Candidates_How to Invite Candidates Using Prevue Wizard

Assessing a Candidate
The easiest way to register a candidate to complete an assessment in Prevue Online is to use the Prevue Wizard. T
quickly assign a candidate to an Activity, which determines the appropriate assessment to use. Depending on how
reports will either be delivered by email once the candidate has completed the assessment, or you can log into th
view reports for the candidate. To learn more about building reports for a candidate who has completed the asses
Guide – Building Prevue Reports.
Assessing a Candidate using the Prevue Wizard
STEP 1: Access the Prevue Wizard
To get to the Prevue Wizard, click on the ‘Prevue Wizard’ menu item.
STEP 2: Choose the Activity
Select the appropriate Activity for the candidates you want to add. An Activity is a pre-determined set of instructi
assessing individuals and sending automatic reports. Which Activity you choose determines how your candidate wil
provided with a specific activity name, you can choose one of the Assessment Only Activities to assess your candi
Note: The Assessment Only activities are designed to allow you to send out Invitations to candidates and receive
candidates are done. You may also create and use job specific Activities. See the How-To-Guide “Create Activity”

Assessment Only – WNS1S2IP (Full) Words, Numbers, Shapes 1 & 2, Interests and Personality Assessment Only – WNS
Shapes 1 & 2
Assessment Only – NIP (Numerical) Numbers, Interests and Personality
Assessment Only – IP (Coaching) Interests and Personality
Assessment Only – P (Personality) Personality Only
STEP 3: (Opt) Choose from Existing Candidates
If you want to add candidates to the Prevue Wizard that you know have already been added to the system, select
Candidates>. If you do not need to do this, skip to Step 8.
STEP 4: (Opt) Search for an Existing Candidate
To find the candidate you want, type the letters of the candidate’s last name into the Search field. If the candida
you will see his/her name selected and highlighted in blue.
Note: Use Choose from Existing candidates if you wish to re-send an email to any candidate who previously was
account.
STEP 5: (Opt) Add a Candidate to the Selected Candidates List
Highlight the candidate(s) you want to add, and then click on <Add>. To select multiple candidates, use the <SHIF
keyboard.
STEP 6: (Opt) Remove a Candidate
If you want to remove a candidate from your selected candidate list, select the item from the Selected Items list a
STEP 7: (Opt) Confirm Selected Candidates
Click on <OK>to confirm your selected candidates and return to the Prevue Wizard.
STEP 8: Enter Candidate Information
To enter a new candidate, fill out his/her title, first name, last name, and email address (if available).

To process your request to add the candidate(s) to the selected Activity, click on <OK>. Please note that you must

If you want to print a summary of your Prevue Wizard transaction, click on <Printable Version>. Click on <File>, t

STEP 13: (Opt) Review the Summary
Review the summary information to understand how the Prevue Wizard processed your request. If your candidate
a P will appear next to their name. If the candidate was invited by email to take the assessment, an I will appear
addresses the invitation was sent to. If the candidate has completed the necessary assessment a C will appear nex
status email has been sent on a candidate, then an R or an S, respectively, will appear under Emails Sent with the
sent to. Please note the username and password that have been provided for each candidate. The candidate will n

Note: If the Emails Sent column does not display an I: S: or R: with email address(es), the site has not generated
no email address being provided or the instructions set up in the Activity.

assessment to use. Depending on how the Activity has been set up, reports
will either be delivered by email once the candidate has completed the
assessment, or you can log into the site and use the Report Viewer to run
reports for the candidate.

Step 1 - Access the Prevue Wizard

To get to the Prevue Wizard, click on the ‘Prevue Wizard’ menu item.

Step 2 - Choose the Activity

Select the appropriate Activity for the candidates you want to add. An Activity
is a pre-determined set of instructions for sending out invitations, assessing
individuals and sending automatic reports. If you were not provided with a
specific activity name, you can choose one of the ‘Assessment Only’ Activities to
assess your candidate.
Note: The Assessment Only activities are designed to allow you to send out
Invitations to candidates and receive a Status email when your candidates are
done. You may also create and use job specific Activities. See the How-To-Guide
“Create Activity”.
You may select from one of the following default Assessment Only activities:

WNS1S2IP - Words, Numbers, Shapes (1&2), Interests & Personality
WNS1S2 - Words, Numbers, Shapes (1&2)
NIP - Numbers, Interests, Personality
IP - Interests, Personality
P - Personality
SFP - Short Form Personality Screening

Step 3 (Optional) - Choose from Existing
Candidates

If you want to add candidates to the Prevue Wizard that you know have already
been added to the system, select <Choose from Existing Candidates>.
If you do not need to do this, skip to Step 8.

Candidates_How to Re-Invite Candidates through Prevue Wizard

There are two ways to re-invite Candidates in the system:
1. Using the ‘Prevue Wizard’ (available to all PrevueOnline.com logins)
2. Through the ‘Activities’ area - Candidates tab within an Activity (available only to logins with access to the ‘A

This How-To-Guide will outline the steps using the Prevue Wizard.  The Prevue Wizard is available to all logins on P
most efficient way to re-invite a candidate. Please refer to other How-To-Guide on How to Re-Invite Candidates Th
for alternate method.
Note: Before you begin, if you need to make any amendments to the invitation emails, please carefully read an
‘Amending the Invitation Email’ section of this guide before you begin the steps in the ‘Re-Inviting Candidates t
section of this guide.
Re-Inviting Candidates through the Prevue Wizard
The Prevue Wizard is available to all logins on PrevueOnline.com. For most logins, using the Prevue Wizard will be
a candidate.

STEP 1: Accessing the Prevue Wizard
Click on the <Prevue Wizard> menu heading.

STEP 2: Selecting the Activity
From the <Activity Name> dropdown options, choose the appropriate Activity that you wish to re-invite the candid

Note: Every PrevueOnline.com account has six (6) default Activities which are designed to allow the login to send
Status emails. These Activities are called “Assessment Only” and represent the six (6) scopes available for Prevue
also have job specific Activities which may carry out additional instructions, such as sending Report emails once th
Prevue Assessments.

STEP 3: Accessing the Candidate
Click on <Choose From Existing Candidates> to access the Candidate List.

STEP 4: Locating and Adding the Candidate
Use the Candidate List on the left side of the screen to locate the Candidate(s) you wish to re-invite, or use the Se

Note: Use the <Shift> and <Ctrl> keys to highlight more than one candidate, if you need to re-invite multiple cand

Note: This list defaults to display the “Regular” candidate list. You may use the “Candidate Type” drop down men
previously added to a benchmark study as either “Concurrent” or “JDS” participants.

Once the Candidate(s) has/have been found and highlighted, click <Add> to move the Candidate Name into the rig

Click <OK> on to add the selected Candidate(s) and return to the Prevue Wizard.

STEP 5: Sending the Invitation
On the Prevue Wizard, click on <OK> to send the Invitation Email to the chosen Candidate(s).

The Candidate List defaults to display only the candidates added to the system in the last 30 days. Use any of the
Candidate Search box to search & sort the Candidate List. Then either display the search results within PrevueOnli
results to an Excel spreadsheet.
STEP 1: Access the Candidate List
Click on the <Candidates> menu and choose <Candidate List>
STEP 2: Search the Candidate List
The system will default to display those Candidates who have been entered into the system within the last 30 days
If your Candidate does not appear in the list provided, change the to the preferred date range and/or criteria at t

Candidates_How to Edit Candidate Details

There are times when you have previously added a candidate to the site and must later edit the Candidates detail
<Candidate List> to access the Candidate Details page.
If you have made a mistake in entering the Candidate’s details, you may edit components of the Candidate Details
the page to open the fields which are available for editing. These include, the Candidate’s title, first or last name
information such as Phone Numbers, Contact Info, Language, Categories, Account Access and the Owner may also
Accessing Your Candidate
STEP 1: Accessing the Candidate List
Click on the <Candidates> menu and choose <Candidate List>
STEP 2: Accessing the Candidate List Details
The system will default to display those Candidates who have been entered into the system within the last 30 days
appear in the list provided, change the date search range at the bottom and click <Search>.
STEP 3: Choosing the Candidate
Clicking on the magnifying glass icon to the right of the chosen Candidate will refresh the page to display the Cand
STEP 4: Editing the Candidate Details
Clicking <Edit> will open the text fields that are available to edit.
Edit the details for any of the options listed below:

Title, First Name and Last Name of the chosen Candidate
*Candidate’s Email Address – address to which the invitation email may be sent to
Work and Cell Phones (optional)
Language: the system will default to English - NA but the dropdown list will display further options
Account Access: whether <Public> or <Private>
Owner: the Login who entered the Candidate into Prevue Online
Categories: clicking <Edit> will display the categories (optional)
Work Info: includes Work or Home address, Job Title, Company, and Division (optional)
Notes field: This area is to enter any notes you wish to share with other logins who have access to the candid
NOTE: If you need to edit the email address to re-invite the candidate, refer to the How to Guide “How to Re-invit
the steps in this guide.
STEP 5: Saving the Changes
Clicking <Save Changes> to allow the system to accept the changes and complete the task.

Candidates_How to Reassess Candidates Interrupted Sections

From time to time, candidates may need to be reassessed on certain sections of the assessment, particularly if the
a timed section of the assessment. This how-to-guide will walk you through the step by step instructions required
particular section(s).

Reasons for reassessing candidates include, but are not limited to:
Pop-Up Blockers: Candidate experienced technical difficulties (usually pop-up blocker related) and was bumped o
Internet Connection: Candidate was using wireless internet connection and lost connectivity
Firewalls, Anti-Virus/Anti-Adware/Spyware Software: Firewalls and anti-virus software can pose communication
candidate’s computer and the Prevue servers. This is typically the case when the candidate is using a work comput
assessment. The security settings on the computers may not permit candidates to access unknown websites or per
such sites. Taking the assessment from a non-work related computer can be the difference between being able to
gaining access
Computer Compatibility: The Prevue Assessments may not be compatible with older Mac computers, although new
windows-like capabilities support the Prevue Assessment.  If possible, it is recommended that candidates use a PC
Browser Compatibility: Not all browsers are compatible for opening the Prevue Assessments. Please note that in o
Candidates must use one of the following browsers: Internet Explorer 10 or above, Firefox 30 or above, Opera 21 o
above, Safari 5 or above.
Environment: The candidate was under stress or in a hectic environment.

Some things to remember about the Candidates’ Prevue Assessment experience are:
The first four sections of the assessment are timed sections. Each timed section must be completed in one si

Working with Words: 8 minutes
Working with Numbers: 3 minutes
Working with Shapes 1: 7 minutes
Working with Shapes 2: 2 minutes
 If the candidate has to log-out of the assessment while completing any of the timed sections, for any reason

The balance of the assessment is not timed. However these sections should be completed as quickly as possi

Reassessing a Candidate on Interrupted Assessment Sections
STEP 1: Access the Candidate List Page
To access the Candidate List page, click on <Candidate List> under the <Candidates> menu.

STEP 2: Locate the Candidate
Use the Search function at the bottom of the Candidate List to locate the candidate. It is helpful to Search by the

If the candidate was interrupted during a timed section of the assessment,
the section needs to be ‘reassessed’ before the candidate can log back in to
complete it. This how-to-guide will walk you through the step by step instructions
required to reassess a candidate on particular section(s).

Step 1 - Access the Candidate List Page

To access the Candidate List page, click on <Candidate List> under the
<Candidates> menu.

Step 2 - Locate the Candidate

Use the Search function at the bottom of the Candidate List to locate the
candidate. It is helpful to Search by the First Name or Last Name.

Click <Search> to display the results on the <Candidate List> screen.

Step 3 - Select the Candidate

Click on the magnifying glass located on the right hand side of the candidate
who needs to be reassessed. This will load the <Candidate Details> page.

Note: You may only select one candidate at a time.

The <Candidates Details> page will load and appear as displayed on the left.
Click on the <Assessment> tab on the right hand side, located below the <Edit>

TM Step 5 - Checking for an Interruption

support In the Assessment tab, the candidate was interrupted in a sections show if a
“Yes” is listed below the “Interrupt” column and is highlighted in red. Under the
column title “Time Taken”, it may read “In Progress” or show you the exact time
the candidate spent in the section.

Step 6 - Reassess the Candidate

Place a check mark to the left of the section that needs to be re-assessed and
click on “Reassess”.

Note: The check box for each section will only appear if the candidate has
entered that section at least once and entered the instruction screen for the next
section. If the candidate does not try to sign into the next section, the check
box may not be available. To rectify this, the login reassessing the candidate
will need to copy the candidate’s username and password and enter it at www.
assessmentstation.com and click through until the instructions for the next
section are displayed. Once the instructions are displayed, close the Assessment
and go back the Candidate Details page in Prevue Online and refresh the page
in the browser. The check box will appear next to the section that was interrupted
and set to “In Progress” and the login may proceed with reassessing the section.

and password in the original invitation email, if they still have it. If not, copy
and paste the candidate’s username & password into an email from the top left
side of the Candidate Details page. Direct the candidate to the assessment site
www.assessmentstation.com. A typical format for sending this information is as
follows:

Candidates_How to Check that Candidates Have Been Invited

There are times when you must check to see if Candidates have been sent an Invitation Email from PrevueOnline.c
a candidate may not have received an invitation email. These are:

The Candidate was not attached to an Activity – therefore there is no “Last Invite Date” showing next the Ca
The Activity was not set up to send the invitation automatically
The Candidate had self-registered – in which case an “S” will appear to the left of the Candidate Name in the
The Candidate’s email address was omitted or has been entered incorrectly
Note: The Candidate email is an optional field.

STEP 1: Access the Candidate List
Click on the <Candidates> menu and choose <Candidate List>.

STEP 2: Check the “Last Invite” Column
Check the “Last Invite” column on the Candidate List. If a date appears under this column next to the candidate’s
Candidate was sent an Invitation Email and is attached to an Activity that requires the Invitation Email to go out a

STEP 3: Check the “S” Column
Check the “S” column to the left of the Candidate names. This indicates whether the Candidate has self-registered
Invitation email. If the candidate has self-registered, no “Last Invite” date will appear.

STEP 4: Check the “P” column
Check the “P” column to the left of the Candidate name. This indicates whether the Candidate has an assessment

If the P appears but there is no “Last Invite” date, the candidate was likely added to PrevueOnline.com from the <
<Candidate> menu and was not associated to an Activity (manually added).

The <New Candidate> page has an Activity drop down menu that is set to “None Selected” by default to allow flex

Click <Edit> to access the Candidate Details you wish to change.

Once the Candidate Details page has displayed the text boxes, make any appropriate changes to the email address

Once the Candidate’s email address has been entered or amended, click on <Save Changes> to allow the system to

the candidate does not appear under Email Message History, but does appear in the Candidate List, the candidate
PrevueOnline.com.

There may be times when you’d like to check to see if a Candidate has been
sent an Invitation Email from PrevueOnline.com. There are several reasons why a
candidate may not have received an invitation email. These are:

• The Candidate was not attached to an Activity – therefore there is no “Last

• The Activity was not set up to send the invitation automatically
• The Candidate had self-registered – in which case an “S” will appear to the

the Candidate has self-registered rather than receiving an Invitation email. If the
candidate has self-registered, no “Last Invite” date will appear.

TM Step 4 - Check the “P” column

support Check the “P” column to the left of the Candidate name. This indicates whether
the Candidate has an assessment still pending.

If the P appears but there is no “Last Invite” date, the candidate was likely added
to PrevueOnline.com from the <New Candidate> page under the <Candidate>
menu and was not associated to an Activity (candidate was manually added).

The <New Candidate> page has an Activity drop down menu that is set to “None
Selected” by default to allow flexibility for when invitations should be sent to a
candidate.

Note: If the candidate’s email address is entered incorrectly or is blank, follow
Steps 5 to Step 7 to Edit the Candidate Details page.

Step 5 (Opt) - Access the Candidate Details

Click the magnifying glass icon under the Edit/View Report column to access the
candidate’s details you wish to change.

<Save Changes> to allow the system to register the information.

Note: If the Candidate’s email address has been changed and you wish them to
receive the invitation email, you will have to re-invite him/her (see Step 9). If you
need to amend the invitation email, see How to Guide – How to Edit Emails for a
Specific Activity.

Step 8 - Check the Email Message History
Page

Click the <Administration> column, scroll down to <Emails> and select <Email

The Email Message History page defaults to the last 30 days and displays the
date, email type and Activity the candidate is associated with. It also displays the
Email Address(es) to which the email(s) were sent.

Use the <Search> criteria at the bottom of this page to narrow the search
for specific Candidates, range of dates, Activities, Email Types, Logins. If the
candidate does not appear under Email Message History, but does appear in the
Candidate List, the candidate was NOT sent any emails from PrevueOnline.com.

Step 9 - Re-invite the Candidate

There are two ways to re-invite Candidates in the system:
1. Using the ‘Prevue Wizard’ - Available to all PrevueOnline.com logins

Candidates_How to Export Candidate Details

There are times when you may require a ‘spreadsheet view’ of Candidates who have previously been added to you
<Candidate List>.
Exporting Candidate Details allows a quick overview of the Sten Scores achieved by each candidate. This spreadshe
sections that are pending, candidates who have not completed their assessment, and Activities/Categories assigne
Candidates through the Prevue Wizard
STEP 1: Accessing the Candidate List
Hover over the <Candidates> menu heading and choose <Candidate List>.
STEP 2: Accessing the Candidate List Details
The system will default to display those Candidates who have been entered into the system within the last 30 days
If your Candidate(s) does not appear in the list displayed, change the <From Date> to display a broader date range
candidates that meet your search criteria onscreen.
NOTE: The search will return all the candidates invited and/or added to your account during the span of time that
Date>. If candidates have previously been deleted, they will not appear in the search results.
STEP 3: Exporting the Candidate Details
Click on <Export To Excel> to prompt the site to generate a spreadsheet of your candidates. Based on your browse
<Open>, <Save> or <Download> the spreadsheet.
NOTE: You will be limited to exporting up to a maximum of 200 candidates. If your criteria exceeds this maximum
need to revise your search criteria to shorter date ranges and repeat the <Export to Excel> function until you have

NOTE: Benchmark Suitability Scores are not exported. The spreadsheet includes all of the scales, however, some c

candidates. Based on your browser, you may be prompted to <Open>, <Save>
or <Download> the spreadsheet.

Note: You will be limited to exporting up to a maximum of 200 candidates at
a time. If your criteria exceeds this maximum limit of 200 candidates, you may
need to revise your search criteria to shorter date ranges and repeat the <Export
to Excel> function until you have exported all the necessary data.

Step 4 (Opt) - Editing the Excel Worksheet

Edit the Excel spreadsheet to include the details that are relevant to your
organization.

The spreadsheet will default to list the following:

• Title, First Name and Last Name of the Candidates
• Username assigned to each of the Candidates
• Category and Position of each of the Candidate
• Date the Assessments were completed
• Owner: the Login who entered the Candidate into Prevue Online
• The Assessment that was completed for each Candidate
• Number of Sections Pending for each Assessment
• Activity and Categories assigned to each Assessment
• Sten Scores achieved for each of the scales

Candidates_How to Categorize Candidates

Categories are used to simplify the Search function by limiting the number of items to be retrieved. Search by Cat
Candidate List and within the Candidate Details page. It is helpful to create Categories ahead of time before apply

STEP 1: Access the Candidate List

in the list provided, change the <Date Created> to the preferred range and click <Search>.

STEP 3: Add Categories from the Candidate List
Place a checkmark to the left of each candidate you wish to categorize and click on <Category+>. Follow steps 7-8

Note: If you have candidates appearing over multiple pages, you may only select & categorize the candidates who

If you do not wish to categorize multiple candidates together, follow Steps 4 to 7 and 9.

When the correct Category appears in the Selected Items list, click <OK> to attach the category to the Candidate.

NOTE: Use the Shift and CTRL keys to highlight multiple categories, if necessary.
To remove categories already attached to a candidate, highlight the item in the Selected Items column and click <
category.

NOTE: Removing a category from a candidate will NOT remove the category from the company list.
Click <OK> to complete the function. Click <Cancel> if you do not wish to attach or remove a category.

NOTE: New Categories may be added to the Categories List from the <Add Category> link located at the bottom le
b).

Step 8a: Add and/or Delete New Categories
Click on the link located at the bottom left of the screen to access this function. Click on link to delete a category

Click on <Cancel> if you do not wish to enter the new category.
Click on <OK> to allow the system to accept the new category and apply to apply it to the selected candidate(s).

STEP 9: Save Changes
When the Category has been chosen and attached to the Candidate, click <Save Changes> to allow the system to a

items listed on the left side to find the appropriate category to attach to the
Candidates. Highlight the appropriate Category and click <Add> to move the
category from the left column to the right column titled “Selected Categories”.

When the correct Category appears in the Selected Items list, click <OK> to
attach the category to the Candidate.

Note: Use the Shift and CTRL keys to highlight multiple categories, if necessary.

To remove categories already attached to a candidate, highlight the item in the
Selected Items column and click <Remove> to deselect the chosen category.

Note: Removing a category from a candidate will NOT remove the category from
the company list.

Click <OK> to complete the function. Click <Cancel> if you do not wish to attach
or remove a category.

Note: New Categories may be added to the Categories List from the <Add
Category> link located at the bottom left of the screen (see Steps 8a and b).

Step 8a - Add and/or Delete New
Categories

Click on the link located at the bottom left of the screen to access this function.
Click on link to delete a category from the company list.

How to Categorize Candidates

TM Step 8b - Create a New Category

support Add the name of the new category in the box provided then click on <Add
Category> the button next to the category name.

Click on <Cancel> if you do not wish to enter the new category.

Click on <OK> to allow the system to accept the new category and apply to
apply it to the selected candidate(s).

Click <Cancel> if you do not wish to accept the new category.

Step 9 - Save Changes

When the Category has been chosen and attached to the Candidate, click <Save
Changes> to allow the system to accept the addition. Repeat Steps 3 to 7 and 9
for all Candidates to be added to the Category.
