Note From DreamShapers:
The Los Angeles DreamShapers are pleased to be providing this 2009 Performers Showcase in
partnership with the County of Los Angeles Public Library System. We are working, year after year, to all
provide artists with the opportunity to perform or display their work for consideration by librarians and
other community organizations.
DreamShapers is a 501c3 performing arts organization dedicated to supporting and promoting all
performing artists and their programs to community in an effort to bring the arts to children and children to
the arts. Included in this directory is a wide variety of wonderful artists, including independent performers
and those from Dream Shapers.
Each of the performers showcasing have demonstrated the ability to present wonderful programs
that support reading to children and family audiences.
Each performer has agreed to guarantee their pricing for the program they are presenting or have
listed in the directory through the end of August, 2009. They have also agreed to submit invoices at the
library on the day of the program and acknowledge that the county processes their invoices in 6-8.
Each performer listed in the directory has paid a fee for their inclusion in the directory, an
opportunity to display and possibly showcase at the event. This support allows for the creation and printing
of the directory everyone has received. With this commitment in mind, we encourage you to select from
among these artists for your programs.
PLEASE SEND REVIEWS, comments and information to Sue Muller about artists you have had
present at your library. The good and not so good comments are used each year to help determine artists
who will be included in next years showcase.

Team Work: Librarians and Performers Working Together
Librarians: Planning Your Programs
(As a member of the County of Los Angeles Public Library family, you have a number of resources
available to assist you with planning programs at your library. Be sure to call you Regional Youth Services
Coordinator any time you have questions or need assistance.)
Know your community and the resources which may be available there. Ask for input from children,
parents and teachers in your community; what might be interesting, what do people want to learn more
about; what may be of interest but unavailable.
Choose appropriate themes for community tastes and interests.
Target your audience; you might target school-aged children or preschoolers, or you may wish to target
family audiences. Please note that in spite of your best intentions; more often than not your audiences will
be a mix of ages and interests.
Date and time are important to the success of your programs and your audiences. Keep in mind general
activity patterns and what other events are being planned in your community. For example, it might be
better to schedule family programs in the evening or weekends, to accommodate working parents’
schedules.
Work with your staff; keeping your CLM and other staff informed of your plans. Work together to
anticipate peak times and assistance from other staff so that you can better manage the impact
programming will have on customer service at circulation and reference desks. Maintain the welcoming
environment that is key to providing good customer service.
Respond to your staff’s needs. Let library staff know that you are aware of the impact programs can
have and are willing to help. Determine how much help you have; how many volunteers are available, will
parents be willing to assist?
Librarians: Working with Performers
Attend the Performers Showcase to see newer performers audition. Use this opportunity to schedule
programs for Summer Reading Program and for other special programs you’re planning throughout the
year.
Discuss County of Los Angeles Purchase Order (6—8 Weeks payment process). Be sure that any
performer you are considering hiring understands that they will be paid with a county purchase order
(county P.O.) which takes 6—8 weeks to process. Ask for their Los Angeles County Vendor I.D. # and
refer them to me if they do not have one.
CoLAPL employees cannot sign contracts. County of Los Angeles employees are not authorized to
sign “letters of confirmation,” performance agreements, or contracts. Request the performer remove
language from their business communications which requires a deposit or partial payment prior to the
scheduled date of the program; language requiring full payment in advance or on the scheduled date of the
program; language requesting payment or “reimbursement” for cancelled programs; and language that
requires payment terms that differ from processing a county purchase order (which takes 6—8 weeks for
the performer to receive payment). If you need more information, please contact your RYSC.
Send a confirmation letter. Communication is key! Send a letter confirming the arrangements you
have discussed with the performer. Be sure to include a map and directions to your library. Provide the
information necessary for the performer to prepare an invoice.
Begin marketing your program…plan your public relations campaign! Start by asking your performer
for information about their background or professional affiliations and photos that you can include in your
press releases, flyers and introduction on the day of th4e program.

It is so important that you and your performer contact each other prior to your event so there are no
surprises. Discuss date, time, address and phone numbers and confirm special needs. Tell them where
they can park, where they can bring equipment in and any other specifics they should know.
Librarians: Day of Program (Always have a contingency plan, just in case.)
• Reserve a parking space for your performer. Parking is a challenge when there are special programs
scheduled at the library.
• Recruit staff or a teen volunteer to assist with moving equipment to and from the program area.
• Animal Programs: Travel is stressful for animals. Please offer a cool, quiet place for the animals to
rest, with access to water. Work with the performer to provide a humane environment for their animals.
• Set up table and chair for any artists who have requested them.
• Tape off areas for audiences to sit and maintain an aisle to conform to fire regulations.
Welcome your audience, your responsibility as host/ess of this special program. Talk to your audience
about ground rules (preview these with your CLM) to ensure that this program is an enjoyable experience
for everyone, including your performer. Be welcoming, professional and friendly, but firm. Remind the
audience that priority seating is reserved for children; parents can attend as space allows and strollers
should be parked in another area of the library (and rope off that area). Remind everyone to please listen
quietly without talking and raise your hand if you would like to ask questions. Parents may be privately
asked to remove their disruptive child(ren), but are invited to return when ready.
Introduce your performer by clearly stating their name and any background information which has been
provided by the performer. This gives the audience information about how special this program will be if
they know that “…has performed at the Magic Castle”, or is a featured storyteller “…at the National
Storytelling Festival”, etc. This will help the audience understand what a special program you have
planned for them to enjoy.
Create a book display linked to this program and take the opportunity to talk to your audience about it
and other books and materials available at the library related to this program. Include information about
upcoming programs. Be sure to remind the audience that you will be available to help them find out more
about (program theme) at the end of the program.
Please stay for the duration of the program. As host/ess, you should be available to assist as needed.
The performer might need your assistance, particularly with audience management. Your presence
provides leadership, you laid out the ground rules and are in a better position to act.
Be a cheerleader for the special program you have planned. As role model, you can help direct the
behavior of the audience by prompting them to participate and respond to the performer. A little
enthusiasm on your part can go a long way toward creating audience appreciation for a performance.
The End (of your program): Thank the performer for the wonderful performance and give a round of
applause. Now is the time to make any last minute announcements; remind your audience to check out the
book display and other materials (and tie the program they have just enjoyed with library resources).
Include announcements about upcoming programs and mention the performer (by name), day, date and
time.
Performers
Be sure your invoice includes your Los Angeles County Vendor I.D. Number. If you don’t
have one, ask for assistance in registering for it.
Write or e-mail your contact librarian within two weeks of being hired. Re-confirm the program details
(day, date, time, library name and address, etc.) Provide your cell phone number or a number where you
can be reached in an emergency. Reiterate your stage/space requirements and who will be responsible for
providing the sound system, film equipment, extensions, etc. Discuss the information that will be needed to
process your invoice and submit your original invoice after the program has been performed.

LIBRARIANS CANNOT SIGN CONTRACTS. Please do not submit contracts and do not include this
type of language in other business communications such as confirmation letters, performance
agreements, invoices, etc. Please remove language referring to a deposit or partial payment prior to the

the program; language requesting payment or reimbursement for cancelled programs; and language

Be realistic when scheduling your performances. Please consider realistic drive times. Remember
that many libraries will have large crowds of children waiting for a special program. Call ahead if it looks
like you may be late.
Allow sufficient time for set-up. Plan on arriving at least 30 minutes before your program. You will give
your best performance if you have allowed yourself enough time to prepare properly and have a chance
to relax. Call ahead if it looks like you may be late. Give the library staff a chance to organize
activities to keep their audience content while awaiting your arrival.
CANCELLATIONS: If you are unable to keep your engagement, please give as much notice as possible
so that the library can make other plans. Please offer another time and date, but don’t be disappointed if
your services are not required at another time.
Contact the staff person who hired you upon arriving at the library. Let them know you’ve arrived and
discuss further instructions related to set-up, changing clothes, etc.
Sound systems are recommended at larger library venues. If audiences can’t hear your performance,
they can become easily distracted. If they can’t hear your program, their attention will wander and you’ve
lost them.
The size and age range of an audience can be challenging. Discuss in advance with the librarian
what they would like for a program; to focus on a particular age group or be more flexible and adapt the
program to be more inclusive.
Programs at the library are designed to promote the library and the love of books and reading.
Young readers’ successful experiences with reading and are made more tangible and profound if they
experience the relevance of their reading. Include in your program plans opportunities for the audience
to interact with your performance. Also, please incorporate your ideas about why reading is important to
you personally (perhaps describing how you prepared for your career or today’s program by researching
information at the library, etc.), or your thoughts about your love of reading and/or in support of the library
and lifelong learning.
Advertising or selling product (books, CDs, etc.) or services at a children’s venue is not appropriate.
You may distribute business cards to interested adults who wish to contact you at a later time.
Present your invoice to the Children’s Librarian or Community Library manager upon completion of your
program. Include the following information:
• Your unique invoice numbering system.
• Your name (as it should appear on your county-issued check);
• Your SS # or Tax ID # and your County Vendor ID#.
• Your address and telephone information;
• Name, complete address, phone number and name of contact person at the library where you
are appearing.
• Date and time of the program.
• Amount you are charging for the program, grand total only; DO NOT ITEMIZE.
• Sign your invoice
Please Note: Processing a county purchase order may take between 6 to 8 weeks, however, payment
can be processed more efficiently if you have provided your original, signed invoice upon completion of
the program that includes the information requested 6above.
