Standards: • To ensure that all greenery throughout the property is well maintained and is aesthetically pleasing. • The Housekeeping Manager / Property Manager are responsible for overseeing the contractors who provide the landscape services if it is not done by the in house Housekeeping Department. For Action: Housekeeping / Property Manager (PM) For Information: - Guidelines: • If a contractor maintains the landscaping of the property, ensure that the following items are included in the contract (if applicable). • Grass cutting • Racking of leaves • Blowing of leaves in hard to reach places • Trimming branches, palms, climbers and hedges • Disposal of plant debris and sweeping • Weeding • Clearing of fallen trees • Pruning and trimming to remove dead leaves and branches • Other tasks as deemed necessary in the property • Include the frequency in which these tasks must be performed. • Daily • Weekly • Fort-Nightly • Monthly • As and when required • Or specific days such as “Every 2nd week of the month” or “Every 4th week of the month.” • Housekeeping Manager must schedule regular walk through with the Contractor. • Suggest at least once a month • More if area is large and needs to be broken into separate sessions • Create a good working relationship with Contractor

No part of this document may be resold, reproduced or transmitted in any form by any means without the written consent of the publisher. • Housekeeping Manager must walk around the property with the Housekeeping Attendant once a week if a contractor is not used for the landscaping services. • Use the same Inspection List as with a Contractor. • Plant containers and flower beds must be in good condition. • Must not be cracked, scratched or otherwise damaged. • Must appear clean and crisp, well maintained. • Pots must be proportionate to the size of the plant in it. • All planters should be equipped with a water gauge that indicates when the water level as fallen below the required level. • Helps to prolong the life of the plant by indicating when the humidity level within the soil falls and that more water is required. • Housekeeping Manager must write out the watering schedule for all plants in the apartments and on the elevator landings. • Example: “Water the house plants in the apartments every Wednesday.” • “Water the plants on the elevator landings every other day”. • Frequency will depend on the types of plants. Seek advice from a florist or the Landscape Contractor. • Post schedule in the Housekeeping Office and ensure all Housekeeping Supervisors monitor the program. • Landscape Maintenance Schedule Sample can be found in HSK – 12.14. Please create one that is specifically for the property.

Standards: • To ensure an adequate stock of housekeeping supplies and equipment are kept on hand. • Do a monthly inventory check for Guest Supplies, Kitchen Equipment and Cleaning Supplies. For Action: Housekeeping For Information: - Guidelines: • In addition the following must be considered to ensure a new order is placed on time. • Turn over of each product and item • The processing time of the order • The expected delivery time • The Housekeeping Manager is to fill out the standard purchase order. • Marking the date • Supplier’s name and address • Quantity and description of merchandise • Price of merchandise • By when the goods are required. • The purchase order is then to be signed and approved by the Property Manager before sending it off to the supplier. • Keep a copy of the purchase order in the housekeeping office • When the goods arrive, the Housekeeping Manager must check if the delivered goods correspond with the purchase order and the delivery slip. • If so, the delivery slip is to be signed and forwarded to the Property Manager. • If not, written confirmation of the shortage must be documented as well as the timeline to complete the order. Follow up to ensure missing items are delivered in a timely manner. Inform the Property Manager. • The Property Manager is to compare the signed delivery slip with the invoice before payment is made.

Standards: • To ensure that the extra bed placed in an apartment is clean and presented in a professional manner and is of consistent quality in each property. • Bed and mattress must be clean and free of signs of wear and tear. • Extra bed must have a bed skirt and headboard cover that compliments the décor of the apartments. See pictures in guidelines. • Extra bed should be placed in a location of the apartment that does not block any passage way. Standards: • To ensure that the baby cot is clean and presented in a professional manner and that a consistent product is offered at all properties. • Cots should adhere to all local safety guidelines. • Short stays – Portable cots can be used. • Long stays – Baby cots with bumper pads that fit around the entire crib and tied securely. Baby cots with air wraps could be an alternative to bumper pads. • Note: Do not place pillows, quilts, comforters and stuffed toys in the cot. If using a blanket, place baby's feet at the foot of the crib. Tuck a thin blanket around the crib mattress, reaching only as far as the baby's chest. For Action: Housekeeping For Information: - Guidelines: • Cot / crib safety guidelines: • Make sure there are no missing, loose, broken, or improperly installed screws, brackets or other hardware on the crib or mattress support. • Crib slats or spindles should be spaced no more than 6.5 cm apart and none should be loose or missing. • Crib should not have corner posts over 2.5 cm above the end panels. • The finish should be nontoxic. • There should be no cut out areas on the headboard or footboard. • There should be no cracked or peeling paint. • There should be no splinters or rough edges. • Mattress safety guidelines: • Fire retardant mattress at least 15.25cm thick. • Ensure mattress fits the crib with no gap. • Choose a firm mattress. • Heavy-duty castors. • Bedding requirements: • Waterproof bed pad with elastic band that can secure around the mattress corners.

The use of air wraps deluxe is an alternative to bumper pads. • No pillows, quilts, comforters and stuffed toys in the cot. • If using a blanket, place baby's feet at the foot of the crib. Tuck a thin blanket around the crib mattress, reaching only as far as the baby's chest. • All linen must be color coordinated, free of stains and free of odors • Baby cot sheets should be changed every other day or immediately if soiled. • Baby cots are to be made up according to guidelines and as demonstrated by the Housekeeping Supervisor.
