User Guide

Conference rooms schedulers is a group people within facilities throughout Connecticut that lend available service
to DPH staff. They will assist you in scheduling the use of conference rooms to maximize the use of conference room
resources that will best match the meeting purpose, number of meeting attendees, and the equipment
requirements to the available rooms as efficiently within their means.

The event should not be planned until confirmation of room availability has been received.

Staff is responsible for cleaning up the conference room after use. Do not expect the meeting following yours to
clean up the conference room. Any violations to this procedure should be reported to Conference Room Contact
Person Immediately.

Staff and attendees shall adhere to regulations regarding the number of persons allowed to occupy a room at any
given time. The numbers shall not exceed the limit posted within each facility.

Requestors are responsible for providing conference room schedulers with accurate information about their
conference room needs. The meeting requestor is also responsible for cancelling the room reservation if the room
is no longer needed. All cancelations need to be made at the earliest possible date, so that the room may be made
available to others.

A for- room with a fee cancellation with less than 48-hours’ notice may result in forfeit of the deposit, unless the
cancellation was initiated by the facility.

Personal use is considered use that is not business related or management authorized. Meeting rooms are to be left
as they are found.
