1 2 To address this issue, we demand real action from those in power by spreading awareness and shifting attitudes from opportunity to crisis. Our goal is to engage in climate activism and influence at least one significant policy change, called "TenTrees," within the next three years. Addressing Malaysia's Climate Action and Volunteering Challenges: YouthCare Malaysia's Strategic Approach Malaysia faces challenges such as an inadequate volunteering culture, a lack of urgency to take impactful climate action, and insufficient collaboration in climate action. YCM aims to set the trend and spread a volunteering culture, create the infrastructure for digitalizing volunteerism, drive strategic partnerships to break silos and build bridges, and demand real action from those in power. The organization seeks to address the urgency to spread awareness on climate change, empower the youth for climate action, and provide a platform for the youth to channel their frustrations and ideas into impact. Malaysia ranks 43rd in the CAF World Giving Index, while Indonesia ranks 1st (CAF, 2021). By setting the trend and spreading the culture of volunteerism, we aim to create an infrastructure that digitalizes and gamifies volunteerism, mobilizing at least 20,000 volunteers within the next three years. Director's Guidance: Each committee member will work closely with their respective Director. The Director provides mentoring, on-the-job training, and shares their expertise and knowledge to help committee members grow in their roles. Standard Operating Procedures (SOPs): For tasks and activities that are recurring in nature, we have SOPs in place. These SOPs are detailed documents that provide step-by-step instructions on how to carry out specific tasks. They serve as a guide for our members and ensure consistency in our operations. Subsequent weekly meetings can be conducted online, but monthly meetings must be in person. Meeting procedures and protocols as per the YouthCare Malaysia E3M Policy (Efficient, Engaging, Empowering Meetings), including: Before the meeting: agree on meeting time, confirm secretary, appoint someone for CARE Moment and timekeeping, collect agendas with clear goals, send agendas and pre-reading materials 24 hours before, prepare visual aids, encourage preparation. If a committee member has any complaints or concerns related to meetings, they should follow the official complaint procedure as stated in YouthCare Malaysia Trust & Transparency Whistleblowing Policy Section. Communication within the Committee Methods of Communication: SOP for Creating New WhatsApp Groups: Contact Information for Key Committee Members: All communication happens through email, YCM official department groups, and the YCM WhatsApp community only. No announcements are sent through any messenger app. There is a Standard Operating Procedure (SOP) for requesting to create additional WhatsApp groups. This SOP includes guidelines on drafting a written request, submitting it to the Secretary General of YCM, and awaiting approval. If approved, the group should include the official YCM contact number as an admin, and regular updates and reports on the group's activities should be provided to the Secretary General. The meeting follows an "I-We-You" structure: first, the reporting party presents their view (I), then both parties discuss the conflict (We), and finally, the reported party gets a chance to respond (You). For example, a meeting could start with a member explaining their concern about another member's behavior, followed by a discussion about the incident, and ending with the other member's response. Mediation: If necessary, a mediation session is conducted to facilitate understanding and agreement. The HR representative plays a neutral role, helping the parties to understand each other's viewpoints and find a resolution. For example, if two committee members have a dispute over a project, the HR representative may suggest compromises or alternative solutions. Resolution and Follow-Up: Once a resolution is reached, the HR Department communicates the outcome to all relevant parties via email or meeting. A follow-up meeting or communication is conducted after a certain period to ensure the conflict has been effectively resolved and no further issues have arisen. For example, HR might send an email to both parties outlining the resolution and actions to be taken, then arrange a follow-up meeting a month later to check progress. 1. 2. 3. 4. 5. Any committee failing to comply with the constitution, code of conduct or acting in a way that would tarnish the reputation of the organization can be dismissed or suspended for a period deemed reasonable by the Human Resources Department. Before the Human Resources Department dismisses or suspends a committee's membership, the committee must be notified of the reasons for the dismissal or suspension in writing. The committee must also be given the opportunity to explain and defend themselves. The dismissal or suspension must be executed unless the general meeting postpones or cancels the decision on the appeal by the committee.
