Branch/GO Barcode Requests

Requesting Barcodes

Description Barcodes can be requested through several different programs. Once they have been
requested the branch or Group Office can print the labels (please see the Barcode
Printing manual).

Please note you are only able to request a label at the branch if you have a recent
purchase order or if you have counted it at stocktake. Group Office can however over
ride this.

Barcode Request

Where? Branch Stores Managers Menu/Branch Menu/Group Office Stock Menu

Description Barcode labels can be requested by viewing all products from a supplier or category.
Alternatively you can request a label for an individual product.

How to show all products from a supplier:

How? 1. Enter Barcode Requests. (Select the branch and press <enter> – Group Office
only)
2. Enter the supplier in the Supplier box and press <enter> or press F2/click on the
magnifying glass to view the supplier list. Type in the supplier required on the
supplier list and press <enter>.
3. Press F11. All the products for that supplier will now be listed in the left hand box.

4. Click on the required product. Press F4 or click on the icon to request the label.
5. To request all items or a block of items from the list, left click on the first item
required and drag the mouse down the list until you reach the last item you require.

This will highlight all the items. Press F4 or click on the icon to request the labels.
6. Press Esc to close the program.

How to show all products within a category:

How? 1. Enter Barcode Requests. (Select a branch and press <enter> – Group Office only)
2. Enter the supplier in the Supplier box and press <enter> or press F2/click on the
magnifying glass to view the supplier list. Type in the supplier required on the
supplier list and press <enter>.
3. Press F2 in the Category box or click on the magnifying glass. Press <enter> on
the category required. Alternatively you can type in the name of the category required
and press <enter>.
4. All the products within that category will now be listed in the left hand box.

5. Click on the required product. Press F4 or click on the icon to request the label.
6. To request all items or a block of items from the list, left click on the first item
required and drag the mouse down the list until you reach the last item you require.

This will highlight all the items. Press F4 or click on the icon to request the labels.
7. Press Esc to close the program.

How to request an individual label by catalogue number:

How? 1. Enter Barcode Requests. (Select the branch and press <enter> – Group Office

only)

2. The supplier can be entered into the program at this stage (as per point 2 on page

1) or you can bypass the Supplier box and click in the Catalogue box.
3. Press <enter> to bypass the Category box or click in the Catalogue box.

4. Enter the part number of the item you require and press <enter>.
- If the system finds an exact match a prompt will appear saying ‘Request Label?’

Press Yes to request the label or No to find another item.
- If the system doesn’t find an exact match a list will appear showing you the nearest

results. Type in the part number again or press the arrow to the right to move the

highlighting to the Description column and type in part of the description of the

item. Press <enter> on the product required or Esc to cancel. Please see the

Searching Guide for help searching the database.
5. A prompt will appear saying ‘Request Label?’ Select Yes to request the label or

select No to cancel the request.

6. Press Esc to close the program.

How to request an individual label by stock code:

How? 1. Enter Barcode Requests.

2. Press <enter> to bypass the Supplier, Category and Catalogue box or click in

the Stock Code box.

4. Enter the stock code number of the item you require and press <enter>.
- If the system finds an exact match a prompt will appear saying ‘Request Label?’

Press Yes to request the label or No to find another item.
- If the system doesn’t find an exact match, type in the part number and press F2 or

click on the magnifying glass. A list of products will appear showing you the

nearest results. Type in the part number again or press the arrow to the right to move

the highlighting to the Description column and type in part of the description of the

item. Press <enter> on the product required or Esc to cancel. Please see the

Searching Guide for help searching the database.
5. A prompt will appear saying ‘Request Label?’ Select Yes to request the label or

select No to cancel the request.
6. Press Esc to close the program.

REMEMBER!

When selecting a product if the barcode label is already requested (shown in the
right hand box) a prompt will appear saying ‘Label(s) already requested’. Press

Continue to remove the message.

How to cancel a barcode request

Description Once the labels have been requested to print you can edit the list before they are
printed.

How? 1. Enter Barcode Requests.
2. The requested labels appear in the right hand box.
3. Highlight the item you want to delete either by clicking on the item or pressing the
arrow keys on your keyboard.
4. Press F5 on the item you wish to delete or click on the icon.
5. Press Esc to close the program.

How to request barcodes through Purchase Entry

Description When creating an order through the Purchase Entry program the system will
automatically request a barcode label if you are ordering a product for the first time.
Alternatively press F1 + R on a purchase order line item to request a barcode label.
Please see the Purchase Entry notes for further information.

How to request barcodes through Stock Maintenance

How? 1. Enter Stock Maintenance.
2. Enter the product and press <enter>. (Select the product from the list if
applicable).
3. Press F1 + R and press <enter> on Yes to request the barcode label.

Functions

Options Description
F1 – Help Lists all functions available.
F2 – Search Press F2 in the Supplier, Category, Catalogue or Stock Code box to search the
database.
F3 – Product Info Press F3 for details about the selected product. This displays more detail about the
product e.g. sale category, stock quantity, and minimum/maximums. Press F3 again
F5 – Remove to view the pricing information on the selected product. Press F3 once more or press
Request Esc to remove the Product Info from the screen.
F6 – Stock Enquiry Press F5 on a product in the right hand box to remove it from the print list.
F1 + L – Labels
Press F6 on a highlighted product to view the stock within a branch.
F1 + M – Min/Max Press F1 + L on a product in the right hand box to increase the number of labels
required i.e. if you have a product located on the counter and in the stores.
F1 + P – Product Press F1 + M on a product in the right hand box to include the minimum and
maximum quantities on the printed label.
Press F1 + P on a product in the right hand box to view the product details. Press F3
on the product list to view the Product Information or press F6 for Stock Enquiry.

Barcode Requests Explained

Please see below the meanings for the above (figure 1a).

Option Description
Supplier Enter the supplier to request more than one label.
Category Press F2 or click on the magnifying glass to select a category.
Alternatively enter the category name in the Category box and
Catalogue press <enter> to view the items.
Stock Code Enter the part number to request a label for that item only.
Box – Left Enter the stock code to request a label.
Box – Right Shows the search results from the information entered.
Catalogue/Stock Shows the requested labels.
Code/ Shows the database information for each item.
Description
Min/Max Shows if the minimums and maximums are going to be printed
on the label. Please see the functions on page 3.
Labels Shows how many labels are going to be printed. Please see the
functions on page 3.
Labels Shows the total of labels requested (bottom right hand corner).
Requested
Product detail Shows the part number, stock code and description of the
highlighted item (bottom left hand corner).

Please note:
Once the products disappear from the right hand box this means they have been
printed at Group Office or at the branch.
