Records Management and Organizational Performance BY : FATIN HAZIRAH BINTI SAINI

The relationship between management of academic records and organizational performance is based on that organizations create, retain, and preserve records so that they can be used. If a user cannot locate a document, it might as well be nonexistent. If effectively managed, it would help organizations in conducting operations in an efficient and accountable manner, while maintaining consistency in service delivery, management decisionmaking and transparency of policy formulation, execution and management. VOLUME II EDITOR'S INFO FATIN HAZIRAH BINTI SAINI 011 1009 7526 [email protected] Effective record management benefits all organisations and stakeholders. It is a crucial element of corporate operations that makes sure timely and accurate information is shared both inside and outside of facility management, allowing for quick access to the data that is needed. 1 2 M A N A G E M E N T O F B U S I N E S S R E C O R D S

RECORDS LIFECYCLE All records go through a lifecycle, from stages of their creation to disposal. Knowing these stages helps you protect and organize your data properly. Each stage has its own importance in the lifecycle and the objectives of each stage must be appropriately fulfilled to ensure the lifecycle continuation. Reports that are used frequently are stored internally to ensure quick retrieval. There are two types of records states: Active and Inactive. Active records that are often accessed are carefully stored and managed to guarantee speedy retrieval. Inactive records are kept secure off-site that a firm no longer utilizes for current business but must keep until the end of its retention term Creation is the first phase of a record's lifecycle. Receiving a record and designating it as a record are required steps. To save storage and space and control the quantity of the information, records should be securely destroyed if this won't have an impact on future business at risk. If not, the records should be archived using the established archival procedures. 4 Dispose / Destroy 5 Archive / Preserve n important sign of an effective records management program is the preservation of archival records and the promotion of appropriate use by the public. IMPROVING RECORDS MANAGEMENT AND SECURITY FOR SUCCESSFUL BUSINESS PERFORMANCE: THE ROLE OF N EW MEDIA FATIN HAZIQAH BINTI SAINI BY

Electronic Records An electronic record is one that is easily accessible or modifiable that is kept on electronic media. Any information that is saved in a machine-readable format is considered an electronic record. Electronic records include data that is numerical, graphic, audio, visual, and textual and that is stored or transmitted in analogue or digital form. Examples include electronic spreadsheets, word processing files, databases, electronic mail, instant messages, scanned images, digital photographs, and multimedia files. A system that helps users to create, send, receive, and manage electronic documents and pictures over networks. Users may compose and send messages using computers and software using a number of electronic mail systems. Nowadays, most governmental organisations and employees in enterprises communicate mostly via email. Unfortunately, e-mail has a potential for abuse and disaster. Records and information manager have developed policies related to electronic records for their organizations. Employees are required to adhere to the policies created for effective and efficient maintenance of electronic records. ELECTRONIC MAIL DOCUMENT IMAGING An automated system for storing, retrieving, and managing photographs of paper records in an electronic format is known as document imaging. An electronic image of a paper document is produced by scanning it into a computer file. Since scanned documents are frequently huge, optical disc storage is recommended. 2 0 M A N A G E M E N T O F B U S I N E S S R E C O R D S

Another method that businesses employ digital communications is in the business procedures of electronic file transmission and data interchange. Electronic Fund Transfer (EFT) enables electronic payments and collections. Electronic data interchange (EDI) is a communication procedure between two companies that allows the exchange of standardized documents through computers. Records and information managers need to make sure that the documents sent via this business process are true, accurate, and useful. ELECTRONIC FILE TRANSFER & DATA INTERCHANG A global network of computers known as the internet enables users to send, save, and receive electronic data via open networks. The multimedia centre of the internet, the world wide web is a worldwide hypermedia system that allows browsing in many databases. Manufacturing's share of the US Gross Domestic Product (GDP) started to fall in the early 1970s. Since then, information services have contributed more to the GDP. This is a considerable departure from the industrial-based economy of the 1950s. The vast majority of business records are are no longer just accounting transaction records. Because these records are a valuable source of information about the people who purchase the goods and services a business sells, correspondence and customer information are often used. Records are kept in paper form, magnetic media, microforms, and optical media. A company may better serve customers by using quick, precise retrieval. Before the 1600's, the majority of business records were based on basic commercial transactions that gave documentation of money received and spent, listings of goods purchased and sold, and simple contracts. Until the 1950's, when computers were first utilized in business, records were almost entirely paper documents. The most significant focus at this point in history was having the documents correctly filed. T H E O R E T I C A L F R A M E W O R K According to ISO, records are any information that is produced, acquired, and kept by a person or organisation as proof or information in order to meet legal requirements or do business. 2 2 M A N A G E M E N T O F B U S I N E S S R E C O R D S

PROTECT RECORDS Measures used to

ACCESS TO RECORDS : TRANSFERRING RECORDS : AUTHENTICITY OF RECORDS : PRESERVATION OF RECORDS : Depending on the content of the record, a record may require a different level of protection. Some records could just be mildly sensitive, necessitating minimal or no security. Others will be extremely sensitive and require great security. A record's level of sensitivity should determine how accessible it is. All essential security measures should be implemented to secure data and information in transit if it has to be delivered to a third party or other location, either inside or outside the company. This will include sending in the most appropriate format, or packaging appropriately, and addressing correctly. It will apply to both paper and digital documents. Maintaining the integrity of electronic records, such as those preserved on email or data in a database, which may both be quickly altered, presents some unique challenges. Controlling access to the record or data should be one of the precautions performed. In order to keep documents safe, organisations should think carefully about whatever format or medium to use. And to prevent loss, they might need to backup their documents, especially if they are crucial or otherwise critical to the organisation. LOCATION OF RECORDS: Both physically and digitally, records need to be preserved in a secure and safe manner. Whenever a computer screen or workstation is left unattended, sensitive papers should not be left there. The ideal way to disposal of documents after their lifetime should be taken into account by organisations. 2 4 M A N A G E M E N T O F B U S I N E S S R E C O R D S

'BUSINESS INFORMATION' SERVICES T H E R O L E O F R E C O R D S M A N A G E M E N T I N by EMYSHA NADIRA BINTI NOR AZALAN

Since all of the groups of information specialists are what could be called "business" or "corporate" information providers, it would appear that there is a chance for them to combine their services and enhance the customer service they provide. The potential for integrating information services, the reasons behind doing so, the benefits to be gained, and the difficulties that such a strategy presents for all of the information specialists involved are the subjects of discussion in this article. 017 372 6573 m y s h a n a d i r a @ g m a i l c o m Emysha Nadira Some have argued that records management cannot stand on its own as a professional field and strategic influence in the majority of organizations; Others assert that we will lose our current power and influence unless records managers clearly define their core competencies as distinct from those of archivists, librarians, and IT specialists. M A N A G E M E N T O F B U S I N E S S R E C O R D S 2 7

I n f o rma t i o n f i l t eri ng In contrast, «core information» simply indicates that users do not desire or require access to everything. There are two ways to look at this. Additionally, these two processes, destruction and filtering, can be viewed as the primary defenses that information workers have against the alleged threat to our professional lives that is frequently discussed in library journals: disintermediation, or the capacity of upcoming generations of software and hardware to satisfy all of our customers' requirements. In addition to commercial information providers, the more than 200 delegates included librarians and information officers; There were probably only three qualified records managers, and there were still only a few people with some responsibility for corporate records, either now or in the past. 2 8 M A N A G E M E N T O F B U S I N E S S R E C O R D S

l e s s o n s f o r r e c o r d s m a n a g e r s The usual, if a little hazy, foundation for information management is IT and developments related to it. We now have some remarkable tools for the control and distribution of data thanks to the rapid installation and refinement of corporate networks; However, the majority of senior managers still view the technology as the process's end rather than its means. The development of information services in organizations as a whole must be contrasted with this lack of recognition. This desire is a combination of a traditional desire to increase productivity by accelerating decision-making across the organization and a late recognition that information hoarding actually hinders the achievement of corporate business goals. By adopting this Board Agenda, senior management is guaranteed to take into account all information concerns just like finances, staffing, and physical assets; It also gives them a vocabulary and framework based on assets to encourage them to lead their organization's information management. M A N A G E M E N T O F B U S I N E S S R E C O R D S 2 9

Clearly, this is the most important question for records managers and all information providers. A notorious recent issue of The New York Times contained more information than a typical 17th-century reader could have ever read in a lifetime. Records managers need to take advantage of this and ensure that corporate records are seen by their users as part of the whole information resource available to them. W h y s h o u l d w e i n t egra t e ? PUTTING RECORDS AND INFORMATION AT THE HEART OF THE ORGANISATION MEETING THE NEEDS OF BOTH INFORMATION USERS AND PROVIDERS The majority of users want to access the majority of the information they require themselves due to their growing computer literacy. Additionally, information staff requirements must be met; They frequently experience feelings of insecurity due to the lack of opportunities for promotion and training. According to recent research, "Information Fatigue Syndrome" is a major contributor to organizational stress and poor decision-making. A notorious recent issue of The New York Times contained more information than a typical 17th-century reader could have ever read in a lifetime. OTHER INFORMATION PROVIDERS The obvious partnership that is needed here is with the library profession. INFORMATION SUPPORT FUNCTIONS Computer and telecommunications departments have already merged in some organizations; Records management must follow the same path that many libraries have taken to strengthen their ties to corporate IT departments. THE INTERESTS OF INFORMATION STAFF AND USERS This is primarily a morale issue for both parties and is unquestionably crucial to the efficient provision of services, which must accurately address the actual information requirements of users and be regularly distributed to the entire user base. PAPER AND ELECTRONIC MEDIA Again, access is largely at issue here; A comprehensive union catalog of all corporate information resources, regardless of their media, might be required. It could be viewed by organizational function by the user, INTERNAL AND EXTERNAL INFORMATION It is necessary to integrate access to records and bibliographic materials in order to support effective decision-making and enable users to move from data to information to knowledge. B e n e f i t s o f i n t egra t i o n HIGH PROFILE FOR ELECTRONIC RECORDS MANAGEMENT Records managers not only possess the expertise necessary to manage this issue, but they are also essential in facilitating user control of it. INCREASE IN PROFESSIONAL SKILLS As a result, we would all be in greater demand in a challenging labor market and better able to satisfy information requirements. IMPROVED CAREER PATHS The majority of staff will have access to brand-new career opportunities as a result of an integrated administrative structure for information services. REDUCED INFORMATION OVERLOAD The overload can be reduced, if not completely, by using retention schedules, information needs assessments, and filtering procedures diligently. BETTER SERVICES The improvement of services by making them as adaptable as possible to the distinct information requirements of users is the primary objective of integration. 3 2 M A N A G E M E N T O F B U S I N E S S R E C O R D S

EVIDENCE & IMPLICATIONS By: for Records Management Putri Fatin Fazera Binti Roslee 2022

Electronic Records as Evidence As society develops socially and technologically, the laws that govern human behavior must change. This study looks at the legal debate concerning the nature of electronic recordings and their admissibility as evidence in light of previous rulings. discussions on whether written papers, copies, and microfilm are acceptable. To demonstrate the truth and validity of documents, current judicial thinking thus maintains the historical trend of relying on personal testimony and "reliable methods." In the end, it is emphasized how important it is for records managers to understand the principles of contemporary legal doctrine and how records management systems are impacted by the legal standing of electronic data. Electronic Records Records and documents created, manipulated, and maintained on digital technologies, such as the personal computer It has taken this judicial system a long time to accept paper records as key evidence, but it did so based on stringent rules that encourage a continuous reliance on individual responsibility. As a result, the specter of electronic records and documents produced, modified, and maintained using digital technology, including the personal computer has already cast a shadow on judicial consideration of many issues. Due to the dependability and intrinsic truth of electronic records, confusion and ambivalence have developed. Current legal rules of evidence, which emphasize the formal and systematic properties of records and record systems more than the contents of the documents, may become more unclear as a result of electronic records losing the few remaining structural and formal properties they share with paper documents. As a result, their account of outside events is now even less reliable. 3 6 M A N A G E M E N T O F B U S I N E S S R E C O R D S

The original paper would therefore have been acceptable. [1] The original document cannot be reproduced [2] The photocopy [3] accurately reproduces the original's wording. Therefore, obtaining admission of such erroneous photocopies was more challenging. It would be necessary for the records manager or another employee in charge of the program or activity to provide testimony regarding the system's protocols and practices. The program manager is still legally and administratively responsible for personal accountability because they are in charge of all the processes and methods used to make copies of documents and can validate them. Records managers and attorneys need to be very careful to build a solid foundation for the admission of electronic records because they are thought to be even less dependable than photocopies or microfilm. Protects Privacy Create strong passwords Don't overshare on social media Use free Wi-Fi with caution Watch out for links and attachments When creating a password, think beyond words or numbers that a cybercriminal could easily figure out, like your birthday. Choose combinations of lower and upper-case letters, numbers, and symbols and change them periodically. It’s also better to create a unique password instead of using the same password across multiple sites—a password manager tool can help you keep track. We all have that one friend who posts too many intimate details of their life online. Not only can this be annoying, but it can also put your personal information at risk. Check your privacy settings so you are aware of who’s seeing your posts, and be cautious when posting your location, hometown, birthday, or other personal details. A little online shopping never hurt anyone…or did it? Most free public Wi-Fi networks have very few security measures in place, which means others using the same network could easily access your activity. You should wait until you’re at home or on a secure, passwordprotected network before whipping out that credit card. Cybercriminals are sneaky, and will often compose their phishing scams to look like legitimate communications from a bank, utility company, or other corporate entity. Certain things like spelling errors or a different email address than the typical sender can be a clue that the email is spam. M A N A G E M E N T O F B U S I N E S S R E C O R D S 3 9

Conclusion ecord keeping is essential to any organisation. For the purpose of governing records management activities, a policy must be created. Records management policies and procedures will direct records management operations and guarantee that all created and received records are recorded correctly. A records management policy will serve as a roadmap for managing records and as the practical foundation for efficient management. R References imageAPI. (2022, January 15).
