’s behalf
You can get a full break down of your direct reports’

You will be able to manage leave such as jury service
while HR will continue to track more complex cases
such as maternity leave

time of typing into the system and not being able
to save those overtime line items in the system for

Sickness absence
Employees can now open their own sickness record
(you can still do this for them)
You can now upload a fit note to the system and see
at a glance the sickness absence dates along with
those that are covered by a fit note (or not).
You will also get an automatic fit note expiry
notification.

Recruitment and Onboarding
If you’re recruiting, you can see exactly where your
candidate is in the hiring process - from justification
through to onboarding
Recruitment of agency workers will be on the system
You can scan interview documents and upload them
direct to MyHR
You will be responsible for completing the job
requisition form. You can do this quickly and easily by
selecting the vacant role on the Org chart. The form
will also prepopulate based on the Job Family
Architecture (JFA).
You will automatically be prompted to complete an
action to complete or extend a probation period

What support will there be?
• myHR is very intuitive and simple to use, but many of us access the HR
system and processes infrequently so it’s easy to forget how to do
things.
• With myHR simple, step-by-step guidance is available in MyCampus so
help is always just one click away.
• Don’t forget to log on to MyCampus before go live and check your
password is up to date (once reset you no longer have to update it
every 90 days so it’s really easy to access training).

• Following go-live floorwalkers will be on hand to help you with any
queries and we will also be holding drop-in clinics at all locations
• We will hold masterclasses for Leaders to help give an overview of key
processes such as recruitment

How have we prepared?
• All business units have senior management representation on Future HR’s
steering and governance groups and have been fully involved in the decision-
making process
• Experts from the business are part of the project team and lead the
development of new systems and processes
• Change Ambassadors are based in each station and business unit to support
end users and the business during the transition
• The project is progressing the internal regulatory processes and liaising with the
relevant regulators to ensure compliance in relation to:
– nuclear safety issues (including assessment of any impact on job roles,
skills and training)

Q&A
Why are we replacing ESS and MSS so soon?
• Moving on to SAP was an important step forward for us as a company, but it has always been
acknowledged that the way employees and managers interact with the system could be better.
MyHR provides a much more user-friendly experience – it’s really intuitive, quick and easy.
myHR is a cloud-based solution. How can you guarantee that my personal data will be
secure?
When we moved to SAP there were problems with the data – especially annual leave and
TOIL. Will that happen again?
Are you asking me to take on additional HR tasks?
No. We are not asking you to do anything in addition to your current responsibilities, but we are
making it much easier and simpler to fulfil them through a modern, user-friendly system. New
technology means that line managers and employees can quickly and simply complete the processes
for which they are responsible. This also means you have more autonomy and control – it’s a more
efficient and effective way of working for everyone.
What happens next / what do you need to do
now?
• When we switch from Employee and Manager Self-
Service to myHR, the system will need to be closed
down for a short time
• While the system is closed there will be interim
arrangements in place
• Before we switch off the system it will be important that
you:
– Submit any annual leave requests
– Submit any outstanding overtime claims
– Make sure your TOIL balance is correct
• We will tell you what to do and when nearer the time.
