Welcome
Welcome to the 2017-18 Season of the New Jersey Youth Symphony,
NJYS! We look forward to an amazing season with great music,
performances, and fun. To help you understand how we do things at
NJYS, we have developed this handbook that includes NJYS general
guidelines, rules, regulaƟons, and procedures.
We ask that all parents and students, new or returning, take Ɵme to
read the handbook and refer to it oŌen. In these pages, we hope to
answer all the quesƟons you may have about NJYS parƟcipaƟon.
We look forward to and exciƟng 2017-18 season.

General Expectations
NJYS COMMITMENT
New Jersey Youth Symphony is dedicated to giving its students the best
orchestral and ensemble educaƟonal experience through its selecƟon process,
its conductors, a challenging repertoire, and performance opportuniƟes. NJYS
seeks excellence among its students and ensembles by adhering to the highest
standards of professionalism, teaching, and musicianship, and strives to
provide a nurturing and welcoming environment to both students and
families. Staff, conductors, and volunteers strive to provide students with an
energeƟc and engaging atmosphere to enhance their involvement and
learning.
NJYS asks its students and parents to adhere to certain rules and policies to
enable it to offer the best ensemble experience for all. The most important
requirement is punctual and reliable aƩendance. Successful ensembles rely on
the full parƟcipaƟon of every musician at every rehearsal. A student’s quiet
and focused presence at rehearsals allows the conductor to maximize the
musical experience for all students.
PRIVATE LESSONS & PRACTICE
In striving to maintain high standards, each member is expected to take
regular private lessons. The arƟsƟc staff can assist students in finding private
teachers to help students’ learning, if needed. Failure to take lessons may
result in dismissal. Members must pracƟce their orchestral and ensemble
parts at home and with their teacher to be prepared for each rehearsal. If
financial resources are strained, tuiƟon assistance is available for lessons at
the Performing Arts School (formerly Wharton Music Center) 9087900700.
SCHOOL PARTICIPATION
NJYS expects all members to parƟcipate in their school music program. NJYS
supports school music programs. If conflicts arise between NJYS and a school
music schedule, NJYS will make every effort to accommodate the student’s
school schedule. Students are expected to inform NJYS of school music/NJYS
schedule conflicts at the earliest opportunity.
INSTRUMENT LIABILITY
All NJYS students/families are responsible for their instruments. Lost, stolen or
damaged instruments (or instrument accessories) are not the responsibility of
NJYS. NJYS strongly encourages all members to have their instruments
insured. If any damage occurs to your instrument while you are parƟcipaƟng
in an NJYS acƟvity, please noƟfy an NJYS staff member immediately.
NJYS Student Handbook, Page 6 9087715544
Discipline
NJYS maintains a Ɵered discipline system for misbehavior at any rehearsal,
performance, or other NJYS acƟvity.
1. Student receives a verbal warning or reprimand from
conductor, SecƟon Coach, or staff members.
2. Student receives a reprimand that is communicated to
parents by phone, email, or leƩer.
3. Parent Conference — student and parent (s) meet with NJYS
staff.
4. Suspension — student will be suspended from NJYS acƟviƟes
for at least one Concert Period.
5. Dismissal.
Advisory: Smoking or the use of illegal drugs or alcohol is strictly prohibited
and will not be tolerated by NJYS. If students are observed smoking or
drinking illegal beverages or drugs at any NJYS event, it will result in their
immediate dismissal from NJYS and all tuiƟon and fees paid to NJYS will be
forfeited. Any behavior that endangers, violates, or disrespects another
person may be cause for immediate dismissal.
Driving-Parking-Pickup
Please observe the following driving paƩern when at the NJYS building:
x Enter via the driveway closest to the Shopping Center to the right of the
NJYS building and exit via the driveway closest to South Street to the leŌ
of the building. Otherwise the parking lots become very unsafe.
x Drive slowly and considerately.
x Please pick your child up promptly upon conclusion of rehearsal.
x Students are required to wait inside the NJYS Music Center. The parking
lot is not a safe place to congregate.
Rehearsal Cancellations
In the event rehearsal is cancelled, NJYS will make the announcement by 2 pm
that day via:
x NJYS cancellaƟon message at: 9087715544
x Email
x www.NJYS.org
x Text message (only in extreme emergencies)

Attendance Policy & Procedures
OVERVIEW
NJYS is commiƩed to providing superior music educaƟon and performance
experience to all NJYS students. Absence, lateness, or early departure detracts
from the student learning environment, disrupts the individual student’s
learning process and impacts the performance level of the enƟre orchestra.
Each student musician is strongly urged to aƩend all rehearsals, to arrive
promptly, and to remain throughout. Perfect aƩendance is the recommended
goal for each NJYS student.
NJYS recognizes, however, that occasional absences may be necessary due to
unavoidable situaƟons, although they are acceptable only in extenuaƟng
circumstances. Therefore, NJYS has adopted this AƩendance Policy. By signing
the acceptance contract electronically the student and parent agree to a
commitment of aƩending every rehearsal, concert and event on the season
calendar. Detailed below are the aƩendance requirements and procedures
that makeup the NJYS AƩendance Policy.
POLICY
AlloƩed Absences: Students are alloƩed 2 absences per concert period in case
of unavoidable situaƟons including illness or emergencies. A Concert Period
(CP) is the Ɵme frame during which a concert program is rehearsed in
preparaƟon for a performance. It begins with the first rehearsal and
culminates with the performance. A rehearsal is any scheduled session
including a full ensemble rehearsal, a secƟonal coaching session, or a check
up. Ensembles have 2 or 3 concerts periods during the 201718 season.
Mandatory Rehearsals: The last two (2) rehearsals immediately preceding a
concert are mandatory. Mandatory means you must aƩend. This includes any
Dress Rehearsals that are scheduled on a night other than the regular
rehearsal night. Failure to aƩend mandatory rehearsals may cause immediate
removal from the ensemble.
Mandatory Concerts: Concerts and sound checks are mandatory. Sound
checks generally take place at the concert venue on concert day, at least 2
hours prior to the start of the concert. Refer to ensemble schedules for dates
and Ɵmes of mandatory concerts as they vary by ensemble. NJYS’s annual
fundraising concert, Playathon, is also a mandatory performance which takes
place on Sunday, March 25, 2018. Call Ɵme varies by ensemble. Mandatory
Dress Rehearsal: Friday, March 23, 2017 from 69 pm. LocaƟon TBD
NJYS Student Handbook, Page 8 9087715544
ExcepƟons to the AƩendance Requirements: The allowance with wriƩen
noƟficaƟon for 2 absences from nonmandatory rehearsals per Concert
Period is intended to eliminate the need to authorize an excepƟon.
Therefore, it is envisioned that the need for a student to request such an
excepƟon to the AƩendance Policy will be rare. If a serious crisis or an
unavoidable situaƟon arises, the parent/guardian must inform NJYS staff by
email as soon as possible. Staff will then talk to the respecƟve conductor and
address the situaƟon accordingly. Any excepƟons made will be handled on a
case by case basis.
PROCEDURES
AƩendance Check in: Students are required to arrive for rehearsals at least
15 minutes before the start of rehearsal to unpack and tune. Upon arrival,
students must check in with the AƩendance Manager and check the bulleƟn
board for announcements. Failure to check in with the aƩendance manager
may be recorded as a student absence. Students must be in their seats and
ready to play their instruments five minutes before the rehearsal begins.
Volunteer AƩendance Managers or NJYS staff will call home if the student is
not in rehearsal and no message or absence form have been submiƩed. If
called in error because your child did not sign in upon arrival, kindly inform us
that your child should be in rehearsal. AdministraƟve staff will become
involved if a student has more than two absences.
Absence NoƟficaƟon Forms: The Absence NoƟficaƟon Form captures the
reason for a student’s absence from a rehearsal necessitated by an
unavoidable situaƟon (such as a scheduled school concert on his/her major
instrument, illness, etc.) that conflicts with any NJYS rehearsal. Absence
NoƟficaƟon Forms must be filled out and submiƩed to NJYS staff for any
absence, tardiness or early departure exceeding 15 minutes. The forms are
available on the NJYS website in the FORMS secƟon and on the ensemble
bulleƟn boards in the NJYS facility. These forms must be signed by a parent or
guardian. The purpose of the noƟficaƟon form is to assist NJYS staff with
rehearsal planning and student record keeping.
NEW Online Absence NoƟficaƟon form also available at NJYS.org.
Scheduled Absences: NoƟficaƟon of scheduled absences (school concerts,
family events, etc.) should be submiƩed by a parent or guardian at least two
weeks prior to the absence. Failure to submit the Absence NoƟficaƟon Form
at least two weeks prior to any scheduled absence is a serious breach of each
student’s responsibility to NJYS and his or her fellow musicians and may
result in disciplinary acƟon. Absence NoƟficaƟon Forms for longplanned
absences such as family vacaƟons and school concerts should be submiƩed as
soon as the student and parents become aware of the conflict.
www.NJYS.org NJYS Student Handbook, Page 9
Non-Scheduled Absences: NoƟficaƟon of nonscheduled absences (illness,
etc.) on the day of rehearsal should be made by calling the NJYS Office at 908
7715544 as soon as possible. In such a case, the parent must submit an
Online Absence NoƟficaƟon or a signed Absence NoƟficaƟon Form within one
week aŌer the absence occurs. Please click the Online Absence NoƟficaƟon
link on the Members Page on our website, www,njys.org.
New One AƩendance Extension for all ensembles! We now have one
extension for absence voicemails regardless of your ensemble. Please leave
your absence voice mail at extension 205.
Please include the following in your voicemail:
1. First and last name of student
2. Student’s ensemble
3. Reason for absence or tardiness
4. Expected arrival Ɵme (if tardy)
5. The name of the person calling and relaƟon to student
6. Phone number where caller can be reached for quesƟons
Music
MUSIC AND FOLDERS
To meet requirements of federal copyright laws, students will be issued
original pieces of music. Students are required to bring music folders to all
rehearsals and concerts. At the end of the concert period, students must
return all NJYS music to the ensemble librarian. Librarians will communicate
music return procedures to ensemble members. This policy places even
greater responsibility on the students to care for each piece of music
performed throughout the season. Music may only be marked with pencil. If
lost or damaged, students will be charged $15 for an NJYS folder and a
minimum of $10 for each original music part. Rental music will be charged at
a higher rate. Invoices will be sent at the close of each concert period for
missing music. Students must return the music or pay the amount owed to
ensure conƟnued parƟcipaƟon in the organizaƟon.
NJYS Student Handbook, Page 10 9087715544
Rehearsal Etiquette
Every student is asked to contribute to a collegial and collaboraƟve
environment by showing respect and consideraƟon. Students are required to
arrive early to rehearsals and be seated, tuned, and ready to play 5 minutes
before rehearsal begins. Percussionists: It is a special responsibility of the
members of the percussion secƟon to arrive sufficiently early to insure that
the instruments are set up at least 10 minutes before the rehearsal begins.
Students are expected to adhere to the following behavioral policies:
SHOW RESPECT TO:
x Conductors and staff; volunteers and parents
x Fellow players and their instruments. Students should not use other
students’ instruments; nor lend their own to others.
x THE BUILDING! No food or beverage, except water is permiƩed in the
rehearsal room. Students may bring a boƩle of water with a spillproof
cap to rehearsals.
EXHIBIT ACCEPTABLE BEHAVIOR by refraining from:
x Unnecessary talking
x Running and horseplay
x EaƟng (including chewing gum) and drinking (other than water in a
spillproof container)
x Playing games (electronic or otherwise)
x Wearing hats, headphones, or sunglasses
x Sound recording without prior permission
x DisrupƟve playing of instruments
x Rudeness to fellow students, staff, volunteers, or parents
x Use of listening devices such as iPods and MP3 players
x TexƟng or use of other mobile devices
x CELL PHONE USE OF ANY KIND. Cell phones must be turned off and
stored in instrument cases during all NJYS rehearsals, performances,
and acƟviƟes. Please disable automaƟc WiFi detecƟon on all devices
when they enter the building to avoid low WiFi speed for parents who
need to work while waiƟng during rehearsals.
FOLLOW DIRECTIONS
From the downbeat of a rehearsal to dismissal, play as instructed. If a student
has a problem with an instrument or is unable to perform for any reason, the
student must wait for an appropriate moment to inform the conductor or
quietly exit the rehearsal room and seek assistance from a volunteer or staff
member. Students must BE QUIET BETWEEN PLAYING to allow instrucƟons to
be heard.
www.NJYS.org NJYS Student Handbook, Page 11
RETURNING STUDENT AUDITIONS
These auditions are held at the end of the season for the following year. All
students are required to reaudition. Conductors go through an extensive
assessment of each student based on participation, attendance and the
audition. Invitations and/or placement is not guaranteed. Invitations are
made in the best interest of the students. All decisions are final.
Current students are strongly encouraged to seek progress updates with
their conductor.
How to set up your returning student placement audition:
1. Sign into your online account and complete the Registration Fee
payment
2. Register for “Returning Student Audition” for the ensemble the student
currently attends.
3. Before completing the checkout process, make sure to answer the
custom questions.
4. Sign up for a time slot: This procedure varies based on the student’s
current ensemble:
x JS, PREP: Time slots will be scheduled by the office. Parents will
have the opportunity to select their time slot based on the
time stamp on their online audition registration; first come
first serve.
x ALL OTHER ENSEMBLES: Signup sheets will be posted on the
bulletin board at least three weeks before the last concert.
x All audition schedules will be emailed out to the families as a
reminder.

MASTER CLASSES

Part Assignments and Seating
PART ASSIGNMENTS
Each piece of music performed was handcraŌed by its composer to form a
beauƟful work of art. Each member of the ensemble, whether they stand
alone like the piccolo or are part of a group like the violins, plays an essenƟal
role to the overall success of any performance. Only when every part is played
excellently will the quality of the whole be achieved.
At NJYS, parts will be assigned by the conductor of each ensemble according
to each player’s abiliƟes and current level of performance. In making the
assignments, the conductor strives to foster every student’s musical and
personal growth and achieve performance success for the orchestra. NJYS
conductors are dedicated to the welfare of all students. Assignments will
always represent the conductor's best judgments and will balance the value
of the individual and value of the common good.
SEATING OF STRING PLAYERS
SeaƟng of string players within secƟons, principal roles, and assignment of
violins into secƟons within the orchestra deserves special discussion.
In most orchestra music, the second violin part carries the prominent melody
less oŌen than the first violin part. When it does carry the melody the second
violin oŌen plays the melody one octave below the first violin part. In some
music, the second violins, like the violas, carry the inner part that belongs to
the harmonic framework for the more obvious melody played in other
secƟons of the orchestra. Moreover, the quality of an orchestra can be
measured by the strength and quality of the inner voices, that lend richness
and beauty to the enƟrety or when played weakly, can fatally undercut the
overall intonaƟon and quality of the performance.
A violinist may be assigned to the second part precisely because his or her
ability is needed to add to the strength and beauty of that part. A violinist
may also be at the stage of development where the player is not yet as secure
playing in the higher posiƟons on their instruments. In that case, a violinist
would be asked to join the second violin secƟon. Our orchestras can only be
as good as their 2nd violins and violas.
These principles generally apply to every secƟon and to every individual.
www.NJYS.org NJYS Student Handbook, Page 13
PREPARE
x Students must arrive prepared to rehearsal by knowing their parts, be
warmedup, and alert.
x Students are expected to have the following at all rehearsals and
performances:
x A pencil
x Music folder provided by NJYS
x Extra music supplies (strings, rosin, reeds, etc.). String students
especially need to keep a complete set of replacement strings with
them at all Ɵmes.
x Cellists and Bassists MUST have rock stops for their endpins.
ANTICIPATE
Students should leave the room during the rehearsal only when absolutely
necessary. Students are expected to aƩend to bathroom needs during breaks.
Rehearsal and Concert Attire
REHEARSAL ATTIRE
Clothing should reflect respect and allow for effecƟve playing. NJYS may
occasionally have visitors including program donors or trustees who aƩend
rehearsals to observe. NJYS asks students to dress appropriately for all
rehearsals.
CONCERT/PERFORMANCE ATTIRE
Performance aƫre varies by NJYS ensemble and event. Specifics will be
communicated prior to each performance by the Conductor and Rehearsal
Managers. Some general rules:
x Do not wear strong cologne or perfume
x Girls should wear skirts that fall below the knee and black Ɵghts or black
dress slacks. No leggings, unless under a skirt or dress
x Keep hair away from face
x Do not wear sneakers or athleƟc shoes
x Do not chew gum
Students are to present a professional look at each performance. This is not a
Ɵme to “stand out” by wearing something flashy or revealing. As a part of an
ensemble, the goal is to present a unified look.
NJYS Student Handbook, Page 14 9087715544
Concert Tickets
NJYS strives to produce high quality concert experiences for all its ensembles.
Ticket revenue offsets the cost of the expenses of producing the concerts.
Tickets are available for each concert at least two weeks prior to the event
and are sold online or in the NJYS office, regardless of whether the Ɵckets are
issued by NJYS or the concert venue.
One Complimentary Adult Ɵcket is given to each family for most NJYS
Concerts. Parents receive a CODE to redeem their complimentary Ɵcket
online for NJYS Ɵcketed events.
Other complimentary Ɵckets are available in the NJYS office for the following
categories of patrons:
x Key Volunteers in each ensemble — 2 Ɵckets per concert
x NJYS students in ensembles not performing — one Ɵcket per student
per concert
x Private Teachers or School Music Teachers of NJYS students — one
complimentary Ɵcket per teacher.
Communication
Email is the primary means of communicaƟon between NJYS staff and
students. Students and parents must be sure to enter correct email
addresses at registraƟon and noƟfy the NJYS office of any email changes.
Volunteer Ensemble Managers will send a weekly email with informaƟon
from the conductor on rehearsal expectaƟons, pracƟce suggesƟons, and
other crucial informaƟon. Both students and parents should receive these
emails. Please make sure you check your junk mail folders and add
NJYS.org and whartonarts.org email addresses to your “safe senders” lists.
NoƟfy the office immediately if you are not receiving weekly emails.
Students, please inform your parents of any announcements made during
rehearsal regarding anything sent home, i.e. call sheets, flyers, forms, etc.
Parents, please feel free to ask NJYS staff if you have quesƟons.
Parents, please call or email if you feel that you have not received emails
or to ask any quesƟons. We’re here to help!
www.NJYS.org NJYS Student Handbook, Page 15
Evaluations and Check Ups
EVALUATIONS
To regularly evaluate and assess the students’ progress throughout the
season, NJYS conducts a series of “checkups.” These evaluaƟons give
conductors an overview of the students’ strengths and weaknesses and their
development in technical ability, intonaƟon, tone quality, rhythmic pulse, and
musicianship including sightreading ability. Strings will play periodic
“checkup” audiƟons to assess their progress on the instrument and their
individual part.
Check-Ups
Generally checkups are scheduled once for each concert period. Checkups
are used as evaluaƟons throughout the year. Instrument secƟons who do not
have check ups will be evaluated during secƟonals.
Check-ups during regular rehearsal: Students do not need to sign up for an
Ɵme slot. Student will be pulled from regular rehearsal with the help of
parent volunteers to usher them to and from the audiƟon room. Students are
generally not given the excerpts before the checkup, but will have a chance
to mark their music before walking into the checkup room.
SeaƟng is not a direct result from the checkups. Final seaƟng is at he
discreƟon of the conductor. Students are encouraged to seek feedback from
the conductors during break, or before or aŌer rehearsal.
If you are a parent who would be willing to volunteer as a checkup proctor,
please contact the NJYS office.
THE ORCHESTRA AS A TEAM
The goal of NJYS is to have musical balance in each secƟon. The performance
seaƟng order within string secƟons does not necessarily reflect a musician’s
playing ability. While seaƟng order at NJYS may be different from many other
situaƟons such as Regional and AllState Orchestras, the NJYS arƟsƟc staff
believes its seaƟng arrangement beƩer suits its sustained symphonic music
educaƟon program.
NJYS wants students to raise their own levels of performances. While in the
NJYS orchestra, every player is a valued musician who belongs to an arƟsƟc
team.

NJYS LIBRARIANS
2-4 Parent Volunteers
Head Volunteer Librarian, Martha Nowik is the leader of our NJYS Librarians.
No prior library or musical experience is required. Martha will provide a
detailed InstrucƟon Manual that includes every library task. Martha welcomes
all new and returning Librarians! We try to secure Librarians before any other
volunteer job because there is lots of work in August before the season
begins.
Students at NJYS use “real” parts. This just means the music parts are originals
and not copies. For this reason, we keep track of each part to make sure our
students return their assigned music at the end of the concert period.
x AƩend a training session with Martha Nowik
x Generally, aƩend the beginning of every rehearsal to ensure all students
have what they need.
x Maintain a Librarian’s Binder containing student lists (including checkin
and checkout of parts)
x Maintain two designated working shelves within the library’s rolling stacks
in the library. These are to be used as general work and storage space for
the ensemble.
x Have a working relaƟonship with the ensemble conductor for any library
needs
x PreConcert Period music preparaƟon & PreConcert Period folder
preparaƟon
x Each student in the ensemble is designated a folder for the year. All of the
student folders will be located on the ensemble’s designated working
shelves. Librarians will fill each folder with the music that will be
distributed to the students. Further instrucƟons in manual.
x Music Maintenance During Concert Period
x PostConcert Period:
Inventory of all pieces must be completed no later than two
weeks aŌer each concert including the final concert.
All folders must be collected at the end of the ensemble’s final
concert.

STAGE HANDS
2-4 Parents
The orchestral set up sets the stage for the ensemble to make music! Each
chair and stand are placed in a certain order to make sure each of our
students have a comfortable place to learn. Although each ensemble set up
might be different, the more help we have, the easier it is to set up and break
down!
The students who arrive early will certainly help set up, but they need leaders!
No worries, we will train you so you know what to expect!
Rehearsals, Concerts, Playathon
x Set up the required number of chairs and stands for the ensemble at least
20 minutes before rehearsal.
x Set up additional rooms for sectionals as needed based on the day’s
schedule.
x Attend the beginning of all rehearsals for changes, and the end of
rehearsals if needed.
x All ensemble stagehands assist at Playathon: Dress rehearsal is Friday,
March 23. Concert is Sunday, March 25, 2018.
