I. INTRODUCTION

What does a Legal Assistant role look like at Amazon?

Amazon Legal Assistants (“LA”) perform a vital role for the Legal Department. Consistent with Amazon’s unique
culture, the LA role at Amazon differs from legal assistant and secretary roles at typical law firms. LAs manage
high volumes of work, suggest ways to invent and simplify, create and improve processes, demonstrate
proficiency in various systems and tools, identify problems and implement solutions, and effectively handle
difficult projects.

A generalized job description, which captures the high-level responsibilities for an LA at Amazon, reads as
follows:

We are looking for a smart and motivated individual to provide administrative assistance to our Amazon
Legal group. Responsibilities include drafting correspondence, coordinating agreement approvals and
execution, tracking documents, maintaining status reports, word processing, performing general office
tasks (such as calendaring, filing and budget tracking), and coordinating other legal and administrative
matters with the business groups.

The successful candidate will possess the ability to work efficiently and independently; manage high
volumes of tasks and projects with little guidance; react with appropriate urgency to situations and
events that require a quick response or turnaround; take effective action without having to know the
total picture; and think creatively and be proactive in solving problems that affect people within the
group or other related groups. The candidate will also be client-service oriented, have great attention to
detail while still meeting tight deadlines, have great organization skills, and have the ability to easily
switch gears. A high level of professionalism, integrity, and discretion in handling confidential
information, as well as the ability to work well with people at all levels inside and outside the company,
is essential.

Most importantly, LAs develop and demonstrate a high level of Ownership in their roles. LAs will often be asked
to research a matter they are not familiar with or provide support for a process they have not experienced
before. These requests entail investigating processes, asking a lot of questions, and auditing outcomes to ensure
they are correct for future reference. Taking this approach for all tasks allows LAs to become the veritable SME
of a wide array of administrative topics, and ensures that they are an integral and important team member.

What do Legal Assistants do at Amazon?

Specific tasks will vary by team, but the list below covers a wide array of tasks you may encounter, tools you
should know, or responsibilities you may have as an LA:

• Effectively using and managing software, systems, and tools used by the Legal Department and by
their specific legal team (e.g., Contract Central, Contract Express, Serengeti, multiple Outlook inboxes,
etc.).

• Understanding various Amazon and Legal policies (e.g., Spending and Transaction Policy), and
providing related guidance to clients

• Managing signature processes (including reviewing approvals and ensuring appropriate approvals have
been obtained prior to signature authorization)

• Document management (ensuring documents are properly saved)
• Assisting with business trainings to business teams on Amazon policies and legal tools and processes
• Creating and maintaining team and business-facing resources (e.g., SharePoint sites, OneNotes,

trackers, WIKIS, etc.)
• Reviewing and auditing outside counsel spend, including invoice review in Serengeti, and staying up to

date on the current PPP standards
• Creating SOPs for business and/or team use. This includes identifying potential issues or gaps in

current processes and suggesting solutions
• Reviewing and editing documents
• Drafting documents based on standard forms
• Ensuring legal guidelines are met by auditing business processes
• Scheduling team meetings and events
• Assisting in the management of team projects and goals (coordinating and finalizing deliverables, date

tracking, sending reminders of due dates, updating trackers and other resources)
• Acting as a primary resource or “go to” for the team
• Proposing simplification measures to eliminate repetitive, low value, and/or low risk work
• Understanding the processes of other teams, especially international teams, in order to perform cross-

team activities, such as execution of multiple-entity contracts involving various locales
• Working with other LAs and legal professionals to determine how to complete tasks and establish best

practices

What does an LA’s development look like at Amazon?

Your progress and development will vary based on your skills and career goals. Every individual develops at a
different rate and brings to the job different superpowers and skills that may line up in different ways with
different rolls.

The following phases outline the important learnings that you will have as you develop as an LA. The time it
takes for an LA to move from one phase to the next will vary and has many factors, but demonstrating proficiency
in the tasks is necessary for consistent career development.

Phase 1: Onboarding and Learning the Basics in your First Year

Your first 12 months as an LA will focus on developing a deep understanding of Amazon; Leadership Principles;
Legal Department; Tools; Resources; Policies; and generally, how to be an effective LA who shows continuous
progress and growth potential. Often, LAs will have regular 1:1s with their managers and sometimes others that
they support, at a cadence that makes sense for them. 1:1s with your manager provide an opportunity to ask
questions and seek guidance about your work. Generally, the first year as an LA will progress as follows:

• 0 – 3 months: Completing a launch plan, learning the basics of the LA role, and gaining an understanding
of Amazon

• 3 – 6 months: Continue learning the basics of the LA role
• 6 – 12 months: Gaining proficiency in the basic requirements of the role and discussing the potential

for additional stretch projects (stretch projects are projects that require someone to gain and then
leverage new skills that are outside of the scope of their current role).

Your first three months will focus on learning about Amazon and gaining knowledge of your role and
responsibilities for your team. The next three months should be geared to understanding how to effectively
accomplish tasks. During this time, you will learn business and legal terminology; begin to dive into policies and
understand their meanings and implications; identify the resources to find specific information; use systems and
tools effectively and complete general administrative work required from the team. If there are other Legal
Professionals on your team they will likely have experience with these tasks and can serve as resources.

Once you’re able to effectively complete basic assigned tasks autonomously, you may want to talk to your
manager about taking on new taking on management of a team project or goal; creating and publishing
Sharepoint or wiki content; assisting with audits or trainings; or tracking more complex/sensitive matters.

As you learn to complete tasks with greater autonomy, there is a high likelihood that you’ll identify simplification
opportunities, such as improving a process that has been standard for years. By this time, you should feel
comfortable proposing an improvement to the process and asking for resources to execute it. Once you’ve
gained proficiency in the basic requirements of the role, you should set aside time for dedicated development
conversations with your manager to identify stretch goals and assignments that will aid in your continued
development.

Phase 2: Continuing to Progress and Networking

In most cases, your second phase will be spent further progressing as an LA by becoming proficient in the tasks
and responsibilities assigned up to this point. You will also advance by taking on other more complex tasks. You
should consider reviewing the “What does a top performing Legal Professional look like at Amazon?” to get a
sense of how our department thinks about top performing Legal Professionals. This phase will take up most of
your second year as an LA and will include these general role responsibilities:

• Continuing to learn and progress in the LA role and beginning to take on additional projects and
challenges. These may include participating in the interview process. You may also want to increase
your participation in Amazon groups such as Pro-Bono, Legal Diversity, ALPs, or Affinity groups (of course

you are also welcome to participate in these groups from the start of your Amazon Legal career). These
activities will help you expand your network so that you have exposure to other people and businesses
outside of your immediate team. This network expansion may present opportunities for collaborative
projects or for role transition in the future.
• Effectively managing and completing challenging projects while continuing to demonstrate proficiency
in the LA basics.
• If interested, exploring other Legal Professional roles to begin identifying potential roles of interest and
required competencies of those roles, including shadowing and networking with Legal Professionals in
other roles.

You should work with your manager to ensure that you are taking on more complex projects and challenges.
Some LAs begin negotiating standard form contracts and take a more active role in client communications by
interpreting policies and providing direct guidance to clients. You may also provide support for simplification
initiatives or tool adoption. You can talk with your manager about how to identify opportunities for these types
of projects and whom you should collaborate with to gain the relevant experience.

Phase 3: Demonstrating Proficiency in the LA Role

Becoming a high-performing LA as well as gaining the skills needed to perform the tasks and responsibilities
expected of a next role you may be interested in takes time and varies based on an individual’s rate of
development, superpowers, skill set, and the availability of challenges and opportunities for growth. By the third
phase, you should be proficient in the LA role and continue your development by taking on work that interests
you. If you are interested in moving to a new role, continue to take on work that helps you gain the experience
required for your target role. Stretch assignments, trainings, and mentoring are all examples of common
experiences that LAs should have when demonstrating proficiency of the LA position or prior to transitioning to
another role.

Career Ownership

As you think about your career at Amazon, you may want to consider your career goals and the path you’d like
to pursue at Amazon. If you are interested in exploring roles beyond the LA position, you can refer to the
resources in the Explorer Program for overviews of some common career paths for LAs. There is no shortage
of roles that LAs can move into, either within or outside of Legal. Some of those other roles are: Associate
Contract Manager, Associate Compliance Specialist, Executive Assistant, Program Analyst, Paralegal, and Risk
Specialist. You can always review Job Finder to see what other roles interest you. You can also shadow and
network with Legal Professionals in other roles, or in roles outside of Legal. It is also recommended that you take
the Develop Yourself training on KNET and complete the exercises. This information can also be used to
complete a Career Growth Plan and entered into Ingenii.

If you’re interested in preparing to change roles, once you exhibit the ability to perform the tasks required of
your target role, your manager may seek to identify and move you to a new role on your current team or help
you find and apply for an open position.

It is important to note that there are a variety of roles that LAs may choose to apply for, within and outside of
Legal, for which an LA may be qualified without needing to gain additional skills or experience. LAs are welcome
to apply for those roles through the internal transfer process.

For LAs in regional offices looking to move into other roles, you may want to partner more closely with your
manager, mentors, and/or HR to help identify stretch assignments or to explore new role opportunities. Certain
roles and project types may be more or less plentiful in certain geographies, and your manager and international
team members will be able to help you navigate these circumstances.

Conducting Regular 1:1s

Your manager and other team members may schedule regular 1:1 meetings with you soon after you start in your
role, which is your opportunity to ask questions and seek guidance about your work. Each manager will have a
different format preference for 1:1s, so make sure to ask early on how you should prepare for these meetings.

It’s best practice to document the projects you are working on and questions you have during the week so that
you’re prepared to discuss these with your manager during 1:1s (see below). Examples of topics to cover with
your manager include:

• Questions about Amazon practices or policies
• Questions you get from your business partners or the team you support
• Summaries of contracts or projects you are working on with your business partners or team members.
• Requests for additional training or resources
• Project ideas you may have or ideas for simplification

Tracking Your Work

How you track your work will depend on the type, volume, and complexity of your responsibilities, but it’s a
habit you should establish early as it will create a useful picture of your development as a LA. LAs typically use
Quip, Ingenii or OneNote to track their work. You can talk with your manager or other LAs on your team to
determine which will work best for you and best practices.

You may also want to set up a “Thank You” folder to save the emails you get from your business partners or
team members where they thank you for your help or provide positive feedback. This serves as an easy way to
track your wins which will be a useful reference point for performance and development discussions.

Tracking Development

Ingenii is an internal tool created to assist in tracking current job scope, responsibilities, goals, projects, and
growth activities; career objectives and growth plan; and career conversations with managers. Writing a Career
Growth Plan (“CGP”) using Ingenii will help you think about and organize your career goals. Your manager also
has access to your Ingenii profile and can refer to it when assessing your progress and determining next steps.

with your manager, you should discuss it with them to understand whether this tool would make sense for you.

Career Development

LAs who have decided that they would like to take on new challenges in their current role or are considering
pursuing another role may schedule specific career and development discussions with your manager. Career and
development discussions are imperative to tracking your career progression and setting expectations with your
manager. These discussions should be conversations between you and your manager and should focus on your
interests, skills, and strengths. Career development conversations should generally be separate from your other
meetings.

In the beginning, discussions will primarily focus on interests and skills that will help guide you should you be
interested in exploring other roles. Discussions may then move to identifying and completing more challenging
projects and setting goals in order for you to grow in your current role and assess where additional skills and
strengths lie or will require development. You can also refer to the Explorer Program and various role overviews
referenced above for additional resources. If you’ve decided to eventually pursue another role, discussions
should center around identifying and completing projects and goals that will help you acquire the skills and
competencies required of that role, in addition to how you can continue to grow in your current LA role.

As part of your career development, you could participate in the Amazon Mentoring Program. This program will
help you set up with a mentor in your organization to help you develop personal and professional relationships.
This mentor will also help you grow professionally as you continue developing your career at Amazon. It is
important that you understand the general timelines and milestones for making a role change. Your manager
should provide you with a sense for the potential timelines for a role change and anything that you will need to
do to prepare for the change.

Trainings

There are several trainings available on Amazon Legal University regarding career and development, and you are
encouraged to explore the course catalog. The LIFT Session 6: Intentional Career Development training includes
a panel discussion on how leaders think about and help others with their career paths. Perkins Coie conducted
a training session entitled Driving Your Development: Facilitating Career Conversations. The training includes a
development handout that can help drive productive conversations around career goals and development. You
and your manager may wish to view the training video and complete the handout, which can be referenced
during career development discussions. This is a great starting point for identifying projects and goals that can
be entered into Ingenii, as described above. In addition:

• Familiarize yourself with all of the legal training that is pertinent to your region, current business line or
those in which you are interested. Track your trainings! This will be valuable when discussing
advancement with your manager.

• Attend training sessions on relevant other legal tools to you. If there are any materials afterward that
you can cascade to your team, it is helpful to ask after the session. The rest of your team may not be
able attend these sessions, but if you can summarize during a team meeting, it would be valuable
information that they might need.

• Global Legal Knowledge Bank: This is a great resource that you can use to learn from previous legal
professionals and attorneys. There is content from across the department and its focus is on non-
transactional knowledge that will help you understand our legal strategies and practices.

Look for training outside of legal for additional information! There are myriad business training modules
available outside of legal that could be helpful. Document writing, PRFAQ writing and OP1 document writing are
incredibly helpful to understand for a legal professional.

Manager Transitions

There may come a time when an LA is transitioned to a new manager. This may be temporary (i.e., while the
original manager is on extended leave) or permanent (in the case of an organizational structure change or in
preparation to take on a new role). Although this is relatively common in all roles, it can be a challenging time
for any Amazonian as they navigate the ambiguity often involved with these sorts of changes and as they learn
the expectations and management style of their new manager. It is the outgoing manager’s responsibility to
ensure that all pertinent information about the LA’s development is communicated to the incoming manager to
keep the LA’s growth on track for any milestones or goals that may be in place. However, the LA should also feel
empowered to ensure that they and their incoming manager have all of the information they need to succeed
in their new working relationship.
