2.1 Introduction

1.1. Purpose of the Document

This Request for Proposal (RFP) is to seek out an appropriate SharePoint developer to work with
and create a SharePoint setup to manage a clients documents. The project as a whole is being
managed by CROFTi. The engagement for the successful RFP will be between the Vendor and
CROFTi on behalf of the client.

1.2. Confidentiality

This RFP, plus any other documents released, information provided, discussions, etc., as part of the
selection process, are strictly confidential and should not be divulged to anyone who is not directly
involved in preparation of the response. Additionally, all information within this proposal or gained
during the RFP or other processes will remain confidential by the vendor. No information or publicity will
be allowed to any third party unless specific written authorization is obtained from Paul Lomas or
CROFTi.

It is a condition of this RFP that the information provided herein is for the purpose of allowing vendors
to submit proposals to CROFTi. It may not be used in any other context nor revealed to any other party
not directly involved in the submission of a proposal in accordance with the terms of the specification.

1.3. Terms and Conditions of the Proposal

1.3.1. RFP Responses

The closing date for receipt of proposals is: 2 March 2017 at 6pm AEST

Submission need only occur via electronic format attached in an email.

The proposal should include the name of the person to whom CROFTi may address any
questions relating to the proposal.

Dean Cavanagh should be contacted for supplementary information relating to this RFP via the
above contact details. All requests should be via email.

CROFTi reserves the right to distribute any questions with CROFTi’s reply to any vendor if it
deems appropriate.

1.3.2. Preparation of Responses

The requirements specified in this RFP reflect those presently known.

CROFTi will not be responsible for or pay any expense incurred in the preparation of any
proposal or in CROFTi’s evaluation of it.

All prices shall be consistently in either US dollars or AU dollars and all unit prices, charges and
totals should be exclusive of tax.

Supporting material, ideas and concepts that are not specifically requested but are likely to be
beneficial to the project outcomes are encouraged.

1.3.3. Contract

This document does not constitute an offer to sell, or a solicitation of an offer to purchase.

2. Business Background

2.1. SharePoint Setup

To consolidate documents into a single shared environment therefore setting up a foundation for
integration with other automated online products.

3. Quality Management

Quality testing will be determined with any combination of the following techniques:

Functionality & UI User Interface & System Storyboards
Accessibility Testing
System Design Client/Customer Walkthroughs
Configuration & Integration Simulated Execution
Guided Inspections
Continuous Integration
End-to-end Tests

Quality inspections and testing will be made on a fortnightly basis between existing developer sprints.
These inspections and feedback items are the responsibility of CROFTi.

4. Technical Notes

Technology requirements to achieve the outcomes are not directly specified other than being
compatible on both Android and iOS devices. Vendors, in collaboration with CROFTi, are to suggest
and implement the various technologies required.

Colour, layout and user interface details have not be determined as yet, however usability for the
purposes of testing the MVP should be ensure use is easy for end users.

5.2 Client Site

The clients subsite will contain the following structure for each client that is set up. The client setup
is initiated from WorkflowMax via the integration partner SuiteFiles. SuiteFiles will create their own
overlay which should be replicated across the entire SharePoint tenancy.
