#CAP Committee Report
December 17, 2021
Name of Committee: #CAP Date: December 9, 2021
Chairman: Erica Smith Time: 7:30 p.m.
Co-Chairmen: Chantule Bacchus, Bonita Morgan,
Location: Teleconference

Attendees (If you desire to list names)
(Soror Names)
Meeting Purpose:
The purpose of the meeting was to reflect on the November 18, 2021, meeting with #CAP
participants and to plan for the December 2021 meeting.
Meeting / Event Summary or Highlights
On November 18, 2021, members of the #CAP committee met virtually with students from
James Madison High School and Ross S. Sterling High School. The meeting’s focus was to
provide students with information on the importance of keeping up with MAJOR DUE DATES.
Each student was provided with custom designed planner on which they recorded upcoming
deadlines. The planner also serves as a place to store letters and other communication they
receive pertaining to college admissions, college fairs, and scholarships. The speaker for the
evening was Mr. Jarod Johnson, a college access coordinator for KIPP Southeast. Mr. Johnson
provided the students with many valuable tips and advice related to the planning for college.
Additionally, students were provided with a QR code that allowed them to join a #CAP GroupMe
so that they can ask questions that arise before our next meeting and #CAP members can
answer questions or share any information pertaining to scholarships as soon as possible.
Participating students were entered in a drawing for prizes.
The Global Pandemic has not slowed the mission of the Alpha Kappa Omega #CAP committee
to provide students with information and guidance as they navigate the College Admissions
Process. Eleventh and Twelfth grade students at Madison High School participated in
workshops, panel discussions and trainings on topics that included: how to budget for college
and beyond, understanding financial aid, important next steps, the spring semester ended with a
celebration for the class of 2021.
We stepped into the 2021-2022 academic year focused on continuing to support student by
expanding to include the 11th and 12th grade students at Ross S. Sterling High School as well as
Madison High School. A recruitment event was held on Senior Day at Sterling H.S where
members of the #CAP committee actively recruited the students for participation. Thus far this
year we have provided students with information on FASFA, college selection, and planning for
college. In December we plan to share tips and suggestions for completing essays and

Chapter sponsor the bench dedication and wreath laying ceremony in honor of Soror Faye
B. Bryant, 21st Supreme Basileus. The bench will be located at Booker T. Washington H.S.

Internal Audit 2018
The Audit Committee was charged with performing the Internal Audit of the financial records of Alpha
Kappa Alpha Sorority, Inc. Alpha Kappa Omega Chapter for the year of 2018. The committee would like to
thank the financial officers of 2018, Sorors Felecia Ransfer, Diana Johnson, Tishauna Washington, LaTosha
McGill Clayton and Ticketron Chairman Soror Paulette Frederick and her committee for their service to
the chapter.
The audit was performed by the Audit Committee. Members of the audit committee are Soror Angela
Williams Chairman, Soror Autumn Bean, Soror Tracy McFolling, Soror Verdall Dawkins and Soror Paulette
Frederick. It was not discovered that Soror Paulette was the ticketron chairman until the audit review
meeting. She had no access in reviewing the ticketron files and the Pecunious Grammateus files. The
audit was performed virtually with each member reviewing certain months of the financial officers’
records and then the committee met via zoom to check transmittal reports between the Tamiouchos and
Pecunious Grammateus and Anti-Pecunious Grammateus. Each member reported their findings.
Questions were addressed, either by phone or in person with the financial Officers. Report was sent to
the financial officers for their review.
In 2018, two Sorors served as Tamiouchos, Soror Felecia Ransfer served from January-March 2018 and
Soror Diana Johnson served from April –December 2018. Soror Ransfer resigned due to work conflict.
FINDINGS:
The findings of the 2018 audit are that the files of the Tamiouchos were in good order and the Pecunious
Grammateus and the Anti-Pecunious Grammateus were in good order with the following items in
question. The audit committee would like to state that though they found some mistakes, we do not
believe there is any financial discrepancies regarding the financial officers’. The issues we discovered
occurred a couple of times throughout the year and only reference because they have internal control
concerns.
Tamiouchos – January –March 2018
` 1, 7 occurrences were Committee Chairman Signature was missing from Voucher.
2. 10 Occurrences where the voucher was not completely filled out. Mainly the section of the
disposition of check.
3. 1 Occurrence where the ACH was not signed by Basileus.
4. Per Standards, the files are to be kept in a plastic file box. The files were turned over in
cardboard box.
Tamiouchos – April – December 2018
1. 2 vouchers from investigation did not have appropriate support. Per Corporate office, we are
responsible for all expenses. These vouchers were made payable to investigation members.
This finding is listed only for internal control that all receipts should have documentation.
2. Negative Income in the financials – Due to an expense entered incorrectly as income in
Quickbooks
3. Missing Financials from records. The Bank Reconciliation for October. Bank Reconciliations
should be done every month including months that the Chapter does not meet. Also there
was not a Cash Disbursement Report or Journal included in months reviewed.
Pecunious Grammateus and Anti-Pecunious Grammateus:
1. 3 occurrences where corrections were made on the transmittal form but was not made to the
receipts.
2. 1 occurrence where the check was deposited but was not receipted.
3. 2 occurrence where money was receipted but no receipt number in Journal.
4. Transmittal reports with incorrect receipt range on Report
5. Pecunious Grammateus reports missing from financial. Reports are in the agenda packet but
not in financial records. They have been turned in after audit review.
RECOMMENDATIONS:
1. That the Constitution Committee change Article VI, Section3, to increase the number of
Audit Committee to at least 7 from 5. Rationale is that the number of members in the audit
committee has not changed in over 30 years, but the size of the chapter and the amount of
records have increased drastically.
2. Finance Committee create a sub-committee of past financial officers that will work with new
financial officers during the first quarter of their term. Most errors were done in the first
quarter of the year. The committee will review how they record and maintain their files and
available to answer questions. The Audit committee felt the records were hard to follow.
