FOREWORD
DEAR SHELL ECO-MARATHON ASIA PARTICIPANTS,
Shell Eco-marathon is all about innovation and addressing new challenges around
energy and future mobility. This season, after the very successful event on the unique
street circuit in Manila in 2014, Shell Eco-marathon Asia will return to the Philippines
to continue to challenge students from all over Asia, Africa and the Middle East to
strive for new personal bests and to demonstrate their ingenuity and the progress made
over the last 12 months.
In order to maximise the positive experience at Shell Eco-marathon Asia, I would like
to remind all teams to come to the competition with your vehicles well-prepared and
tested. We have created a video series of ‘Tech Tips’ on Shell’s YouTube channel,
addressing the most common problems and questions regarding vehicular
requirements. Please review the ‘Tech Tips’ videos, the Chapter II Rules in this
document, and Chapter I Global Rules carefully.
Do not hesitate to contact us on the Shell Eco-marathon Asia Facebook group or
directly via [email protected] if you have questions or are unsure about the
compliance of a particular technical solution.
Over recent years, Shell Eco-marathon was grown in popularity but also in terms of
prestige. This success comes with the need to also focus on protecting the integrity and
authenticity of this student event which is built on the ingenuity and hard-work of
students from all over the world. Unfortunately, there seems to be an increasing
numbers of cases where overly keen faculty staff, parents, chaperones or professional
team members work on the vehicles or even are charge of their designing and
development. According to the Rules, those activities must be carried out by the
students registered in the event. I would like to remind all teams that such behaviour is
unfair and contradicts the values and spirit of Shell Eco-marathon. Therefore, the
Organisers reserve the right to penalise teams which employ such practices.

CHAPTER II
1. GENERAL
The Shell Eco-marathon Official Rules 2015 Chapter I and the Asia Rules 2015 Chapter II apply during the
entire duration of teams’ presence on site.
Shell Eco-marathon (SEM) Asia 2015 will be held from 26 February – 1 March 2015 (optional pre-registration
on the 25th of February) at the Luneta Park in Manila, Philippines. Teams are allowed on site from 14:00 hrs on
25 February and the following rules shall apply while on site at Luneta.
By participating in the SEM Asia event, participants agree that the Organisers, Pilipinas Shell Petroleum
Corporation (SHELL) and generally all companies under the Shell Group worldwide have the right to use names,
likenesses and images for publicity or materials promoting this event without compensation, except where
prohibited by law.
The Organisers reserve the rights to modify any article of the present Rules.
Article 71: PARTICIPANTS
In this document functions and roles are defined as follows:
i. ‘Organisers’ – the specific Shell company that organises the Shell Eco marathon event in a particular region
as named in Chapter II, and all persons acting on its behalf.
ii. ‘Team’ – a group of individuals with a team name and one vehicle that has been accepted for entry to the
Shell Eco-marathon competition.
iii. ‘Participant’ – official member of a Team.
iv. ‘Team Manager’ – a Participant that has been appointed on the event registration document as single focal
point for his/her team to the Organisers.
v. ‘Teacher Advisor’ – a Participant that is a faculty member of the Team’s school.
vi. ‘Race Director’ – person appointed by the Organisers, who is responsible for managing and sanctioning all
on-track activities.
vii. ‘Track Marshall’ – person appointed by the Race Director to act on his/her behalf, in particular to ensure
on-track safety and observe on-track rule compliance.
viii. ‘Fuel Marshall’ – person appointed by the Organisers, works as member of the technical team and
supervises fuelling activities in line with the requirements of these rules.
ix. ‘Technical Director’ – person appointed by the Organisers, who is responsible to ensure the technical
standards and integrity of the Shell Eco-marathon competition.
Participants must be students registered with one of the following educational institutions (Schools):
High Schools/Technical/Vocational Schools
Colleges
Universities – degree/post-graduate programmes
Participants below the age of 16 years on the first day of the event are not eligible to compete. All participants
must still be enrolled in a school or institution at the time of the event, and must not be more than 30 years old
on 31 December 2015.
A team will consist of up to eight (8) official team members, including the Team Manager, Driver, and Teacher
Advisor. Only these designated 8 team members, and the additional two (2) supporting members registered in
Phase 2, will be allowed into the competition area/pit area of Luneta.
The rationale for this is due to safety and security considerations in the pit area. All others who accompany the
team beyond these official team members will NOT be allowed into the competition area of Luneta/pit area.

Each team must appoint – a Team Manager, a Driver, and a Teacher Advisor.
The Team Manager shall be responsible for only one vehicle. He/She may be the Driver for that vehicle, and
no other. The Team Manager shall be the team’s sole official liaison with the Organisers. All information shall be
addressed to him/her. For the purposes of this event, he/she shall be responsible for the team and shall speak
on behalf of the team and must be able to understand and speak English. It is compulsory for team managers to
attend the Mandatory Meetings throughout the whole event.
ACCESS FOR PARTICIPATING TEAMS’ GUESTS VISITING SEM ASIA 2015:
1. Participating Teams will be allowed to bring a maximum of 20 guests to the event. (Supporters, family
members, each faculty members, sponsors, etc.)
2. Invited Guests must register on the SEM Asia microsite (link to be provided on the SEM Asia website once
available). Only registered names will be allowed entry to the event.
3. No ID, no entry. A valid ID with photo (only government or school IDs will be accepted) should be
presented at the registration booth for the issuance of entry wrist tags.
4. Admission to the event is free. Guests are responsible for their own accommodations, transportation to and
from the venue, as well as their food and beverage needs.
5. Guests are allowed to enter the SEM event site from 26 February – 1 March 2015. Color-coded wrist tags
will be provided to all guests once their registration has been validated at SEM event site’s security
entrance.
6. Guests are not allowed to enter the paddock area.
7. Children under 11 years old should be accompanied by their parents/guardians.
8. Bringing of food inside the SEM event site is not allowed
9. Guests can buy snacks/meals/beverage from food stalls strategically located around the venue.
10. Smoking, including the use of e-cigarettes, is only allowed in designated areas.
The Organisers will provide the following upon arrival of the Participants:
Bus shuttle services will be available from the Ninoy Aquino International Airport (NAIA) straight to Manila
Hotel, Hotel H2O, Bayview Park Hotel, and Miramar Hotel. The shuttle schedule will be provided by the
Organisers.
Lunch and dinner at Luneta from 26 February – 1 March 2015; and
Event t-shirt and registration pack.
Each Team is responsible for all other costs and expenses associated with participating in the event i.e. travel
from home country to Luneta and back, hotel/accommodation, building, shipping and freight cost for vehicle,
etc. The Organisers will provide Travel Allowance to each team (See Article 102).
Each school/institution can only apply for up to two (2) vehicles participating in the SEM Asia 2015. Every
vehicle entered shall be described in a separate, fully completed registration form. We encourage both vehicles
where possible to be in different categories (Prototype and UrbanConcept) and/or different energy types. The
Organisers reserves the right to limit the number of vehicles participating in the SEM in the event that more
vehicles are registered than the track can safely accommodate. All Organisers decisions shall be deemed final.
Article 72: ENROLMENT
Enrolment will be considered only if the team application details are accurate, completed in full, and
accompanied by technical drawings of the vehicle. The drawings must comply with the technical rules as laid
out in SEM Global Rules 2015 Chapter I.
The Organisers will review all applications with regard for their level of compliance with technical and safety
rules as well as for the technical standard. The Organisers reserve the right to accept or refuse any applicant
and all decisions shall be final. Teams are advised to wait for the final go-ahead from the Organisers before

beginning work on their vehicles. Entry confirmation will be sent by email to each team.
Teams must obtain a letter from their school endorsing their application to participate in SEM Asia 2015. It must
list the entire team member’s names, including teacher advisor, supporting members of the team, age and
course that they each belong to. A scanned copy of this letter of endorsement must be submitted together.
TEAM REGISTRATION
Registration for Shell Eco-marathon Asia 2015 consists of the following:
Phase 1 – Team registration (1 July to 28 July)
Phase 2 – Technical form submission (13 August to 8 September)
Phase 3 – Pre-event requirements submission for selected teams and Off-Track award entry submission
(17 September to 31 December for pre-event requirements) (17 September to 13 February for Off-Track)
Phase 4 – On-site registration
Teams will only be issued with the official participation letter for SEM Asia, provided they have submitted the
required information and documents. Registration comes in 4 Phases; the last one to be completed when they
arrive at Luneta on 25 February or 26 February 2015 at the Manila Hotel Tent City.
Before the event, all registration requirements will be submitted online during Phases 1 – 3 registration found in
the website.
University letter of endorsement of the team’s participation with a full list of names of ALL OFFICIAL MEMBERS.
This includes the teacher advisor. Details including birth date, age and faculty are required.
Scanned student ID and/or staff ID of official team members and teacher adviser listed in the university
endorsement letter.
Teams and relevant members must sign the Agreement to Abide to the Rules and Regulations form and Shell
Eco-marathon Release Waiver Form.
On the event registration day (14:00-17:00 hrs on 25 February 2015 and 08:00-15:00 hrs on
26 February 2015), teams will be present at Luneta to check in. The Team Manager will register on behalf of
all team members and teacher advisor. Upon arrival at the counter, the team manager will have to provide
the following:
Passports of all official team members
Original copy of university endorsement letter with updated list of team members and their details
All documents and correspondence with the Organisers MUST be in English. Documents in other languages
must be translated into English.
Late or incomplete registrations will not be considered. Participants are required to follow and respect all
submission instructions and deadlines set by the Organisers.
Article 73: COMPLIANCE
Only those teams whose vehicles comply with these official rules shall be allowed to participate. However, no
vehicle shall be allowed on the track for practice or competition until they have passed technical and safety
inspection on site.
The Technical Director or Race Director reserves the right to withdraw vehicle approval upon further or more
detailed inspection. Organisers are notified of any modifications to the vehicle after Inspection. Non-compliance
of this rule is grounds for disqualification. Penalties as outlined in Article 8 shall apply for both technical and
safety infringements.

2. SAFETY
Shell is determined to achieve GOAL ZERO, NO HARM, NO LEAKS – it is a never ending journey. Goal Zero
means carrying out this event safely so that we ensure that there is no harm to people, no damages to assets
and the environment. Shell requires all Participants to share this vision. It is the vision that applies to all of our
business activities including the Shell Eco-marathon event. Safety is a deeply held value and Goal Zero is our
vision for causing ‘no harm to people’.
GOAL ZERO PRINCIPLES:
In order to meet our Goal Zero initiatives, we need to apply the Health, Safety, Security and Environment (HSSE)
Golden Rules.
The three HSSE Golden Rules are:
YOU and I:
Comply with the law, standards and procedures;
Intervene in unsafe and non-compliant situations; and
Respect our neighbours.
We expect all Participants to comply with all safety rules, intervene if they notice any unsafe and non-compliant
situation and show respect during the SEM event. This is to ensure that we have a safe and successful event and
return home safely and securely after the event.
As such participating teams must:
a) Comply with all rules set by the Organisers. The rules are put together in the interest of everyone’s safety
and security.
b) Participants must use proper Personal Protective Equipment (PPE) when working on their vehicles i.e. gloves,
safety glasses, ear plugs, coveralls, etc.
c) Listen and comply with the instructions provided by Shell Volunteer/personnel assigned under Safety, Track,
Security, and other Shell Ambassadors.
d) The Organisers reserve the right to disqualify a team and to order them to either “stop work” until the matter
in question is rectified or to be “dismissed from the competition area” for not complying with any safety
rules particularly the LIFE SAVING RULES (LSR).
LIFE SAVING RULES
1. Help to save lives.
2. These focus on practices with the greatest danger to life when rules are broken.
3. Mandatory compliance for work-related activities.
4. Applicable to all operations under Shell’s operational and/or governance control (i.e. Shell Eco-marathon
Asia 2015).
5. Each reported non-compliance will be investigated.
6. Failure to comply will result in disciplinary action, up to and including termination of employment for Shell
employees or, for employees of contractors or sub-contractors, removal from site and disqualification from
future Shell work.
7. For SEM Asia 2015, violating these rules may result in disqualification of the team, being ordered to “stop
work” until the unsafe matter is corrected, or dismissal from the competition area.

e) Teams that are found to be in violation of any of these rules will be issued a formal written warning and this
will be registered against the team in question. If a team receives three (3) of such warnings, they will be
automatically disqualified from the competition. See sample below:

The Organisers reserve the right to disqualify the team immediately, depending on the gravity of the offense,
without recourse to warnings.
Health is also a main concern. If you are currently under medication, please bring enough medicine to last for
the duration of your stay in the Philippines.
Article 74: WASTE MANAGEMENT
Participants are responsible for the cleanliness of their immediate area in the pit and the surrounding
environment, including waste management. As such, the Organisers will put in place a sorted waste collection
system at Luneta. To save energy and natural resources, Participants are required to sort their waste and to place
it in the appropriate containers and bins. Teams are reminded to adopt a green approach at this event, to
recycle and reuse items, and avoid wastage. All unused and waste liquid chemicals/lubricants must
be surrendered to the technical team for proper disposal. It must not be disposed of by pouring down the
sink or drain.
Article 75: SMOKING
As the event is similar to any motor racing competition which involves the handling and the storage of flammable
components and fluids such as gasoline, hydrogen and other volatile materials, smoking, including the use of e-
cigarettes, is strictly prohibited inside Luneta and is only allowed in designated areas.
Article 76: ILLEGAL DRUGS
Philippine law strictly forbids the possession, distribution and the consumption of illegal drugs. Drug trafficking is
a very serious offence in the Philippines that is punishable with a mandatory sentence of imprisonment.
The Philippine authorities/customs/police may randomly conduct searches on those who are suspected to be
carrying/using these banned substances. Please do not carry/check-in any baggage at the airport that does not
belong to you. It is your responsibility to ensure that you know all the contents of your luggage/bag.
If a team member is caught for this offence, the whole team will be disqualified from the competition.
Article 77: ALCOHOL
Alcoholic beverages are not allowed into and/or consumed at Luneta. Participants will also not be allowed into
Luneta if they are drunk or display disorderly behaviour. This is a serious offence which will result to banning the
person in question or disqualifying the Team from the competition. If a team member is caught and proven guilty
for this offence, the whole team may be disqualified from the competition.
TRACK AND PIT LANE SPECIFIC RULES
Article 78: OFF TRACK DRIVING OF SEM VEHICLES
Off track driving is strictly prohibited. Any infringement could result in disqualification. All SEM vehicles are not
to be driven in any area of the pit, except designated test drive areas. If vehicles are to be moved from one
point to another, they should be pushed. All vehicles must be pushed to the starting line and on completion of a
run, pushed back to the pit.
Article 79: FUEL CONSUMPTION CHECKS
A maximum of 2 Team members, plus the driver, per team (with ID badges) may be present at start and the
finish line with their vehicle.

PADDOCK SPECIFIC RULES
Article 80: EMERGENCY EXITS
All fire and emergency exits must be kept clear from any obstructing equipment or vehicles.
Article 81: WHOLE PADDOCK AREA HOUSEKEEPING
Each Team will be allocated an area in the pit to store and work on their vehicle upon registration.
The team pit areas should meet the following requirements:
Wear proper and appropriate Personal Protective Equipment (PPE) at all times when working on the vehicle.
Clean and orderly arrangement of vehicle, spare parts, tools, etc.
Electrical connections (e.g. cabling on ground to be duct taped or appropriately secured)
Proper storage and handling of fuels and other flammable products
Clear segregation between food and toxic/noxious products
Use of Flame is strictly forbidden in the entire pit area.
No electric kettle and stoves are allowed to be set up in the pit area/garage. Cooking using an open flame
is strictly prohibited.
Only approved universal adaptors are to be used for all appliances and power tools.
To develop best practice sharing on safety, all teams are encouraged to display specific safety posters in their
pit areas/garage.
Lithium Battery charging is a potential fire hazard, so please adhere to the following:
Ensure that your battery has a proper Battery Management System (BMS) that does cell balancing and
protects against over voltage. (refer to Rules Chapter 1, Article 57c )
Charging of lithium ion batteries should be done only with the charger specifically made for the battery
Lithium batteries should be charged inside a battery charging bag that is designed for containment of a
Lithium battery fire, or a fire proof blanket that can be placed over AND under the battery being charged.
The blanket must be of sufficient size to fully cover and contain any potential fire or battery event (refer to
Rules Chapter 1, Article 24i )
Batteries must not be charged unattended, e.g. overnight, and every team member must know how to
operate a fire extinguisher
Any infringement of the pit area housekeeping rules will subject the team to a formal written warning. If a team
receives 3 warnings, they will be disqualified from the competition. The decision to disqualify a team rests solely
with the Organisers. The safety team will be on hand to keep a close watch on the team’s activities in the
garage and to advise on safe practices.
The Organisers will not be held responsible for any loss or damage to Participants’ personal belongings such as
passport, identity card, credit cards, wallet, mobile phones, bag, money, equipment, tools, vehicle, etc. It is the
responsibility of each participant to ensure that their property is taken care of during the event. Personal items
should not be left lying around unattended. Please report loss of valuable items to the Security Team.
USE OF PITS/GARAGES
Teams will only be allowed to work on their vehicles in the pit/garage at certain times during the event.
Scheduled timings will be provided nearer the event day. Requests for extensions will NOT be entertained.
Please refer to the latest schedule during the event.

Article 82: PROTECTIVE EQUIPMENT AND MATERIALS
Teams will share responsibility for safety matters and are required to provide the following for their use at the
event:
Gloves for general work;
Safety Glasses for all work on vehicles;
Duct tape to secure any cords or cables lying on the pit floor;
Lift stands or appropriate raised platforms for vehicle tuning and repairs;
Dust masks with safety glasses when required for specific work involving composite material, e.g. for
grinding; and
Proper and appropriate Personal Protective Equipment (PPE) i.e. gloves, safety glasses, ear plugs, coveralls,
etc. when working on their vehicles.
Workshop at SEM Event – We will have a workshop operating in one of the pits from 09:00 hrs to 17:30 hrs
daily during the event manned by skilled personnel who will assist participants with:
Welding, cutting, grinding, drilling, etc. to minimise risk of injury to Participants who are not experienced in
handling power tools safely. All welding on site can only be done by this qualified team at this specific pit;
and
Buying batteries, spare parts, tools, etc. from the workshop in Luneta. Teams will be required to state precisely
what they need and cost for these spare parts will be deducted from the travel allowance. There is no
guarantee that the specific parts or tools that you want will be available locally so we encourage you to ship
your own spare parts and special tools with your vehicle, if possible.
Teams will share responsibility for safety matters in the pits and garages:
Participants using machines must obey and observe all safety rules required.
Long hair should be properly tied up, loose items of clothing, jewellery, etc. should be removed so as not to
become a hazard near rotating or otherwise moving machinery.
All machinery must be used in accordance with the proper instructions.
The user shall be responsible in ensuring the cleanliness of each machine after use. Defective machines in the
workshop should be reported immediately to any Shell Volunteers/Ambassadors for rectification.
The user is responsible for returning all tools borrowed to their appropriate location/owner in the workshop
and in the same condition that it was borrowed.
Participants are required to follow all instructions given to them by Shell ambassadors, safety volunteers and
track marshals.
Anyone found improperly using the equipment will be subjected to a formal written warning and will be
barred from using the tools and machines in the workshop.
Participants are required to wear shoes that fully enclose the feet while at Luneta. Open-toed shoes, slippers,
sandals or crocs are not permitted in the pits and workshop area.
Participants are encouraged to wear long pants while working in their garage.
Participants are to report immediately any unsafe acts or conditions to the Shell ambassadors or safety
volunteers.

Article 83: MATERIAL SAFETY DATA SHEETS (MSDS)
Except for approved race fuels or energy sources, upon request by the Organisers, all teams should be able to
provide the MSDS of any products they use in their stands/pit area e.g. solvents, cleaning agents, chemicals,
lithium battery, etc.
Article 84: SAFETY WALKS
The Organisers and the safety team will conduct safety walks during the event period to observe and inspect
each team’s pit/garage, day and night, to ensure compliance with safety and the Life Saving rules. Teams that
are found to be in violation of any of the HSE rules will be issued with a formal written warning.
3. COMPETITION
Article 85: RESULTS
A list showing the results of valid* runs will be posted throughout the day**. The best result for the days of the
competition i.e. 27th February – 1st March 2015 will be retained for the final ranking.
* The Organisers reserve the right to conduct further inspections on vehicles and revise the validity of a run after further inspection.
** Intermediate results shall not be considered official.
Article 86: TIMING/TRANSPONDER
Timing for the event will be managed by an electronic timing system. As such, all vehicles will be required to
carry a transponder. The transponder will be checked out to each team prior to its first entrance on the track and
will be fastened to the vehicle by a track official. At the conclusion of the competition, it will be the responsibility
of each team to return the transponder to the Timing & Scoring Tent. Failure to return the transponder in the same
condition as it was transferred to the team, save for reasonable wear and tear, will result in a USD100 fee
being charged to the team.
Article 87: ARTICLE 87: CARS ON TRACK
During practice runs and competition, Prototype and UrbanConcept vehicles will have access to the track at
different. Therefore please pay attention to the schedule. The number of cars allowed on the track may be
limited in regards to safety at the discretion of the Race Director.
Teams will receive an initial Team Briefing when they register on the first day on safety rules, track rules and
race instructions. In addition, the attendance of the daily Drivers’ Briefing is mandatory for the Team Manager
and all registered Drivers every day. Failure in attending these Briefings by the Team Managers and Drivers will
disqualify the team from practicing and/or competing that day.
The Organisers reserve the right to change the track schedule.
PROTOTYPE GROUP
Article 88: PROTOTYPE GROUP
Participants in the Prototype category must complete ten (10) laps of the circuit in the normal racing direction.
Minimum speed: For their attempt to be validated, teams must complete the ten laps in a maximum time of 24
minutes with an average speed of approximately 30 km/h. The total distance to cover is 11.78 km (10 laps of
1.2 km minus the distance between the start and finish lines).

Each team will be limited to five (5) official attempts: The best result will be retained for the final classification.

URBANCONCEPT GROUP
Article 89: URBANCONCEPT GROUP
Participants in the UrbanConcept category must complete ten (10) laps of the circuit in the normal racing
direction.
Minimum speed: For their attempt to be validated, teams must complete the ten laps in a maximum time of 29
minutes with an average speed of approximately 25 km/h. The total distance to cover is 11.78 km (10 laps of
1.2 km minus the distance between the start and finish lines).
The time limit or average speed may be changed prior to the event at the discretion of the Organiser.
Each Team will be limited to five (5) official attempts.
During each run, vehicles shall come to a full stand-still on the designated stop line in front of KM Zero:
The Organisers shall indicate the locations of this line on the track.
UrbanConcept cars will be allowed on track during “mild” wet weather as they are to be designed for wet
weather running.
Article 90: START OF RACE FOR PROTOTYPE AND URBANCONCEPT VEHICLES
Only vehicles in full working order e.g. complete chassis and body together, will be allowed in the queue to
access the fuelling and starting line.
Drivers must wait until the starting line is clear before starting their attempt. They must wait for a signal from
the flag bearer (green flag) before starting and will carefully enter the track at the merging point on the
track/pit lane.
At the starting line, vehicles will start one by one. Vehicles must be at a full stop and are not allowed any
outside assistance during starting. Any pushing of the vehicle is prohibited, except for as provided under
Article 78 (Off-track driving of SEM vehicles).
For vehicles using an electrical starterthe red light must be extinguished by the time the rear wheel of the
vehicle crosses the start line. Failure to comply will invalidate the run, which will nevertheless count within the
maximum allowed number of attempts.
The vehicle may be accompanied by a maximum of two Team Members with ID badges (not including the
driver). Once the vehicle has left the starting line, all Team Members have to leave the starting area with their
equipment.
Article 91: ON THE TRACK
Whenever vehicle enter the race track, the vehicle body shall be in place and shall bear all the race numbers,
partner streamers and Shell logos required by regulations. These numbers and logos will be supplied by the
Organisers.
Track Marshalls’ instructions and directions must be strictly adhered to. Failure to do so may result in a penalty
(see Article 8).
The competition may be stopped in the event of adverse weather conditions or other safety hazards.
Article 92: PEDESTRIANS
With the exception of the Track Marshals or any other person duly authorised by them and under their control,
no pedestrian is allowed either on the track or on the track perimeter. Track scouting on foot is forbidden. The
Organisers understand the need for teams to be familiar with the track layout and as such a track tour will be
organized for all teams on 25th and 26th February 2015. Timing will be advised.

4. TENTATIVE PROGRAMME
The final programme for each day will be confirmed every morning at the mandatory morning team briefing. The
Organisers reserve the right to change this programme in the event of adverse weather conditions i.e. heavy
rain, thunder, lightning, extreme hot weather, etc. or events beyond their control. A detailed programme will be
made available to the teams closer to the event date. The following is a tentative programme overview to help
teams plan their arrival and departure time to/from Luneta.

5. TROPHIES, PRIZES AND AWARDS
Article 93: AWARDS PRESENTATION
The medals and trophies shall be presented to the winning teams during the prize-giving ceremony on 01
March 2015. Prize money shall be paid via telegraphic transfer (TT) to the school’s bank account as provided
by the team. Teams will be required to provide the relevant bank-in details accurately and an official letter from
their school to confirm these details. A telegraphic transfer form to be filled in by the participating team will be
made available on the SEM website. The travel allowances and prizes will only be banked into the school’s
account and not into individual team member’s accounts. Teams that fail to meet the deadline in submitting the
telegraphic transfer form detailing the bank account information will be disqualified from receiving their prize/s.

6. MISCELLANEOUS TERMS & CONDITIONS
Article 94: ELIGIBILITY
The Shell Eco-marathon Asia 2015 event is open to full-time students of recognised schools, who are between
16 – 30 years of age as of the first date of the Event. Participants must still be enrolled in an educational
institution by the time of the SEM Asia 2015 in order to participate in the event.
Article 95: RACE DIRECTOR AND MARSHALLS
The Race Director will be assisted by his team of Marshals, who will ensure that all SEM Asia Rules Chapter I
and II are complied with on the track. The decision of the Race Director to disqualify or dismiss a team from the
competition for non-compliance to competition rules shall be final and binding.
Article 96: TAXES
The prize monies will be sent via telegraphic transfer (TT) to the winning schools’ bank account that the team
represents and is registered under. Local taxes on prizes/winnings will be shouldered by Shell.
Article 97: EXPENSES
Each Team shall be granted a token allowance/stipend to assist with travel costs to and from the event. The
amount of this stipend is specified in Article 102 of SEM Asia Rules – Chapter II. Each Team is responsible for
all other costs and expenses associated with participating in the event i.e. travel from home country to Luneta
and back, building and freighting cost for vehicle, hotel/accommodation, etc.
Article 98: THIRD PARTY RIGHTS
By entering, each team warrants and represents that its vehicle is original and does not infringe, defame or
otherwise violate the rights and/or property of any third party; does not violate any laws or ordinances; and
does not utilise, use or infringe the property of any third party including the property and rights of another team
without express permission to do so. Each team further warrants that the possession, exploitation, use or
distribution by that team of any intellectual property including without limitation patents, copyrights, designs,
trade or service marks, whether or not registered, shall not infringe or misappropriate the intellectual property
right of any third party. Each team shall indemnify Shell against any loss or damage suffered or incurred by Shell
as a result of any claim that the use by a team thereof infringes the intellectual property right of any third party.
Article 99: TRANSFER OF PRIZES
No substitution or transfer of prizes is allowed. The Organisers reserve the right to award alternate prizes in the
event a prize is unavailable. The Organisers also reserve the right to not award any prize.
Article 100: DISQUALIFICATION
The Organisers shall have the right, at its discretion, to disqualify any team that they deem to be obscene,
defamatory or otherwise not in good taste.
Article 101: RELEASE OF LIABILITY
Shell and its parent, affiliate and subsidiary companies and all of their respective officers, directors, employees,
shareholders, representatives and agents shall have no liability and will be held harmless by Team Members
and Schools for any claim, action, liability, loss, injury or damage to any Team Member, Schools and/or any
other person or entity, including personal injury or death to any person or damage to personal or real property,
due in whole or in part, directly or indirectly by reason of participation in this contest, or the acceptance,
possession, use or misuse of a stipend and/or a prize (including any travel or related activity).

Without prejudice to the aforesaid, Team Members and Schools acknowledge that they will read, understand,
accept and execute an Assumption of Risk Waiver and Release from Liability Agreement provided by Shell in
order to participate in the event.
Article 102: TRAVEL ALLOWANCE
For SEM Asia 2015, the travel allowance set forth below shall be given by the Organiser to each registered
team travelling to Luneta for the competition.
All teams from outside Asia such as Europe or the Americas are advised to register with the SEM nearest to their
region. Should they wish to participate in SEM Asia, they will require special permission from the Organisers to
enter the event. These teams will NOT be eligible for the travel allowance nor are they eligible to win any of the
prizes listed above. They will also be required to pay an administrative fee to be advised by the Organisers.
All participants travelling from outside the Philippines must ensure that they have all the necessary travel
documents (visa, if required, and passports) in order.
Teams participating in the SEM Asia will receive a travel allowance as listed below. The amount is calculated
based on the distance in kilometers (km) from the capital city or commercial capital of the participating team’s
country to the host country for the event i.e. Ninoy Aquino International Airport (NAIA) in the Philippines.

The funds in US Dollars (USD) will be disbursed via telegraphic transfer (TT) to the team after the event via the
respective school that the team is registered under. Teams must provide accurate university bank account details
for the transfer.
To qualify for the allowance the team must arrive at Luneta and register before 13:00 hrs on 26 February 2015. If
the team is disqualified for whatever reason by the Organisers, they will not be eligible to receive this allowance.
The Organiser reserves the right to determine the final amount to be disbursed to the teams as well as to change
the amount listed in the future. The Organisers also reserve the right not to dispense the travel allowance and/or
to use it to offset damages to property, failure to return borrowed items and other incidentals incurred by the
team, and non-compliance in the hotel booking policies set by the Organisers as stated in Article 102.
Article 103: HOTEL ACCOMMODATION
Participants are responsible for making their own hotel/accommodation bookings for the event. The Organisers
will NOT be managing this for the teams. Teams are also responsible for ensuring all outstanding hotel charges
are settled in full before they check out. Teams are advised to stay at the following hotels for safety and
compliance.

Miramar Hotel
These hotels are conveniently situated near Luneta. The Teams may reach the venue through walking routes
recommended by Shell. The Organisers bear no responsibility or liability for the suitability of these hotels and
participants shall hold Shell harmless of any loss or damage incurred, suffered or arising from the use of these
hotels. Teams are advised to make their bookings early to secure their accommodation at the best possible rate.
Article 104: FREIGHT FORWARDING OF SEM VEHICLES TO THE PHILIPPINES
1. This rule details the freight forwarding process that all teams must follow:
All teams are recommended to go through the SEM Asia Preferred Freight Forwarder, DB Schenker (DBS) to
manage the in-country (in the Philippines) transportation.
They will be responsible for transporting the cars from the Philippine port/airport to Luneta and back, arrange for
storage, move-in/move-out, application of Approved Permits (APs) and custom clearance. More details on this
can be found in the shipping guidelines downloadable from the SEM Asia website.
Article 105: MANAGING EXPECTATIONS
The Organisers will provide to Participants:
a) Transportation by shuttle bus for the official team members from the airport to the hotels listed in Article 103
and back (see article 71). The list of hotels will also be posted on the SEM Asia website;
b) Lunch and dinner for the Participants on site at Luneta from 26 February – 1 March 2015 (4 days).
c) Drinking water stations at strategic areas around Luneta. Participants can refill their water bottles from here;
d) T-shirt and event packs for the official team members;
e) Vehicle number, decals, Shell and sponsor’s logos that must be displayed on the vehicle as instructed;
f) Two sets of gloves, two safety glasses and two sets of ear plugs – teams are advised to bring additional
personal protective equipment as required for all team members;
g) Welding service – all welding will be done by qualified personnel appointed by the Organiser in a
separate garage at the pit area;

h) Two safety vests on loan, which must be returned after the event. Failure to do so will result in USD15.00
being deducted from the travel allowance due to the team for each vest;
i) One 1kg ABC fire extinguisher on loan, which must be returned after the event. Failure to do so will result
in USD100.00 being deducted from the travel allowance due to the team; and
j) Upon registration, teams will be provided with a transponder that must be fitted to the vehicle to measure its
timing on track. The unit must be returned after the event. Failure to do so will result in USD100.00 being
deducted from the travel allowance due to the team.
The Organisers DO NOT provide:
a) Pick up service from hotels to Luneta and back;
b) Booking of hotels. All hotel bookings and payments are to be managed directly by Participants with their
respective hotels. Participants are recommended to stay at the listed hotels as it is conveniently located near
Luneta. Recommended hotels and their contact details will be uploaded on the website;
c) Seat belts;
d) Coveralls/racing suits for drivers; and
e) Tools and spare parts for vehicles – please ship these items together with your vehicle.
Article 106: SEM VEHICLES MUST BE COMPETITION-READY
Teams are required to ensure that their vehicles are 100% complete and conform to the SEM Asia technical rules
and regulations before shipping. This is to ensure that all they need to do once the vehicle arrives at Luneta is to
fine-tune the vehicle. Teams should not be rebuilding or performing a major overhaul to their vehicles in order to
comply with the rules.
One of the key lessons from previous events is that there is an increase risk of serious injury to the team members
if they are rushing to complete a major rebuild to their vehicle within a very tight deadline. This is compounded
by fatigue and inexperience.
As such the Organisers reserve the right to disqualify teams that arrive at Luneta with a vehicle that is not
competition-ready and does not meet the requirements as listed in the SEM Asia technical rules and regulations.
This will be done in the interest of safety of the team members.
Article 107: SECURITY
Teams are reminded to obey the instructions given by security personnel on duty at Luneta.
a) The pit areas will be open daily from 26 February – 1 March 2015. Team members must pack up their
personal belongings and leave the pit areas by the time it closes daily. Schedule timings will be provided
nearer the event date. There will be NO exceptions to this rule. Teams who disobey this rule will be
disqualified.
b) Your personal belongings are your responsibility. Please do not leave them lying around as things can
easily go missing with over 1,000 people on site. The Organisers will not be responsible for lost or
damaged items.
c) Willful making of threats of any kind (i.e. bombs, explosives, or any similar device or means of destruction)
will be punishable by law. According to the Presidential Decree No. 1727 Section 1-2:
“Any person who, by word of mouth or through the use of the mail, telephone, telegraph, printed
materials and other instrument or means of communication, willfully makes any threat or maliciously
conveys, communicates, transmits, imparts, passes on, or otherwise disseminates false information,
knowing the same to be false, concerning an attempt or alleged attempt being made to kill, injure,
or intimidate any individual or unlawfully to damage or destroy any building, vehicle, or other real or
personal property, by means of explosives, incendiary devices, and other destructive forces of similar

nature or characteristics, shall upon conviction be punished with imprisonment of not more than five
(5) years, or a fine or not more than forty thousand pesos (P40,000.00) or both at the discretion of
the court having jurisdiction over the offense herein defined and penalized.
The offender shall be arrested by means of an Arrest, Search and Seizure Order (ASSO) and
shall not be entitled to bail pending trial by the military tribunals or military courts which shall
have exclusive jurisdiction over cases involving any violation of the provisions of this decree.”
Article 108: CANCELLATION
The Organisers reserve the right to modify, postpone or cancel the competition for any reason including force
majeure due to, including but not limited to, adverse or extreme weather conditions, the occurrence of a natural
disaster, acts of terrorism or safety concerns. No claims for compensation will be accepted.
